Policies and Guidelines for Aeronautical
Engineering Program Research Methods and
Application

This is an official document of the Aeronautical Engineering Program (AEP) and was created for the
use of the Administrators, Faculty, the AERMS candidates and their parents or guardians in the
pursuit of a smooth and successful execution of the Research Methods and Application. With the
university’s vision and mission as foundation, this document shall act as an official guide to effectively
facilitate the conduct of the student’s Research Methods and Application.

This document which is called “Research Methods and Application (RMA) Policies and Guidelines”,
contains the following policy and procedures on how this course shall be conducted:

I. RMA Committee

a. The RMA Committee is responsible to effectively carry out the policies of the RMA
course/subject. They will decide on the interpretation of the policies set by the program.
The Committee shall be composed of the program chair as the coordinator of the
committee, a senior faculty member to act as project adviser of the committee, and the
project chair. The Project Chair is the assigned faculty in AERMA and the sole
person authorized to determine and issue the final grade.

II. RMA Candidate

a. A RMA Candidate is a bona fide student currently enrolled in the course RMA in the 1 st
semester of any academic year in Aeronautical Engineering Program.

III. RMA Project Adviser

a. A project adviser is a member of the faculty of the AEP. He or she will handle a
maximum of three (3) students’ advisee.
b. Program Chair/Coordinator and Project Chair can be adviser if need arises.
c. A project adviser that is not a faculty of AEP may be sought shall there be need.
Selection of non-AEP faculty project adviser shall be based on expertise.
d. The project adviser shall be responsible in guiding the student until the project
completion.
e. The Candidate shall select the adviser based on the adviser’s expertise. The Candidate
shall write a letter (Exh. 3) to the preferred adviser to formally request the adviser’s
assistance.

f. The Candidate shall inform the Project Chair about the selection. The Project Chair and
the Program Chair may then discuss to the candidate if there are any issue with the
adviser initially selected. If no issue raises, adviser assigned will now be official.

g. Project chair will then submit to the program chair the list of the final advisers with final
project titles and proponents respectively. The program chair will then inform the
selected adviser by mailing them.

h. The adviser shall set an appointment for consultation for which advisee must religiously
follow. A consultation slip (Exh. 1) will be accomplished for every consultation and shall
be signed by the adviser once done. This consultation slips are to be filed by the
proponents and made available once the project chair requested them.

i. The adviser will monitor the progress of their respective advisees. They will require their
advisees to submit progress reports or draft copies from time to time.

j. The students may approach other practitioners and professions, on inquiries regarding
their projects/research, if only approve by their respective advisers. An “Advise Referral
Form” (Exh. 2) will then be filled in and processed by the student.

k. The students may inquire specific issues only where an instructor is considered an
authority on such matters and that the Project Adviser involved cannot accurately
provide information regarding the inquiry. This can be done only if with the adviser’s
approval. An “Advise Referral Form” will then be filled in and processed by the student.

IV. Project/Research Policies

a. At the start of the class, a Project Candidate is required to submit at least 3 research
title proposals to the Project Chair.
b. Project Group is required to submit a long yellow expanded envelope with the group
number, name written in all capital block letters (surname/given/middle) and one (1)
centimeter in height in black permanent marker on the upper left corner backside. This
envelope will be used as documents storage for the entire semester. Note for face to
face only.
c. The Project Chair or Program Chair will initially evaluate the proposals.
d. The Candidate will be allowed to present their research/project proposal to the Project
Chair. The Project chair, together with the concurrence of the adviser, will approve the
Research/Project Title.
e. If a Candidate fails to get Project Title approval, he/she will be given a second attempt to
present another Project Title proposal seven (7) working days after the first attempt.
f. After successfully presenting and defending a research/project title, the student will be
given a document herein referred to as Progress Chart (Exh. 4). This document

contains the required completion of a specific part of the Project Book which should be
noted by the Project Adviser. During the research manuscript writing, the Candidate is
required to make scheduled report on the progress of the manuscript by submitting a
copy of the required chapter to the Project Chair with consultation slip and referral slip (if
there is any), duly signed by the adviser and the student. This progress report has
equivalent points/activity to be credited to the overall grade for the course/subject. If a
student fails
to submit the required progress report, no points will be given. If a valid reason for
failing to submit, the Project Chair may reconsider the award of points.

