Material Receive: Generally the location SPOCs receive a call from the courier /
logistic (for FD / Bonded material respectively) to receive the material, location SPOC
informs to respective building store coordinators to receive the material as per
invoice.
New Asset Receipt: Once the material is taken into custody, store coordinator
physically checks the material and accordingly note down the Serial No, Type Model
etc. Location SPOC update the data in SMT tool and also along with PO, Invoice and
description.

Measurements Workstations : Upload the stock in SMT within 5 Business days post physical receipt of Assets at location stores
Request: To get a asset, Employee need to raise request in Request Now / IM tool and
accordingly GCSC verifiers, verifies the request as per GBS guidelines. SLA for Thinkpad is 3
days, Desktop 5 days. Store team need to have a mail communication from
requester/custodian/higher management, if the request is kept open beyond SLA.
New graduate hire: In few locations batch requests are also raised for new graduate hires and
store team allocate asset on very next day.
Allocation: Once the request is approved, its reaches to store coordinator for allocation and
accordingly store team creates Asset Declaration Form and allocate the asset. If the asset is
capitalized in eAMT the eAMT ownership is also transferred and current user name and Client
Standard Asset Manager is also updated. PGP is also initiated.
TP Authorization Letter: If the allocated asset is a bonded Thinkpad, store team generates the
TP authorization letter with specific details (like asset Type Model, Serial, Bond No, BOE No,
etc) and a tool generated mail is sent to individual practioner.

Measurements ( Workstations ):

Secondary & Fixed Term Asset collection: If any Employee gets an asset against refresh and
the secondary asset is not returned to store within mentioned SLA, store team tracks down
the employee and accordingly follow-up to return the asset. Similarly when a fixed term
asset is allocated and the asset is not returned within requested time frame, store team
follow-up and takes the asset back to store to complete the cycle. SLA for Secondary ADF
closure is 5 days from the date of allocation and Fixed Term expiry date for Fixed Term
allocation
Recovery Team: Prior LWD of employees receives communication from Recovery team to
surrender the assets tagged to them on or before LWD. After the asset is physically returned
to store, team generated RADF and accordingly Recovery Team provides the clearance for
FFS (HR).

De-bonding of assets: Once the asset reaches 5years from the date of
capitalization, location SPOCs shares the details of assets (based on store
inventory) to logistic team for de-bonding purpose.
Data Deletion: Once the asset is no more in use, data easel is performed using
Client secure data disposal software.
Disposal: When both De-bonding & SDD approval is in place, location SPOCS
informs Warehouse team for packaging & shifting of material. Store team need
to physically check each assets working status and also verify the RAM, HDD
capacity prior packaging is done and accordingly informs Warehouse team.

Auto Billing: When project request for an additional asset, the value of the asset is charged back to project via auto
billing system. The cost may be charged as one-time or monthly based upon capes / opex approval.
Asset Lost: If any Client asset is lost, the cost of the asset and de-bonding cost (in case of bonded) is recovered from the
Employee and accordingly the asset is tracked until all formalities is closed including de-bonding and finally disposed off
in eAMT.
Payroll recovery: When an Employee loosed any accessories related to asset management the cost of the asset is
recovers from Client payroll.
Asset Repair: When an asset is faulty and out of warranty, Repair Center informs our team with the cost of repair. Based
on Client guidelines the cost of repair is charged to employee or the employee is asked to return the asset and
accordingly take another.
Customer Loaned Asset: When client sends assets for project use its need to be registered in Client CLA database and
accordingly needs to be physically verified in every quarter by store team. Store team should also take a letter from the
custodian for confirmation of physical ownership.
Daily reports: On daily bases stock count is matches, physically with SMT tool data. Incase
discrepancy location team is informed to justify and accordingly medicate
Weekly reports: PGP (Pretty Good Privacy) initiated data, New joiner initiative data, laptop
authorization data, Stock count data and weekly performance data is measured and updated
to Mgmt.
Monthly reports: Each store asset S/N is verified with Stock data and inventory of desktops
lying on floor is taken. Performance measurement report is also prepared and accordingly
tracked. Stock projection is also done and accordingly updated Mgmt.
