● Creating a New Project

1. Before a new project is created for Monday.Com, approval is required by a


project manager and management
2. When projects are approved, a timeline is created for when the project will be
worked on, a due date/ end date for the project is created, and a project lead is
assigned.
3. Once the timeline and the due date are set, a new item will be added to the
appropriate quarter on the Higher Level Board
4. The project manager and team lead will then create an Overview Board for the
goal.
a. The name of this board should match/ be similar to the goal in the Higher
Level Board
i. Ex: _______ Overview Board
b. This board will be created in the project lead workspace
c. Project managers are in charge of automations and mirror columns
d. Project managers are in charge of linking HigherLevelBoard Goals and
items in the LLB
5. The Project lead will then set due dates for the tasks in the overview board
a. The project lead cannot delete the items created but can create items in
this board with project manager approval
b. Project Leads can assign others to items, but time schedules for projects
should be checked.
6. The project lead can create Task specific boards to break down the larger task in
the Overview Board
a. These boards should not share the same as the project in the Higher
Level Board
b. This boards can be linked by the project manager
c. These boards are not linked to the LLB
d. The items in this board will not be monitored by a project manager
7. Once a task is completed., in the Overview Board, by the project lead or others
project members, the status of the item must be marked as “DONE” and an
update added with the required information
8. Once a project is completed, the board can be archived.

● Additionally, Projects should only be worked on during the timeline that is set.
● A Project lead can have multiple boards that are unrelated to the projects they are
working on, but a project manager will not be checking these boards for completed
tasks.
● Any project that requires work hours is required to be an item in the Higher Level Board
● Any length project must go through a similar process
○ These projects can be added to existing boards that have recurring projects
■ E.g. In-House Offerings board
■ The project must still be added to the Higher Level Board
● Roles
○ Project Lead
■ Assigned and Responsible for the project in the Higher Level Board
■ Responsible for creating timelines for the project
■ Responsible for creation of items in the overview board and creating due
dates for items
■ Responsible for updating items to “Done”/ completing items and writing
updates
■ Can assign additional team members to items
● Assigning Team members should only be done if a team member
has external project hours or a manager has approved them
working on a project.

● Create automations for Overview Boards
● Link items to LLB

● Can create automations in the Task Specific Boards

■ Responsible for clearing timelines with management
■ Responsible for assigning project leads and moving boards to their
workplaces
■ Responsible for creating Overview Boards with the Project Lead
■ Responsible For creating automations/linking for overview boards
■ Responsible for ensuring items are completed
■ Provide direct line of communication with management

● Boards
○ Higher Level Board
■ Items created on this board are goals that will be accomplished within a
certain Quarter
■ Any new project is put on the Higher Level Board with timelines set and a
due date chosen.
● Timelines and due dates are cleared with AA/Ale/Lou, and Eli.
■ After, overview boards are created by the project lead and the project
manager

■ This board is an aggregate for all tasks related to the current goals set on
the Higher Level Board.

■ Items in this board are fed only from Overview boards for each project
■ This board is directly connected to the projects created in the higher level
board

○ Overview Boards
■ Overview boards are created in relation to specific goals made in the
Higher Level Board
● Only created after approval of timelines by management
■ Overview boards list the general tasks needed to accomplish the specific
goal
● Completed with help of the project manager
● Due dates should be set for items only within the specified
timeline
■ Overview Board columns should appears as such

■ Items can be marked as DONE when the required information is entered
as an update.
○ Task Specific Boards
■ These boards are created at the discretion of the Project Lead
■ They are not connected to the LLB
■ These boards are created to help break down a task that is in the
overview board.
● Rules
○ Deleting/ Changing Item Names
■ Items in Higher Level Board, LLB or Overview boards can ONLY be
deleted by A Project Manager
■ Overview Boards can only be deleted by the project manager
■ Editing Item Names
● Editing items in the Overview Board can only be done by the
project manager.
● Editing item names in the Higher Level Board need approval

○ Moving Items/ Changing Timelines
■ Any items that need to be moved in the overview board, LLB or
HigherLevel Board need to be completed by a project manager
■ Any Timelines that need to be reset need to have project manager and
management