A Research Methods and Application Format is to be followed. (See Exhibit 5)

g. Assignments/Activities and major exams will be administered by the Project Chair.


h. Submission of complete manuscript or project book to advisers is two (2) weeks prior to
Oral Presentation and Defense. This is for the Project Adviser to verify if the
suggestions made are incorporated into the final work and it conformed to the standards
as set by the discipline. If satisfied with the manuscript, the Project Adviser will endorse
the Project Candidates to undergo Oral Presentation and Defense by affixing his/her
signature on the approval sheet in three (3) copies. Only permanent black ink is to be
used for signing the manuscript.
i. Submission of Book final draft to the jury of panel is one (1) week prior to Oral
Presentation and Defense.
j. Should the Project Candidate still fail to submit the drafts 3 days prior to the oral
defense, it will be the panel members’ decision if they will be allowed to present and
defend their project.
k. Failure to submit on the
i. Specified due date for the draft, the project will be disqualified for Best Research
Methods and Application. 10% will likewise be deducted from their grade.
ii. Should the group fail to submit the Book draft 2 days before the oral
presentation, they will no longer be allowed to present.
l. The Project Candidate must submit a bound copy of the final draft to the Program
Chair/Project Chair with the approval sheet (see Exh. 6) signed by the adviser.

V. Oral Presentation and Defense

a. The oral presentation and defense will be scheduled three weeks before the final exam.
b. Project Candidates are to wear business attire only during presentation. Follow
prescribed ORAL DEFENSE APPARELL (Exh. 7) which is herewith attached.
c. The panel of jurors that will evaluate the Projects shall be composed of three members.
The Panel shall compromise of One Chairman; who shall give Forty Percent (40%)
weight of the grade, and two Members, who shall give Thirty-Percent (30%) each. One

member panel is from the industry who is knowledgeable on the case presented and
he/she shall be given a different rubrics or grading sheet.
d. Not allowed during the entire proceedings are parents and Project Candidates (who
have not finished their defense yet).
e. Advisers are not allowed to ask, provide facts, and answer any questions or giving any
hints to advisees during the entire proceedings.
f. The Project Chair will determine the sequence of project presentation.
g. The Project Candidates must upload all their presentation files in CPUs one (1) day
before the oral presentation to avoid delays or they may use their own laptops.
h. For a product design project, the group must bring their product prototype 2 days before
the oral presentation for exhibition. Concept paper must go along with the prototype.
i. A grading sheet will be provided for each panel member by the Program Chair.
j. During the defense, the Project has at 20 minutes to make an oral presentation. After
which, the panel will have an opportunity to ask question for an hour and 20 minutes.
Once the panel has exhausted their questions, everyone will be asked to leave the
room. The panel will then agree among themselves if there are revisions that need to
be done for it to merit a passing mark.
k. All members of the panel will decide if the project is pass or fail. The panel decision is
final and irrevocable.
l. Defense date will be scheduled three weeks before the final exams.

VI. Book Submission

a. As final requirement in AEPRMA course, the candidate has to submit hardbound of the
book (cover color is maroon) in which the following are attached at the back page.
i. Plagiarism test, for which rate is below 10% for it to be accepted;
ii. Grammar certification
iii. Bio-data with pictures (passport size) of the proponents
b. Together with the hardcopy of the book, 2 soft copies are to be submitted in MSWord
and PDF. The cover of such must be the same to the hardcopy.
c. The book is duly signed by the following:
i. Project Adviser
ii. Panel members
iii. Program Chair
iv. Dean
d. All signatures shall be in permanent black ink and pen point is 7.0
e. Deadline for submission of the above is on the last day of the final exam.

VII. Best Project and Other Awards

a. The highest scores, but not lower than 85%, during the Oral Presentation and Defense
shall be declared as the Best Project in Research Methods and Application;
b. Amongst the qualified students, the candidate who gets the highest grade in the oral
presentation will be the Best Presenter.

AERMA of the Aeronautical Engineering Program. We are willing to abide by the rules and
implementation specified therein.
