Mail Merge:

The process of combining both primary document and secondary document to make multiple
meaningful documents is called mail merge. In mail merge there are two types of documents ;
Primary document and secondary document. Primary document always remain constant but
secondary document get changed every time.

Steps of mail merge


I. At first creating primary document
II. And then creating secondary document
III. Finally combining both the document and making multiple meaningful
documents.

Using mail merge we created the student identity card.

It is application software which is mainly used to enter data into a tabular format and
manipulate those using formulas and functions. It is the application software that
provides the facilities like calculating sum average and result using various formulas
and functions, generating various kinds of charts, sorting and filtering data, formatting
data and performing complex mathematical and statistical calculations and analysis.

 Features of Ms Excel
a. It allows checking validation and data entry rules.
b. It allows creating different kinds of charts according to the data given such as-
pie chart, bar chart and line chart.
c. It allows creating tables with different formats.
d. It provides formulas for mathematical and logical operation.
e. It allows sorting and filtering the data.
f. It allows adding record, deleting records and modifying records.
g. It has the features of word processing such as –bold, italics, font size, font
name, font color etc.
h. It provides the facility of merging the cells.
i. It is used for labeling name and protecting cell documents.
j. It allow to print the documents such as worksheets, graphs etc.

Microsoft Word

Ms Word is application software that is used to prepare text documents with different
format. The Ms Word allows us to type, edit, update and save document. It also allows
us to change the size and appearance of the text, paragraphs, present some form of
layout, page size and margins add graphics to the document and many more. It also
allows spelling checking, thesaurus and grammar support.

 Features of Ms Word
a. It allows inserting, deleting and modifying alphabet, words, lines or pages
anywhere in the document.
b. It allows to move a section of text and place in another place.( cut and paste)
c. It allows to duplicate a section of the text(copy and paste)
d. It allows defining page size and margins so the text are readjusted to fit.
e. It allows searching word replacing it with another word.(find and replace)
f. It allows changing font size, color, font name, bold ,italics etc
g. It allows inserting header and footer on the document.
h. It allows inserting page number in the document along with date.
i. It allows spelling checking and grammar support.
j. It allows to do mass mailing(mail merge)
k. It allows inserting mathematical equation on the document.
l. It allows inserting picture, clip art, chart on the document.
Microsoft PowerPoint

PowerPoint is an application tool or program that helps to make slides including


different types of media such as-text, audio, video, images and animation for the
presentation of papers in seminars, conferences demonstration of products, elaboration
of project and class lectures .It enables adding, deleting and modifying slides, importing
slides, animation and links to external applications.

 Features of Ms PowerPoint
a. It provides slide show for the document.
b. It provides several types of transitions for the slide.
c. It provides presentation of document in different formats.
d. It provides built in wizards for designing of slides.
e. It provides drawing tools such as arrows, boxes etc.
f. It provides animation with sound.
g. It provides automating the presentation such as self running presentation
and product demonstrations.
h. It provides hyperlink to external resources.
i. It provides the facility of word processing such as –bold ,italic, bullets and
numbering, font size, font name, font color etc.
Computer Hardware
Computer hardware is a physical part of a computer that executes within the hardware.
It is unlike computer software or data that can be frequently changed, modified or
erased on a computer. Computer hardware is not frequently changed and so is stored in
hardware devices such as read only memory (ROM) where it is not readily changed.
It includes the physical, tangible parts or components of a computer, such as
the cabinet, central processing unit, monitor, keyboard, computer data storage, graphics
card, sound card, speakers and motherboard.

Some of the computer hardware are explained as below.

 Motherboard
The motherboard is the main component of a computer. It is a board with
integrated circuitry that connects the other parts of the computer including
the CPU, the RAM, the disk drives (CD, DVD, hard disk, or any others) as well as any
peripherals connected via the ports or the expansion slots.

 Storage Devices
A storage device is any computing hardware and digital media that is used for
storing, porting and extracting data files and objects. It can hold and store
information both temporarily and permanently, and can be internal or external to a
computer, server or any similar computing device. Data storage is a core function
and fundamental component of computers.

 Central Processing Unit (CPU)


A central processing unit (CPU), also called a central processor or main processor,
is the electronic circuitry within a computer that carries out the instructions of
a computer program by performing the basic arithmetic, logic, controlling,
and input/output (I/O) operations specified by the instructions. The computer
industry has used the term "central processing unit" at least since the early
1960s. Traditionally, the term "CPU" refers to a processor, more specifically to its
processing unit and control unit (CU), distinguishing these core elements of a
computer from external components such as main memory and I/O circuitry.

