REGISTRATION TOOL - QUICK REFERENCE GUIDE

The purpose of this guide is to equip you to understand how the Registration Tool works as it relates
to the University’s registration and attendance policies. As a student in the MScFE program, it is
your responsibility to register for your next upcoming course in the week prior to the next course
start date. It is essential that you take action during the registration period to ensure your
continued enrollment in the Program without risking suspension.

What is the Registration Tool?

Managing your journey through the MScFE program is in your hands. The Registration Tool is
designed to help you track your course registrations and to manage your course Cancellations,
Withdrawals, Leaves of Absence (LOAs), and Failures and Repeats. With each action you take, you
will receive email notifications that your intended action has been taken along with reminders of
required next steps.

Program, please refer to the “Student Journey Chart” on the final page of this document.

How can I access the Registration Tool?

The Registration Tool can be accessed via the left navigation bar inside the WQU Learning Platform.
You can also access it from your student profile.

Before your course starts

Registration Period

Registration takes place in the week prior to your next course start date, which is referred to as
the registration period. You are expected to register for your next course or to request a Leave of
Absence (LOA) during this one-week time frame. If you do not take action during the registration
period, you will be placed on Inactive Status for the duration of one course session. If we do not hear
from you within two consecutive course sessions, you will be suspended from the Program, and
eventually withdrawn.

Registering for a course

To register for your next upcoming course, you must access the Registration Tool during the
registration period, click on the “REGISTER” button, and confirm your registration by checking the
box in the pop-up window that opens automatically after you’ve clicked the button. Upon successful
registration, you will receive an email confirmation.

Taking a Leave of Absence (LOA)

If you are unable to attend your next upcoming course due to other obligations, you may choose to
take a Leave of Absence (LOA) and to register for a later course session during its Registration
Period. Up to two (2) LOAs may be granted over the course of the entire MScFE program. LOAs are

not included in the transcript and do not count against the Maximum Time Frame (MTF). The
Registration Tool tracks your LOAs and you will receive email notifications with further
instructions and reminders of when to return to your coursework.

Please note that you are not permitted to change your status to LOA after the registration period.
Leaving a course while it is in session and prior to its completion is considered a withdrawal and will
be marked as such on your transcript.

Made a Mistake? Unregister

If you have registered for your next upcoming course and are no longer able to attend, you can use
the Registration Tool to “unregister” during the Registration Period. This will undo your registration
and allow you to take a Leave of Absence instead. Remember, you must either register or take a
LOA to avoid being placed on Inactive Status.

Inactive Status

If you do not register for your next course or take a LOA during the Registration Period, you will be
placed on Inactive Status. Once you have been placed on Inactive Status, you will be notified via
email and will be suspended for the duration of one course session. The time spent on Inactive
Status counts against the Maximum Time Frame (MTF) of three (3) years permitted to complete
the Program.

During your time on Inactive Status, you will receive email notifications to inform you of the next
upcoming registration period. If you are placed on Inactive Status two consecutive times and you
do not return and register for your next course, you will be withdrawn from the Program.

Maximum Time Frame (MTF)

While the Program was designed to be completed in two (2) years, the Maximum Time Frame (MTF)
permitted to complete the Program is three (3) years.

During your course

Attendance Requirements

To avoid being canceled from your course, you must meet minimum attendance requirements by
completing one of the following tasks before day 7:

• Complete a quiz
• Submit a collaborative review task
• Participate in a forum discussion about academic course topics

Logging into the learning platform and accessing the course without completing an activity or
actively participating does not fulfill minimum attendance requirements.

Cancellations

If you are already enrolled in a course but unable to participate, you may use the Registration Tool
to cancel your course enrollment within the first week of the course. If you do not complete any
activities during the first week of the course and therefore do not meet minimum attendance
requirements, your course enrollment will be automatically cancelled.

Cancellations are not included in the transcript but do count against the Maximum Time Frame
(MTF) of three (3) years to complete the Program. You can use a maximum of two (2) Cancellations
over the duration of the entire MScFE program. The Registration Tool tracks your Cancellations
and you will be notified via email .

Withdrawals

If you are no longer able to complete your coursework in weeks 2 or 3 of a course, you can use the
Registration Tool to withdraw from your course. Similarly, if you do not complete any activities
during that time, you will be automatically withdrawn. Withdrawals are included in your transcript
and count against the Maximum Time Frame (MTF) of three (3) years to complete the Program. You
can use a maximum of two (2) Withdrawals over the duration of the entire MScFE program. The
Registration Tool tracks your number of Withdrawals and you will be notified via email.

Course Failures and Repeats

If you have failed a course, you must use the Registration Tool to register to repeat the course. A
maximum of two (2) course failures are permitted over the duration of the entire MScFE program.
The Registration Tool tracks the number of Repeats and you will be notified via email
