Assessment Task 1.1: Workplace digital applications project

Assessment Task 1.1 Instructions

Complete the following activities:

1. Write a briefing report.


The first part of this assessment requires you to conduct research about workplace
digital applications and then write a briefing report using the Briefing Report
Template about the workplace digital applications that you have researched. Make
sure that you review the template prior to commencing your research.
The report should be written in clear and concise English and address the following:

a. General trends and innovations in digital technology applicable to


workplaces. You will need to research at least 5 trends or innovations, give
an overview of each, and briefly discuss what the trends or innovations
means for a workplace.

1. Production studio technology enables employees to package and


deliver content such as sales collateral or internal presentations in
new ways, with tools such as video, podcasts, infographics and
Nextgen presentation software. This empowers employees to be
more creative in their efforts to lead, sell and influence by breaking
out of the PowerPoint jail.
2. Immersive technologies, such as augmented and virtual reality, are
set to go mainstream in the consumer world, which will drive rapid
uptake in businesses. Uses will include training, field service and
immersive conference room services. Employees will ultimately be
able to use natural gestures to deal with complex processes.
3. Personal clouds are the consumer apps, devices and things that
employees use based on their personal preferences. In a work
context, the personal cloud can lead to improved employee agility
and engagement, but it can introduce security, compliance and
compatibility concerns. Organizations will have to take a “managed
diversity” approach to the personal cloud to ensure the right balance
of employee autonomy and control.
4. Virtual personal assistants (VPAs) will become more common as
technology improves, and employees grow more comfortable with
them outside of work. At the moment, assistants such as Cortana,
Siri, Google Now and Echo are being used mostly for data retrieval
and basic tasks, but within a couple years VPAs will proactively
initiate and conclude complex business processes on the behalf of
the employee with little oversight required.
5. Microlearning helps employees become more competent and
skilled in the digital workplace. This involves informal and contextual
digital dexterity training delivered through videos, quizzes, text
messages, games or other modalities. The shorter and more
immediate the training, the more useful it is.

b. Identify and review at least six workplace digital applications (two each for
communications, technologies, and networks) that could be used for the
following:
Workplace communications (i.e. any digital tools that allow two or more
people to communicate with each other and that may be written, verbal,
visual, audible or a combination of these).
Technologies that can be used in any area of the workplace e.g. hardware
and software, learning management systems, record management and
document management systems.
Networking through digital applications to form and/or maintain
relationships with other individual or organisations.

Note that you may focus on general technology, such as project


management software, as well as a specific version of the technology,
such as Wrike.

For each of the digital applications you identify, make notes to use in
developing your briefing report. The report must address, as a minimum:
The name of the digital technology
Its use in the workplace
At least one benefit of using the digital technology
How the digital technology is current and innovative.

Workplace communications

- Secure Group Messaging Systems


Offering employees, a full suite of digital communication tools is essential for a
well-run digital workplace. Employees need to talk and collaborate with their co-
workers anywhere in the world, at any time. Technology in the workplace,
through an internal communications platform like Beekeeper, for instance,
enables real-time communication and keeps all your employees connected
through a variety of features, from group chats to 1:1 messaging.

- Trello is a great platform for project management


Specifically for keeping track of and remembering tasks and viewing previous
team action. Once you have started the app, you can create different boards,
with cards which contain tasks. You can assign tasks to team members and you
can freely move tasks from card to card. Trello is great for getting the big picture
and keeping track of what has been done and what is left to be done (and by
whom). All tasks support additional features such as file upload, labels,
checkboxes, and comments, so besides managing your project you can also
discuss it with your team.

Technologies

- Workforce Solutions with Digital Security in Mind


Digital security has never been more important. An estimated $400 billion is lost
annually from cyber-attacks, and this number is expected to climb every
year. That’s why it's so important to choose secure systems when implementing
new technology. In the GDPR regulation landscape, companies should
encourage employees to use secure messaging apps to communicate and
adhere to company-wide security measures.

- Smart Virtual Assistant Apps


Virtual assistants aren’t just for executives and workforce management. Many
employees now turn to virtual assistant company apps to increase their own
productivity. These apps can organize your schedule, automate daily activities,
and more. There’s even AI in the works that will take care of your every need
without you having to say it!

- The Cloud: Where the Digital Workplace Lives


What exactly is the cloud? Cloud computing involves access and storage of
information over the internet instead of traditional local storage (on your
computer's hard drive, for example). Chances are that most of the technology
you rely on today, from photo storage on your mobile device to many of the
systems you use for work, is utilizing the cloud. Consequently, employees use
their own data and resources daily in their personal and professional lives.
Unfortunately, this does raise security concerns, which leads us to the second
emerging technology to watch.
Networks
- Social and communication tools
Replace email with effective communication and social collaboration tools. Have
real-time conversations with your colleagues using our Rocket Chat integration;
collect staff feedback by embedding SurveyMonkey surveys onto team pages;
and keep up-to-date with business social media with our embedded Twitter,
Facebook, Instagram, and LinkedIn social feeds.

- Microsoft Lync
Lync is an internal communication tool made by Microsoft that you can use for
instant messaging and chat with clients. Formerly known as Microsoft Office
Communicator, this app can now integrate with all Microsoft tools, creating a
quality platform for team communication, especially of you're a fan of the
Redmond giant. News flash: there is an announcement of the integration of
Microsoft Lync with Skype Business.

c. Networking through digital technology


Provide five examples of digital technology for networking to form and/or
maintain relationships with other individuals or organisations.
For each example, describe:
The digital technology application, including its use in the workplace
At least one benefit of using the digital technology/application.
How the digital technology is current and innovative.

