Instructions, User Manuals, and standard Operating Procedures

Criteria for writing instructions

 Audience Recognition- When typing out instructions make sure you know who your audience is,
if you say to cut the wood correctly, they don’t know what the safe and correct way is to do so.
 Ethical Instructions- A professional writer or employee you want to have the importance of
ethical communication, user manuals and instructions are examples of this. Employees wat
accurate and up to date information on what they are about to perform.
 Components of Instructions- Instructions have different components, from short listed to
different components comprising of different sections.
 Title Page- Make sure your topic is in line with what the writing is about, for example the title
iPhone means nothing but the operations for an iPhone so what the paper is about, more
accurate.
 Safety Requirements- Any hazard or anything that can be dangerous to the person preforming
must be callout like pointing out what the hazard is and displaying signs and colors if it’s a
warning or caution and explain both precisely.
 Table of Contents- Your instruction might have different sections; from the steps you can
included other writings like technical specifications and warranties.
 Introduction- When companies are making manuals they want to be as personal as they can
because the customer is your business, so leaving a thank you for purchasing our product is
always good.
 Glossary- If you use abbreviations for anything be sure to add a glossary showing those phrases.
 Required Tools or Equipment- if your instructions require certain tools be sure to point out that
before you start typing the instructions
 Instructional Steps- You must be very accurate in your instructions. Make sure to number and
put your steps in order, highlight anything important like the hazards to call attention to special
concerns and overload your reader with so much information, you must be very clear in
explaining.
 Additional Components- Additional components can include technical descriptions like a
specification on a tool, can have warranties and company contact info.
 Graphics- Use graphics in your instructions as they are more visually appealing and helps the
person understand what their doing.

Collaboration to Create User Manuals- When writing a user manual you can collaborate with other
coworkers such as other writers, the clients to see what is necessary to put in the manual and
always test it with customers to see if they ae able to understand and complete the steps

Instructional Videos- Videos are another great visual to show with the instructions like a animated
video showing the user how to perform each step successfully. Videos provide more information
than static text and photography.

Standard Operating Procedure

 Reasons for Writing an SOP- SOPS will ensure accurate job performance with consistent
quality. They are used in many fields to make sure companies are giving out the most
accurate information.
 Components of SOP’s- SOPs contain the same components as a user manual with different
sections like title page, summary of method, and many more to help make your user manual
or instructions very precise.

Test for Usability- Before sending out your instructions, you must see if its usable. People will use test
audience with different levels of expertise, and they will give you feedback. You will look for audience
recognition ask them questions about the instruction’s usability.

The Writing Process at Work

 Prewriting- You can organize different stages of your instructions to see what will be first or the
last thing said on the paper.
 Writing- You will then compose and write your rough draft.
 Rewriting- Revise the rough draft you wrote and begin writing the final draft.
