Compose the following types of business letters:

FOLLOW THE GUIDELINES IN WRITNG EACH KIND OF CORRESPONDENCE

1. Reference letter
You were the former manager of (ANY NAME FROM YOUR TEAM) who is applying for the
position of Administrative Officer in one company in Dubai. This applicant requests from you a
letter of reference as part of his/her application.

2. Adjustment letter
Make a reply to a letter sent by a customer (ANY NAME FROM YOUR TEAM) who is complaining
abut a defective water heater, he/she bought a month ago. She wants the heater replaced
immediately.

3. Inquiry letter
Write the Registrar’s Office of the University of Makati requesting information about their post-
graduate programs. Be sure to mention that you want copies about their program and that you
are enclosing self-addressed stamped envelope for their use.

4. Sales letter
Your company (NAME OF YOUR COMPANY) is launching their improved vacuum cleaner. You
are writing a valued customer (ANY NAME) who will be interested with the product.

5. Request letter
You have been accepted for the position of Administrative Officer in the HR Department of a
company (NAME OF COMPANY). One of the original requirements that you need to submit is an
original copy of your transcript of record the soonest time possible. Write a letter of request to
the Registrar’s Office of the University of Makati if they can grant your urgent request.

6. Complaint letter
You bought an external drive from a computer store (NAME OF THE STORE). However, after a
month, the external drive is no longer functioning properly. It is not saving materials properly.

7. Refusal letter
A company (NAME OF THE COMPANY) wrote you that your application for the position of HR
Supervisor has been accepted. However, you have already been hired recently by another
company and that you prefer to stay in that company at the moment. Write a refusal letter for
the offer.

8. Acceptance letter
You receive a letter from one company that you have been accepted as Assistant to the HR
Manager. You are glad that you have been accepted. Write an acceptance letter.

9. Acknowledgment letter
You received a payment in the form of check from one of your customers who is paying on an
installment basis on time. Write an acknowledgment letter stating that you have received the
check.
10. Collection letter
One customer is always remiss in paying the monthly installment and is now 5 months behind
due dates. The customer purchased an air-conditioning unit.

11. Commendation letter


One of your employees earned the title “Employee of the Month.” Write a commendation letter
to justify his/her winning the title.

12. Transmittal letter


Your manager asked you to review and make comments on the annual financial report
submitted by an outside auditor. Prepare a letter of transmittal as an attachment to the report
you had finished reviewing.

13. Resignation letter


You have just been accepted as Administrative Officer in a company. Write your letter of
resignation for your current organization.

14. MEMORANDUM
A. You are the HRD Manager and you are sending a memorandum to all the employees of Sales
Department of your company informing them about the importance of the vaccination
program of the company. They should fill-out the form for their covid-19 vaccination. They
should submit the form no later than September 21. For those who do not wish to be
vaccinated may see the company clinic and explain their refusal to get vaccinated.

B. As the Manager of HRDM Office, you will send a memo to all managers of the company
informing them of an urgent meeting to be held at the Conference Room 501 on September
1, 2021 at 10 AM, to discuss the distribution of Assistance in the form of groceries to all
employees.
