Because I know this event will disrupt my schedule as my daughter has been away a long time, I will get ahead
in my school assignments and take the day off work so I can spend time with her. I will print out my project
plan and take it with me to the airport so I can work on it while I'm waiting for the plane to land. I will also
refuse to take on other projects until I've worked ahead and re-established my buffer zone for this project
(OGL 320).
While this event will most likely not be as disruptive since this daughter has only been away for a month, it will
still require time away from my studies. I will continue to work ahead on my projects so I can take this time to
reconnect without getting behind schedule.
My family always comes first. In the event of a family emergency, I will take care of the immediate needs of
family members, make arrangements for other needs, then return to my studies as soon as I can.
To prevent data loss in case my computer stops working, I will save and backup my files to an external hard
drive at the end of each study session. If I need to work on or submit assignments I will borrow my daughter's
laptop until I can fix my computer.
I am in the process of acquiring a backup power supply formy computer in the event of a power failure.
If the internet is disrupted and I need to submit assignments, I may be able to submit them using the data on
my phone. Otherwise, I will borrow my neighbor's computer or go use the computers at the library.
To prepare for the possiblilty of an accident or need to be hospitalized, I will share the location of my school
files so family member can access and transfer them to my daughter's laptop so I can continue working during
recovery. If the event interferes with my ability to complete coursework, I will notify instructor.
If my daughter who is visiting in Spain had an emergency and needed me there, I would load my files on to her
laptop and work on my studies during the flight.
If the house burns down, or if some other major event disrupts my ability to complete the course, I will need to
find another way to access my files. My backup files should be able to survive, in which case I will ask to borrow
the computer of a family member or neighbor. If the event somehow prevents me from completing the course
in spite of my best efforts, I will discuss options with the school and my instructor.
If work requires extra hours, or if traffic delays interfere with my study schedule, I will either spend additional
free time in my studies or request an alternate day/time off work to compensate. As always, I will continue to
work ahead to minimize the impact.
I rarely get sick, anymore, but when I do, I'm usually able to continue working at the computer. If I was too sick
to do so, I might ask my daughter for help in typing as I dictate or to read my assignments aloud to me. If I was
unable to concentrate or think, I would notify my instructors to see what my options are, take the necessary
time off work, and continue with my studies as I could.
I will daily and weekly evaluate my schedule and commit to spending the necessary time to complete my
coursework.
To avoid this risk, I will review my project plan weekly and have a clear vision of what needs to be
accomplished. I will then take a few minutes each hour to evaluate where I am at, what I am working on, and
what needs to happen in the allotted time.
Evidence of Active Planning
Active Planning is a dynamic method of managing project plans so they respond
quickly to operational changes. It differs from Static Planning, which may look
impressive, but doesn’t adapt well when its fundamental parts vary. One way I
engage in active planning in my OGL320 course project is by referring to my plan on
a daily basis. A quick look at due dates on upcoming products helps to prioritize
daily activities. Reviewing Quality Criteria reveals needed updates, additions, or
deletions in existing tasks and subtasks. To facilitate these changes, I keep the
planning document open and accessible on my computer, and make adjustments as
needed. Some obvious evidence of this is the addition of a task to “Update Project
Plan” at the end of each product completion (going forward from the original
Project Plan submission), and the inclusion of a new section for the Updated Project
Plan with revisions I found necessary after reviewing feedback and quality criteria
from the first Project Plan submission.
Another way I engage in active planning is to ensure my document follows the
Active Planning Criteria, which specifies how tasks should be named, subdivided,
scheduled, and related to one another. For starters, my tasks are named as verb
phrases to show what specific actions are needed, and I’ve subdivided them into
meaningful subtasks that support the overall product development. I schedule tasks
in advance, relying on past experience to more accurately predict the amount of
time required for their completion. This was difficult, at first, because I often
underestimated, not realizing how ongoing minor contingencies, in the form of
distractions and interruptions, affect the schedule. To account for this, I now build
“contingency buffers” into my time estimates to lessen their impact. Evidence of this
can be seen by noting, in the “Comparison of Actual vs Planned time invested,” that
later tasks were completed in less time than originally anticipated. To document task
relationships, I’ve noted in the product names when there are dependencies and
prerequisites. This helps me see when I can work on two tasks simultaneously, or
when one task must be completed before the other.
Protecting the plan against contingencies is another important aspect of active
planning. Since most contingencies are unexpected, active planning must allow for
variances. I’ve addressed this concern by considering and documenting my options
for dealing with unexpected occurrences, which includes working ahead on the
project whenever possible and building a cushion into my time estimations. As
actual unexpected contingencies are usually different from those that I’ve planned
for, I’ve identified five principles that remain the same and can give direction for any
contingency in Tab 2 “Risk Management” of my project plan, along with planned
responses to some of the more likely events.
Active planning means creating a plan that can be maintained under any
circumstance. Being an active participant in updating tasks and subtasks creates a
project plan that is not only dynamic, but lives and breathes as a readily adaptable
blueprint of my project.