 Monitor
A computer monitor is an output device that displays information in pictorial form.
A monitor usually comprises the display device, circuitry, casing, and power supply.
The display device in modern monitors is typically a thin film transistor liquid
crystal display (TFT-LCD) with LED backlighting having replaced cold-cathode
fluorescent lamp (CCFL) backlighting. Older monitors used a cathode ray
tube (CRT). Monitors are connected to the computer via VGA, Digital Visual
Interface (DVI), HDMI, Display Port, Thunderbolt or other proprietary connectors
and signals.
 Keyboard
A computer keyboard is a typewriter-style device which uses an arrangement of
buttons or keys to act as mechanical levers or electronic switches. Following the
decline of punch cards and paper tape, interaction via tele printer-style keyboards
became the main input method for computers. Keyboard keys (buttons) typically
have characters engraved or printed on them, and each press of a key typically
corresponds to a single written symbol. However, producing some symbols may
require pressing and holding several keys simultaneously or in sequence. While
most keyboard keys produce letters, numbers or signs (characters), other keys or
simultaneous key presses can produce actions or execute computer commands.

 Graphics card and Sound card


A graphics card is an expansion card which generates a feed of output images to
a display device (such as a computer monitor). Frequently, these are advertised as
discrete or dedicated graphics cards, emphasizing the distinction between these
and integrated graphics. At the core of both is the graphics processing unit (GPU),
which is the main part that does the actual computations, but should not be
confused as the video card as a whole, although "GPU" is often used to refer to video
cards.

A sound card (also known as an audio card) is an internal expansion card that


provides input and output of audio signals to and from a computer under control
of computer programs. The term sound card is also applied to external audio
interfaces used for professional audio applications.
Computer Software
Computer software is a collection of data or computer instructions that tell the
computer how to work. This is in contrast to physical hardware, from which the system
is built and actually performs the work. Computer software is all information processed
by computer systems, programs and data.

Based on the goal, computer software can be divided into:

a. System Software
b. Application Software

 System Software

The system software is a collection of programs designed to operate, control, and


extend the processing capabilities of the computer itself. System software is
generally prepared by the computer manufacturers. These software products
comprise of programs written in low-level languages, which interact with the
hardware at a very basic level. System software serves as the interface between the
hardware and the end users. Some examples of system software are Operating
System, Compilers, Interpreter, Assemblers, etc.

 Operating systems

The essential collections of software that manage resources and provides


common services for other software that runs "on top" of them. Supervisory
programs, boot loaders, shells and window systems are core parts of
operating systems. In practice, an operating system comes bundled with
additional software (including application software) so that a user can
potentially do some work with a computer that only has one operating
system.

 Device drivers

The system software that operate or control a particular type of device that
is attached to a computer. Each device needs at least one corresponding
device driver; because a computer typically has at minimum at least one
input device and at least one output device, a computer typically needs more
than one device driver.

 Utilities

Utilities are computer programs designed to assist users in the maintenance


and care of their computers.
 Application software

The software that uses the computer system to perform special functions or
provide entertainment functions beyond the basic operation of the computer itself.
There are many different types of application software, because the range of tasks
that can be performed with a modern computer. Application software products are
designed to satisfy a particular need of a particular environment. All software
applications prepared in the computer lab can come under the category of
Application software.

Application software may consist of a single program, such as Microsoft's notepad


for writing and editing a simple text. It may also consist of a collection of programs,
often called a software package, which work together to accomplish a task, such as
a spreadsheet package.

Features of application software are as follows −

 Slow in speed
 Generally written in high-level language
 Easy to understand
 Easy to manipulate and use
 Bigger in size and requires large storage space
 Internet
Internet is not just like one network, it is a coordinated union of a multitude of
networks all over the world or we can say internet is the world largest computer
networking, the network of networks. Internet is global LAN where millions of
computers are connected to each other, any computer user on internet can
contact another user on the internet anywhere in the world, very much like
telephone user communicates with another user anywhere in the world. Internet
is an information superhighway and has seemingly compressed the world into a
cyber colony. It Internet is a global collection of computers that are connected to
each other with network cables, telephone lines, satellite etc. Some computers
(servers) on the internet store documents, sound files, video clips, program files,
electronic shopping centers, animations, pictures and other information. All
these resources are available to all the computers connected to the internet.
Internet is available to anyone who wants to use it. A majority of internet users
are college students, businessmen, professionals etc and accessing internet has
become a way of life.

The main uses of internet are:-


a) Communication medium:-
The internet was designed to share information from one location to others
through computers. Still innovation and advancements are going on to make the
internet faster, more reliable, easier and cheaper communication medium.
b) Information sharing: -
Information sharing is one of the biggest advantages of the internet. The search
engine like Google, yahoo and others find the resource site and display to the
users. We can find almost any type of data on any kind of subject in internet.
c) Entertainment: -
Entertainment is another popular reason why people prefer to surf the internet.
Downloading games, online playing, visiting chat rooms, watching movies are
some of the most entertaining thing done by user on the internet. There are
numerous games that may be downloaded from the internet freely. The industry
of online games has dramatically increasing. Chat rooms are popular because
users can meet old and new friends.
d) Online services: -
Many services are provided on the internet such as e-commerce, online banking,
job searching, tickets reservation for bus, train and airplane, tickets reservation
for movies on cinema hall, hotel reservation, online jobs etc. These services are
not available off line hence it is called online services. Electronic commerce is the
concept used for any type of commercial transaction over the internet with the
help of e-money.
