SUMMARY

The purpose of an invitation letter is to invite someone to a particular event. It can be a


party, presentation, meeting, or so on. In English, an invitation letter is usually used to invite the
person and to ensure that the person receiving the letter is coming to the event. Invitations may be
in two forms:

1. Invitation cards :
used to invite someone to non-formal events, such as a housewarming party,
birthday party, etc. The invitation card should be enclosed with a more formal letter if you
want to invite someone that you respect, such as your boss, your important client, etc.

2. Formal invitation letter :


used to invite someone to a formal event, such as a product presentation, meeting,
and business gathering. The language of the letter should be formal as a sign of to respect
for the one we invite.

The Structure of an invitation letters:

The language
The renses used in an invitation are the present and future tense. The present tense conveys
information about the event and the future tense is to seek assurance that the guest is going to
attend.

Format
There are three formats:

1. Full-Block Style
All the elements are aligned to the left margin and there are no indented lines.

2. Modified Block Style


The return address, date, closing and signature start just to the right. All body paragraphs begin
at the left margin.

3. Indented or Semi-Block Style


Similar to the modified block business letter style, except that the first line of each paragraph is
indented.

REMEMBER

1. Date
We have to be consistent in writing a letter, because American and British people have their
own style. In American, the order of the date is MM/DD/YYYY (e.g. January 6, 2015. In
British English, the order will be DD/MM/YYYY (c.g. 6 January 2015)

2. Salutation.
Write "Dear" + the title of the person and their family name.

eg. Dear Mr Blacksmith, (British) Dear Mr. Blacksmith: (American)

3. Introduction

Introducing yourselves, as well as the organization in which you are representing.

4. Body of the letter


Telling detailed information about the event, the purpose, the date and time, special conditions
(like dress code, things to bring etc.)

5. Appreciation
You have to show your hope that the guest will attend the event. You can do so by stating that
you look forward to seeing the individual at the event. It will be followed by how the guest
should confirm their attendance (just write RSVP, or please contact before...)

SUMMARY
According to Luis E. Gonzalez, a personal letter is a letter that is concerned with
personal matters (rather than professional concerns) and is sent from one individual to
another. Personal letters are used for several purposes, such as to congratulate, to share
ideas, to share experiences, to express concern, to request something etc.
Personal letters are used to maintain relationships between two persons. That's why
someone should write personal letters with good manners (in good structure and language).
In "The Art of the Personal Letter", Sharon Hogan says that good letter writing feels much
like good conversation. In modern communication, a personal letter is delivered by
electronic mail (email).
The Structure
Personal letters consist of four basic parts: the heading, the opening, the body, and
the closing.
- The heading includes the date of the letter and the sender's address.
- The opening of the letter consists of the salutation and the recipient.
- The body contains the information to the recipient.
- The closing contains the complimentary closing and the writer's signature.

Opening Salutations
There are some ways to give salutations:
- Dear (commonly used)
- Good Day or Hi/Hello (neutral and less formal)
The salutation is followed by recipient name (either last names or full names). You may include
someone's title Mr, Mrs, Ms, and Dr.
Mr - for a male
Mrs - for a married female
Miss - for an unmarried female
Ms - for a female whose status is unknown or would prefer to remain anonymous
Dr - for a person with the status of a doctor

There are some ways to write complimentary closing:
- Regards, (neutral there is no close relation)
- Sincerely yours, Cordially (shorten the distance between the sender and the recipient)

Note : There is no rule what you have to write in the body of the letter. A personal letter is like a
conversation. You can share ideas, write about experiences, express feeling, express thanks,
congratulate etc. We have to write in good language.
