Step 1 MY PROFILE
Complete the following tabs: Personal Information, Contacts, Home School and Academic.
Failing to complete required fields will cause delays when you start creating your application as
you will be prompted to return to your profile tab to complete or add required information. Do
not forget to list all of your core rotations (completed and scheduled).
Step 2 DOCUMENTS
Upload all documents required by the faculty you are applying to. To find what documents
are required by a faculty, visit the university’s Institution Profile on the Portal. These
documents must be added to your student profile before you start an application. Arranging
appointments for immunization and other requirements should be done weeks in advance.
Step 3 WISHLIST
Search the Visiting Electives Guide and add your elective opportunities to the Wishlist by clicking
the star on the elective details page. Note the availability of the electives, application periods,
prerequisites and blackout dates. Before adding electives to your Wishlist on the Portal, list your
preferred electives and dates to carefully plan your visiting elective schedule. A well thought out
plan will make it easier to visualize options and make decisions about elective choices in the Portal.
For adding electives to your Wishlist and application process, see below.
Type in an elective opportunity in the ‘Search visiting elective opportunities in Canada’ field. You can also refine your search
by using the filters to search by Host Institutions, Specialty or language.
Once you find an elective that interests you, click on the elective title to be taken to the elective opportunity page to find
more details. Details on the elective will include; Opportunity Length of the elective, elective windows (date a clinical
placement can take place), blackout periods (dates where clinical placements are unavailable) fees, prerequisites and
specific notes related to the elective opportunity.
To add to your wishlist, click the Add to Wishlist link at the top right . The star should then show up in yellow
color . This elective will now be added to your Wishlist and can be added to your application once your search is
completed. If you want to remove the elective from your Wishlist, simply click on the star a second time. The star will go
back to grey.
If the message “You are not eligible for this elective” is displayed when you are attempting to add to your wishlist, this indicates
you are not eligible to select this elective based on your student profile. Please review your student profile information and
eligibility for the elective opportunity.

At any time, you can stop the application process by clicking the Save Application as Draft button at the top right. You can
resume draft applications by clicking on In Draft under Applications in the navigation bar.
V. Application Process
On the Create a New Application form, review the instructions as you will not be able to complete or submit your
application if information is missing.
1. Choose from the drop down box the school you would like to apply to.
Important: Only schools with electives in your Wishlist will appear in the list.
2. Select your preferred language for the application and click the Apply button.
3. On the Electives Information tab begin by:
a. Checking Elective 1 box
b. Select the desired duration of the elective. The elective must be offered in the duration you select.
c. Choose a specific elective from your Wishlist by clicking the Please Select button
d. Pick a start date for your elective (some dates may not be available refer to the elective windows and blackout
periods displayed in the calendar)
e. Specify your learning objectives for the elective if requested (not all schools will require objectives).
Indicate whether or not you have already contacted potential supervisor(s) for this elective, and add their
contact details if applicable. Note: Some schools may not require this and will in fact not allow contact with
supervisors beforehand
f. Add any desired comments.
g. If you wish to apply for more electives, repeat steps 4-9.
h. Click the Next button at the bottom of the page
4. The Document Upload tab will allow you to attach documents from your Portal account to your current
application. For each required document:
a. Click the Browse button on the right.
b. Select a matching document from the list.
c. Click the Save button.
d. Once all the required documents are attached, click the Next button.
Note: As mentioned previously, documents must be attached to your profile before creating an application. If you have not
yet attached the necessary documents to your profile, save the application as a draft and return to the Documents section
(see the Completing the student profile help document for more information).
5. The Academic tab will auto populate with information from your student profile. Fill in any missing details about your
Home school, personal information and verify your core rotations/clinical electives in the bottom section to ensure
they are accurate.
If not, save the application as a draft and return to the My Profile section (see the Completing the student profile help
document for more information). When you are ready to proceed, click the Next button.
You will receive an on-screen confirmation of your application and an email re-iterating this confirmation . Your application
can now be viewed by clicking on In Process Applications on the home page.
In the meantime, you can check In process Applications on the Home page of the Student Portal to find updates/statuses of
your request.
Click the App ID to view the application. Partway down the screen, you will see your electives and the option to Decline
or Accept.
Clicking Accept will confirm your elective with the Host institution. When accepted a confirmation email will be sent to you
with important information on the placement you will be attending.
Clicking Decline may cancel the application. You will be prompted to confirm. THIS CANNOT BE UNDONE.
