In pursuit of the implementation of the Strategic Plan 2019-2029, and in line improving the
research capability of students and faculty members as well as promoting the quality of publishable
research output, the college is hereby adopting the following policies (which are in accordance with
the general research guidelines of the university) in the research topics submission, approval, proposal
defense, and final defense of the Thesis/Capstone Project for the undergraduate programs in the
College of Engineering, Architecture, and Fine Arts:
1. Submission of Thesis/Project Topics. For each department, all regular faculty members and guest
lecturers (optional) shall be a member of at least one (1) Research Cluster. As a member of the
cluster, each faculty is required to submit topics covered in the cluster research area and those
included in the University Research Agenda. The number of topics to be submitted shall be
determined by the number of groups (maximum of 3 members per group) taking the Thesis/Project
course. This is in addition to the topics submitted by the respective students’ groups bearing the
endorsement of the prospective adviser. All topics shall conform with the prescribed Topic
Proposal Form as shown in Appendix A.1. Topics shall be submitted to the Chair of the Research
Cluster within three (3) weeks before the start of semester. The list of approved topics shall be
posted to the student’s portal one (1) week before the start of semester.
2. Thesis/Project Topic Evaluation Committee. The Chair of the Research Cluster is tasked to
create a Thesis/Project Topic Evaluation Committee composed of a Research Cluster chair as
chairman, and four (4) members of the Research Cluster. The committee shall be assisted by the
Research Cluster Secretary appointed by the Research Cluster chair. The committee shall meet
within two (2) weeks before the start of semester for the deliberations and approval of the
submitted topics. The list of approved topics shall be forwarded to the Office of the Dean for
consolidation and posting in google sheet. Those projects pending approval are given one (1) week
to amend the topic based on the committee’s comments and suggestions. The same shall be
submitted again to the Research Cluster secretary for approval through circulation to the
committee members.
3. Selection of Topics by Students. Students (groups) can select topic from the approved list of
topics posted in the portal. Students are advised discuss the topic with the prospective adviser
(those who submitted the project title) to get the adviser’s endorsement of the group (students).
Should the group failed to get the adviser’s endorsement, they can select another available topic
from the list. Advisers are required to update the list once his/her topic is taken by the students.
This activity should be carried out within two (2) weeks from start of semester.
4. Approved Topic from Students. Approved topic from the students shall be owned by the
students.
5. Co-Adviser. The project adviser needs to justify if co-adviser is required in the project. The co-
adviser can be internal/external or may be from other programs as expertise is deemed necessary.
7. Thesis/Project Advising and Progress Monitoring. The adviser and the advisees shall meet
regularly (at least twice a month) to monitor the progress of the thesis/project work. A log sheet
shall be accomplished by the students (group) during the meeting. Please refer to Appendix A.2 for
details of the Log Sheet (to follow).
9. Proposal Defense. The panel for proposal defense shall be composed of the Committee created
under item 6. If a member is not able to perform his/her duty on scheduled date, the department
chair shall look for replacement or re-schedule the defense on agreed date. The conduct of the
proposal defense shall be facilitated by the course instructor
10. Submission of Journal Paper and Thesis/Project Report for Defense. The students (group) are
required to submit the Thesis/Project report not later than week 15. Aside from a completed
Thesis/Project report, the student (group) is also required to submit an 8-page journal paper taken
from the completed Thesis/Project report by week 16. The format of the Thesis/Project report and
the journal paper is shown in Appendix A.3 and A.4 respectively (to follow). The copy of the
Thesis/Project report should include a similarity index report (plagiarism check). Please take note
that the overall similarity index shall not exceed 30% and each reference should have similarity
index of not more than 5%.
11. Final Defense. The panel of examiners in the final defense may not necessarily be the same panel
who sits in the proposal defense. If a member is not able to perform his/her duty on scheduled date,
the department chair may look for replacement or re-schedule the defense on agreed date. The
conduct of the final defense shall be facilitated by the course instructor. The Thesis/Project defense
can be scheduled from week one (1) after submission of the Project/Thesis report.
12. Comments of the Panel. The instructor should consolidate all the comments of the panel
members and have it acknowledged by the adviser and duly signed by the panel members. The
copy should be given to the adviser who shall direct the group (students) to modify the report
accordingly.
13. Marking Scheme. During the Project/Thesis defense, the panel members should adopt a common
marking scheme (rubric) covering the presentation and the Thesis/Project report.
