ACCOUNTING & FINANCE SUPPORT FUNCTION
ADMINISTRATION STAFF
• Collect & Review Reimbusment, Expenses & Bill as Accounting & Finance Policy &
Procedure (Hand Carry Evidance/Receipt Form)
• Perform Routing Request approval for Budget, Expenses & Income. (Hardcopy
Approval)
• Comparing Budget vs Actual before request. (Quickbooks Feature)
• Have Responsbility for Process, Manage & Report Petty Cash as per Monday. (By
Email)
• Review & Correcting Project Budget & Others Budget Plan before Routing as
Accounting & Finance Policy & Procedure (Budget Form)
• On Monday, Report Production Proforma to All Head Dept/Division & President
Director. (By email)
• Support for Financial & Management Audit.
DOCUMENT CONTROL FUNCTION
ADMINISTRATION STAFF

1. Maintain electronic and physical files ie. Report, etc. (Document Room & Server
Room)
2. Review & Routing Approval for New or Revised SOP, Procedure & SOP. (Document
Control Procedure)
3. Organize and provide documents, reports and information.
4. Resolve administrative problems by coordinating preparation of reports, analyzing
data, and finding solutions.
5. Create Quotation Letter at ERP System.
CENTRALIZED COMMUNICATION FUNCTION
1. Plan meetings and conference calls and arrange and manage meetings. (By Ms. Teams)
2. Take and distribute meeting minutes. (by Email and WA)
3. Coordinate work space, computer, and supplies for new employees with GA Staff.
4. Maintain and reorder office supplies.
5. Sort and distribute mail.
6. Act as a liaison with other departments and outside agencies, including other staff such as
President Director & Director when directed.
7. Work independently and within a team on special projects, which could include presentations,
mailings, or proofreading
SCHEDULING FUNCTION

1. Maintain weekly schedules of employees.

2. Maintain moving schedule for employees position GPS.

3. Monitor & Update progress for Project.

4. Order & Planning Ticketing as Budget.