5 examples of digital technology for networking

1. Amazon Go’s automated checkout


Amazon has revolutionised the online shopping experience, but the brand is
now intent on taking a slice of the physical retail pie too. The Go stores use a
combination of computer vision, deep learning, and sensor fusion technology
to automate the payment and checkout process. This means that customers
can enter the store, pick-up items, and leave without queuing or checking out,
while payment is automatically made through the Amazon Go app.
There are now nine Amazon Go stores open in the US and reported plans for
thousands more worldwide by 2020

2. Target’s mobile wallet


In 2017, Target launched a mobile wallet designed to make payment and
checkout a much faster and more convenient process. Interestingly, the retailer
states that checkout via the mobile wallet (which lives in the Target app) is four times
faster than regular payment. Users can pay with their Target RED card or credit card
and as well as access and apply discounts. With purchase activity through apps on
the rise, this kind of technology can be a great way to keep up with consumer
expectations and enhance loyalty.

3. 10. Audi’s VR showroom


The experience of buying a car no longer starts at the dealership, with
consumers typically researching via websites, social media, and motor forums. In
2017, Audi launched a virtual reality experience in global showrooms to offer a more
personalised CX.
The VR experience allows consumers to configure their dream car, as well as
explore the car’s exterior and interior in realistic detail. The experience also includes
special ‘Audi moments’, such as the Le Mans 24 Hours race, whereby users can
witness the pit-stop atmosphere.
Through VR technology, Audi is able to offer consumers a dynamic and interactive
buying experience, transferring the process from a digital tablet to something much
more immersive.

4.  Nike’s Speed Shop


In 2018, Nike opened a flagship store in New York City called the ‘Nike House
of Innovation 000’. As you might expect from the name, it’s pretty impressive,
including digital elements to create an immersive and highly convenient experience
for shoppers. Alongside customisation studios and instant checkout points, a stand-
out feature of the six-floor studio is the ‘Speed Shop’. This allows customers to
reserve shoes online to try on in-store. More specifically, customers can arrive
(through a dedicated entrance) to find a locker with their name on, which can then be
unlocked via their smartphone. Mobile check-out is also available, meaning
customers do not even need to speak to anyone (let alone stand in a queue) if they
want to buy the shoes in question. The ultimate in convenience shopping.

5. Zara’s self-checkout
While it’s standard in supermarkets, the fashion retail industry has lagged
behind when it comes to self-checkout service. This is largely due to the process
being made more complicated by security tags and the like. However, Zara proved
that it can be a worthwhile addition when it introduced the technology in 2018. Now,
customers can skip Zara’s famously lengthy queues and use its slick and surprisingly
easy-to-use kiosks.
d. An important part of accessing digital information is to review the validity
and reliability of information sources. Therefore, you are required to
research the Internet to find out how to assess the validity and reliability of
digital information sources.
Then using the information from your research, write five questions that
could be used assess the validity and reliability of a digital information
source.

Validity is indicated by the extent to which it is confirmed and echoed in


other works. A source could be valid if it’s confirmed and echoed in other
works. That means other works on the same topic that you’re working on
have cited that source. If you are using something and you look it up, and
you see that it’s been cited in lots of other papers, then that means that it’s
a pretty valid source. That would be a good one to use. You could check
off validity.
Next, you need to look at reliability. How reliable is your source? That
means that the source must consistently support your point to be reliable.
If you have a topic and your source supports the topic, gives a
counterargument, goes back and forth, and compares and contrasts why
your idea or your topic is good or bad, that’s not reliable. You want it to
constantly, consistently support your point. You don’t want it to waver back
and forth. You don’t want it to give any other option. You only want it to
support your point if you are going to use it as a source. Now, in your
writing, you can definitely go back and forth on a point, but if you’re using a
source in your research paper, it needs to be reliable. It needs to only
backup your point and not give any other options. If that happens, you can
say, “Okay, it’s reliable. I can use this source.”
If you find a source and you can check that it’s been used in other
sources (it’s valid), that it consistently supports your point (it’s reliable), and
that it applies to something in your essay (it’s relevant), then you can use
that source. Otherwise, you should probably look for better sources and
leave any that don’t fit any one of these criteria behind. Try not to use
them. If you find something and you think, “Oh, it’s reliable. It’s constantly
supporting my point. Oh, it’s relevant. It definitely has to do with my paper,
but it isn’t valid.” and you can’t find it cited anywhere else, you might not
want to use that source. It may not be a valid source. It could be something
that someone wrote without any information to back it up. It could just be
something they wrote on the Internet and you found it. Maybe it worked for
your paper, but if it’s not valid, it’s not going to be a good source.

Five questions that could be used assess the validity and reliability of
a digital information source.
1. Do they look like reliable sources of information?
2. Does it look like the author is citing the source correctly?
3. Are they representing an organization?
4. The source you're consulting is valid? 
5.  Is this evidence any good?

e. In your briefing report, you will also be required to list at least three of the
information sources you have used to research digital applications and for
each of those sources answer each of the questions you have developed
to review and report on the validity and reliability of the identified
information sources. You must provide an overall rating of the validity and
reliability of each of the three information sources you used.

f. Investigate legislation and regulations relevant to intellectual property and


digital technology. Your research should address:
Identification of intellectual property risks in relation to digital technology.
Identification at least five Acts and Regulations that apply to intellectual
property and digital content.
The purpose and scope of the above Acts and Regulations.

Reasoning: with stability of the site and its established emails service, Google has
strong team in constantly developing new apps such as Chrome which has taken
over Internet Explorer. With its pricing and allowing editing through different devices.
This is the choice.
