Please find below the general guidelines in taking examinations in the Department of
Surgery.
1. Take note of the Zoom link for the exams sent thru Viber messages or Classroom.
The Faculty Interaction, if recurring, will also be used for the exams.
2. Please note that the room will be open as early as one hour before for a two hour
exam and thirty minutes before for an hour or less exam time. All students are
requested to log – in early to facilitate the verification process. Log in using the
LCUP email and names should be displayed as YEAR (AND GROUP, IF ANY),
LAST NAME, FIRST NAME (4 DELA CRUZ, JUAN).
3. All students should be logged in and have been undergoing the verification process
at least 30 minutes before the exams. No latecomers.
4. The department will be using Zoom breakout rooms named as Room Number 1 &
2 for groups greater than 10 plus the main room (for clerks). Each room will be
proctored by a faculty.
b. An environment check will be done and is not meant to invade any privacy.
Ask students to show a well – lit room, table free of any books,
transcriptions, writing implements and other electronics aside from
those that will be used for Zipgrade, Google Classroom and Zoom. A
confined, solitary place is preferred but if not feasible, a quiet with minimal
distractions should be set – up. The use of virtual backgrounds,
headphones, ear plugs, smart watches or any Bluetooth capable
communication devices are not allowed.
c. Set up two devices; the first gadget is the exam gadget displaying Zipgrade
or Google classroom. All other apps should be disabled or tabs closed. The
second gadget is the Zoom gadget. Place the 2nd gadget at the 4 or 7 o’clock
position 1 - 2 feet away from the exam gadget. The Zoom gadget should
display the side of your body, your hands, the screen and the keyboard of
the laptop. If the iPhone will be used as the Zoom gadget, make sure it is
in portrait mode.
d. For Surgery, the default setting for the Zoom app is VIDEO ON,
MICROPHONE ON, at the lowest volume level. Make sure that you
will still be able to hear any verbal instructions from the proctor.
e. The use of the keyboard is not allowed. The trackpad or the mouse (in
stationary position) is the only area that should be used to click, unclick or
scroll up and down while navigating in Google.
8. Communications during the exams will use the Zoom chat. Or students may raise
their hands physically or use the hand raise function of the zoom app to call the
attention of the proctor. In the event you are not able to call the attention of the
proctor using either of these means, you may unmute yourself.
9. Students are instructed to use the Viber number of the faculty in charge only for
extreme emergencies if any of the above mentioned options are not available to
you.
10. Students are discouraged to take any breaks during the exams. You may, however,
request to be excused once verification has been done and the examinations have
yet to start.
11. Some mannerisms (staring blankly in space, reading silently, hand gestures) or
any congenital eye disorders that may be construed as looking at codigo or cheat
sheets should be communicated to the proctor. Otherwise, these may be flagged
as suspicious activities.
12. Latecomers are discouraged. For valid excuses, students may be allowed to take
the examinations up to five minutes after an examinee has submitted his/her
answers. For invalid reasons, students may be allowed to take the examinations
provided that no examinee has submitted his/her answers yet. No extensions will
be given to the examination period except in validated and excusable
circumstances subject to the approval of the department.
14. This is a purely multiple choice type of examination and requires students to
choose the BEST answer.
15. When done, take a screenshot of the Zipgrade answer sheet and send it to the
LCUP email address of the faculty in charge. For those in Google Classroom, take
a screenshot that you have submitted your form. Then inform the proctor via
Zoom that you are done. Wait for the prompt to leave.
16. Lastly, we would like to make this experience as stress – free as possible for both
faculty and students alike. If we are to follow the instructions to the letter, this is
achievable.
