Team Working Agreement

ECEN 403: Electrical Design Laboratory I

Project Name: Personalized Quantification of Facial Normality Using Artificial Intelligence

Team mission:

Our goal in this project is to evaluate Artificial Intelligence (AI)/Machine Learning (ML) solutions to
quantify the facial normality and select the less complex solution that can be adopted into a mobile
software application. Several AI/ML-based solutions will be investigated from the perspectives of
implementation complexity, computational and data storage requirements, running time and accuracy
in generating personalized indices to assess facial normality. We will be collaborating with Dr. Mitchell
A. Stotland from Sidra Hospital to collect and label data sets, develop and test deep learning solutions to
generate measures of facial normality. A database of images of congenital facial disfigurements will be
obtained from the Plastic Surgery Department at Sidra hospital. We aim to successfully maintain a
healthy working environment for the team to reach the best results for this project and help positively
influence the medical field.

Roles and Responsibilities:

Khalid Al-Emadi: Team leader and main communication line between the team and Dr. Serpedin
Layan Al-Huneidi: Responsible for scheduling meetings and taking meeting minutes within the team
and/or with Dr. Serpedin and/or Dr. Ghrayeb
Sara Mohamed: Responsible for assigning team tasks and keeping up with deadlines and assignments/
noting meeting minutes in case Layan is unable to attend
Salma Aboelmagd: Responsible for saving and storing the program code and storing other programs and
devices.
• All team members are responsible for individually submitting and reviewing final drafts of all
assignments
• All team members are responsible for ensuring meeting minutes are noted and shared with the
group

Meetings Guidelines:

We will meet and communicate frequently to discuss the project’s progress. Communication between
us will be through WhatsApp, emails, and weekly team meetings. We will have weekly meetings on
Thursdays with our mentor. Team meetings are scheduled every Friday afternoon at 1 pm. However, in
later stages of the project more frequent meetings are expected to be scheduled. If a member cannot
attend a team meeting, they must communicate to all members 24 hours prior the meeting. During
these meetings we will discuss priorities and provide constructive criticism. We will also make sure to a
give a shout-out for the top performers every week. Meeting minutes will be taken by Layan.

Conflict Resolution:

Decisions will be made on a majority vote basis. When conflict occurs, Dr. Serpedin will be consulted on
the necessary course of action. We will always seek to understand the desires of each member and to
find some common ground for agreement. If an issue occurs, it will be discussed until a solution is
reached and agreed upon by all the team members. If, however, a conflict occurs between two
members of the group, a third member will be in charge of easing conflicts and straightening things out.
We will also make sure to develop a plan to work on each conflict. Team members will state their points
and interests in a non-judgmental and respectful manner. All ideas and suggestions will be kept open
until a final consensus is reached by the group.
