Definitions

Matrix Structure

Introduction All documents are assigned to a matrix.


The components are the following level:

• Function
• Subject
Each document is assigned to at least one function and one subject.

Functional The functional structure consists of at least three levels whose contents are defined as

The first level is based exclusively on the first position of the KKS.

Use Cases

Change the Language of the Application

Assumption / You want to change the language of the graphic user interface.
Starting situation

Description Proceed as follows:


1. Click "Settings" on the menu bar.
2. Select in the form Settings the field "Application language".
3. Select the language of your choice from the list of available
languages.
4. Save your selection.
5. Exit the form "Settings" from the "Main menu" in the menu bar.

Result The selected language is displayed.

Log on to the system

Assumption You want to log on to the system as a specific user so that you can save user-

Change the view of the search results

Assumption / You want to change the view of the Search results.


Starting situation To do this, you must be known to the system as a specific user (see
"Login").

Description Proceed as follows:


1. Click "Settings" on the menu bar or click "Adapt display" in the
search result.
2. Change the display options for structure elements or project
documents in the lower area of the frame "Settings".
You can add Properties, remove and change the order displayed.
3. Save your changes by clicking "OK".

Result The properties displayed for the search results were saved.
If you now start a new search, the result will be displayed with the new
settings.

Good to know To open a document, click the first selected attribute or the document
title.
Both fields contain a link to the PDF file.

Search Documents via Properties

Assumption / You want to find documents of which you know one or more Properties.
Starting situation

Description Proceed as follows:


1. Click "Search" on the menu bar.
2. Enter the search terms in the proper fields.
3. Click "OK" to confirm your entry.

Result The documents found in the search are displayed in the frame Search result.

Good to know If the search terms do not meet your needs, you can delete them with "Reset".

A search for several properties at simultaneously means that all conditions must be
fulfilled ("AND" operator).

For the properties "Supplier" and "Manufacturer" you can search for 2 different values
("OR" operator).

Assumption / You want to find all the documents of which you know the related

1. Click "Search" on the menu bar.
2. Click the "Selection" near the field "Function" and navigate to
the desired function using the respective icons.
3. Click the respective red marked structure element.

Alternative:
1. Go to the frame "Navigation via".
2. Select "Function" from the list box.
A list of all the functions available appears in the drop-down list
box.
3. Now navigate through this Structure to the desired location.
4. Click the respective red marked structure element.

Result The documents found of the function are displayed in the frame
"Search result".

Assumption / You want to find documents of which you know the respective

appears in the drop-down list box.

Assumption / You want to find all the documents that contain a particular Subject

Description Proceed as follows:


1. Click "Search" on the menu bar.
2. From the search form, select the property
"Subject".
3. Enter the desired value.
4. Click "OK" to confirm your entry.

Alternative
1. Go to the frame "Navigation“,
2. Select the term "Subject" from the list box.
3. Click "OK" to confirm your selection.
A list of all subjects available in the documentation appears in
the drop-down list box.
4. Now navigate through this structure to the desired subject;
restrict the search further to the desired function.

Result The documents found for the corresponding subject are displayed in
the frame "Search result".

Restrict Search in Search Results

Assumption / You have carried out a search and want to further restrict the search
Starting situation criteria.

Description This is how to do it:


1. Click "Search in search result" in the search result.
2. Enter further search criteria in the frame "Restricted search".
3. Start the restricted search by clicking "OK".

Result A search result now appears that fulfills the criteria of the initial search
and the restricted search.

Good to know You can further restrict the search result by conducting an additional
restricted search.
The restricted search always only searches in the documents already
found. Thus if you want to restrict the search using a different
criterion, you must restart the search.
You can also restrict a search with a saved search (see "Recurring
document search").

Change the Settings

Assumption / You would like to change the Settings to your personal tastes.
Starting situation

Description Proceed as follows:


1. Click "Settings" on the menu item.
2. Change the settings to suit your personal tastes.
3. Save the settings under your personal log-on name.

Result The Viewer will be adapted immediately to your personal settings.

Good to know Once you log back on, the viewer will respond in accordance to the
values last saved.

Filter the Navigation

Assumption / You want to filter the Navigation according to your personal criteria.
Starting situation

Description Proceed as follows:


1. Click "Structure filter menu bar"
2. Select the structure at "Structure" that you would like to see
filtered.
3. Enter the criteria for the filter.
4. Start the restricted search by clicking "OK".

Result The desired structure will be displayed in the frame "Navigation via".
It will only display those Structure elements that contain documents
and match the criteria you have entered.

Good to know Click "Home" to return to the homepage.

Click "OK" in the frame "Navigation" to return to "unfiltered"

Save a reoccurring Document Search

Assumption / You want to save a document search that you need time and time
Starting situation again.
To do this, a Search result must already exist, and you must be
known to the system as a specific user (see "Log on").

Description Proceed as follows:

1. Click "Save Search query".


2. Enter the name of the search.
3. Save your entries by clicking "Save".

Result The search was saved.

You can initiate the search at the following locations:

1. A drop-down list with the saved searches is displayed when


you click Home in the frame "Quick search".
2. The saved search is also displayed in the drop-down list
"Saved searches" in the frame "Settings".

Good to know If you want to delete one or more search queries, do this in the form
"Settings":

1. Click "Settings" in the main menu.


2. Delete the searches saved there by selecting the saved
searches from the drop-down list and deleting them with the
"Delete" key on your keyboard.

Frames

Document Display

Purpose In the Frame "Document display" the contents of a document are displayed.

Tools used The document is displayed as a PDF file by the Adobe Acrobat Reader®

To be able to read a document, you must first create a Search result.

Installation

installation application; there are, however, different variations.

Properties are attributes that can be assigned to documents. In
addition to the primary attributes (number, version, type and language),
there is also the structure assignment (subject, function and KKS) and
type-related information (supplier, manufacturer, and equipment type).

In the quick search, you can only search for documents via full-text
