INTRODUCTION

Celia media is an IT company, in its 15th year of business. They have been
experiencing a 15% steady profit decline for the last 5 years. As a result
stakeholders have agreed on a total overhaul of all processes within the
organization, starting with HR department.

Starting the digital transformation with a key department like HR will give time
and opportunity for the organization to gradually transform rather than all at
once. It will also among other things offer a test sample of the effectiveness of the
project. It has to make business sense or meet MoSCoW standard requirements.

7 Migrating from the legacy system and upgrading systems and server to
the latest Operating systems and platforms that will meet organizational
needs

Business Problem

The current IT framework in operation at Celia Media HR has proven inefficient


owing to the steady decline in revenue over the last 15 years. Clients have
complained about the quality of their goods and services, especially long waiting
times. Currently the system does not allow users to work collaboratively on tasks.
They must log out of one portal or system and sign into another to act on a
document.

Solutions Overview
To address these problems, IT department in collaboration with an external IT
vendor, will create a comprehensively new HR portal to simply allow all staff
working on a work process collaboratively access documents in real time.

Streamlining these processes will save cost and time while increasing customer
satisfaction. For instance, all actors in the training and development workflow
chat (refer to the last assignment) should be able to access and make inputs to
documents within one system. Migrating from a waterfall method which is not
easily adaptable to a more agile software with all its benefits.

Risks
1. Financial challenges which can be mitigated by staying within budget and
reviewing allocation when necessary.
2. Team challenge issues mitigated through constant communication and
good leadership.
3. Timing issues arising from workflow dependencies can be mitigated
through collaboration
4. Resistance to change can be mitigated through established change
management practices.

Assumptions
1. Users have basic IT Skills and will adapt to the new system easily.
2. Internet connection will always be available.
3. Training will be provided until fully adapted

Fig 1 shows the current Payroll process workflow, tasks and steps in the payroll department
while Fig is the improvement in processes for the payroll tasks that are carried out in the Payroll
