Teamwork Guidelines

The Audio Hive


Teamwork is our default platform for project management. It basically works as a board of task
lists in which one can organise task structures, assign tasks to each team member and follow
up on the status of our work.

Download the desktop app here and access our workspace with your given credentials.

Getting Started

The main page, under the tab Home, will show a menu on the left where the two first options are
My Work and My Projects. These are the two main pages we’ll use.

My Work: This will be the main page for each


user. Here you’ll find all the tasks that
correspond to you in all the projects you’re in.
You won’t find here tasks assigned to other team
members.

My Projects: Here you’ll find the overview of the


Projects you’re in, this includes the entire task
structure of each Project including tasks
assigned to other team members. Use it if you’re
a Supervisor or Project Manager.

Make sure you leave the Teamwork app on


during work time to follow up what’s due for the day and so you don’t miss any updates.

If you can’t see your tasks in the My Work page. Go to the button on the top right
corner and make sure your settings look like this.
Daily Responsibilities

Each team member will have to Clock In when they start their
working day and Clock out when they finish it. Do this by clicking
on your user settings on the top right of and clicking on the Clock
option in the dropdown menu. This will work as a switch to set the
beginning and end of your working day each time.

Also, each team member will have to set their daily status to describe the projects in which they
will be working on during the day. Do this by going to the People tab, then selecting the
Statuses section and clicking on the button on the top right.

Collaborating on Teamwork

When added to a Project, it will show on the My Projects page and the tasks assigned to you
will start to show on the My Work page. Tasks will show like this.

See indicated in red the information of the task. When you begin working on a task it’s important
to set the timer to start. Do this by placing the cursor over the Timer Icon and clicking on Start
Timer. A little window with a timer will show on the bottom left corner. When done, click on the
Log button and mark the task complete.
If a task shows a number where the check button should be it’s because there are Subtasks
that should be completed first in order to mark it as finished. Click on the View Subtasks button
indicated here to show the Subtasks beneath.

If a task shows a red icon where the check button should be it’s because there’s another task
that should be completed first in order for this one to begin. This happens when there’s a
sequence of Tasks. Place the cursor over the red icon to see the name of the task that has to
be completed first and click on that task’s name for more information.

Creating Tasks

Regular Tasks

Tasks are organized by Task Lists that separate regular tasks in groups. When inside a Project’s
Tasks section, go to the bottom of a Task List where you wish to create a task or create a new
Task List for the task you wish to create. Simply click on the green buttons to create any of
these.

Important: All tasks should be assigned to someone and must have a deadline and an
estimated time of completion. Add this information in the Who & When tab and on the
Progress & Time tab.

Task Structures

You can create bigger structures of Tasks by linking one another as Subtasks or adding
Dependencies to some of them. Create subtasks on a regular task by clicking on the Add
Subtasks button next to it and then adding them below. You can create endless sequences of
subtasks.

To add Dependencies to a Task, or Subtask, go to the Dependencies tab when creating it or in


the Task Editor and click on Select Tasks.

A new window will show where you can select the tasks that will need to be completed prior to
the beginning of this one. Select the task/s and it will show like this on the Dependencies tab.
Make sure the dependency is set correctly. This way you can create sequences of tasks that will
depend on each other to follow an staged process.
