MANUAL FOR

DSPACE SYSTEM
PUBLICATION PROFILE

DSpace-CRIS consists of a data model describing objects
of interest to Research and Development and a set of
tools to manage the data. Standard DSpace is used to
deal with publications and data sets whereas DSpace-CRIS
involves other entities. Content grows daily as new
communities and collections are added to DSpace.

When you access an area of DSpace that requires


authorization, the system will require you to log in. All
users can register to become subscribers.
HOW TO REGISTER
THE ACCOUNT?
Go to website library (The Office of Library and
Knowledge Management)
Scroll down then choose the platform for
“PUBLICATION PROFILE”
Register your account here.
- Click the button for “Sign on to”
- Choose “My Dspace”
Before you log in for the first time, you will need to click
on "register with DSpace" and follow the instructions
You will need to enter your e-mail address, then click “Register”.
Follow the instructions given by email.
*only UMK email can be used for Dspace
HOW TO EDIT
RESEARCHER PAGE?
Click on “Log in as” button
and select “Receive email updates”
Sroll down the page and
click on “rp00077 (identifier number)”
The page show the profile detail and click on
“Edit Researcher Page” button to edit the information detail
Enter all the information needed.

names, or transliterations

Researcher ID
ORCID, SCOPUS &
Publons (WOS ID)
Click on “Save Changes” button
after finish edit the profile
HOW TO DEPOSITE/
SUBMIT PAPER?
Sign on to the system
Enter a user name and password and click “Log in”. If you forgot your password, click
“Have you forgotten your password” then follow the instructions. Email will be send to
you to verify and create the new password
Choose “Start a New Submission”
Select the collection related to the item for submissions and click
to “Manual submission”
Please fill in the related information based on the paper submission and
follow the instructions.
The information you fill in on the screens will form the metadata record that
will enable users to retrieve your item using search engine. Please take the
time to fill in as many fields as are applicable to your item.
The mandatory items to be fill is:

 Material  Publisher
 Indexing  Subject keyword
 Title  Abstract
 Author  Journal Name
 Year  Conference name
 Volume & issue (Example: 2(3))  Seminar name
Only for
 Doi  Seminar level
Conference Paper
 ISSN/ISBN  Place of seminar
 Type of Document  Organizer
 Article number (if any)  Date of seminar

Click on the “Next” button to proceed or “cancel/save” button to stop


DESCRIBE THE METADATA:
Author
This can be person responsible for creating or contributing to the content of the
item. By clicking on the “Add More” button you can add as many author you needed.

Title
Enter the full and proper name by which this item should be known. All DSpace
items must have a title.

Year
Enter the date for publication . If you don’t know the day and month, leave the box
empty.

Abstract
You can cut and paste an abstract into this box or you can type in the abstract. There
is no limit to the length of the abstract.

Volume
Enter the volume and issue for the item of publication.
Example: 2 (3)

DESCRIBE THE METADATA:
Subject Keywords
Enter the subject keywords are appropriate to describe the item, from general to
specific. Use one input box for each subject word or phrase. You can get more input
boxes by clicking on the “add more” button.

Identifiers
Enter the unique number or code identifies the item. Click on the arrow to the right
of the input box and select from one of the choices in the drop down menu.

The value is based on the Incites - Journal Citation Reports by Clarivate Analytics.

Funding
If the item is the product of sponsored research (grant) , you can provide
information about the funding.
Click on the button and window showing your files will appear. You can navigate through your
folders until find the correct file to upload. Double click on the file name you wish to upload.
Once the correct file name is in the input box, click on
the “Next” button to proceed.
Review the information you have entered to describe the item. To correct or edit
the information, click on the “Correct one of these” button. When you satisfied
that submission is in order, click on the “Next” button to continue.
Dspace requires agreement to this non-exclusive distribution license before your
item can appear on Dspace. Please read the license carefully
Click on “ I Grant the License” button after finish
reading the content of license
The submission has been successfully entered into the Dspace system.
You will receive email notification as soon as your item has become a part of the
collection or if for some reason there is a problem with the submission. You can check on
the status of your submission by going to the My Dspace page
HOW TO CLAIM
PUBLICATION?
Go to “Home” page

Search by using the title of item


Screen show the result and click on the item to see more
If the item is belong to you, you can claim the items though click on “Claim
Publication (Author)” button.
If you are the author of this publication, select your name from the list and click
on “Approve” button
