The Starter Kit explains about accessing procedures of Self Service Application at the
FRESHWORKS Website.

The kit has illustrations on :-

Home Page and Navigation

How to navigate the website?


In the home page scroll the mouse pointer on the top menu bar and the respective page links will popup. Click
the link you want to view.

For Eg : If you want to view the pay slip just slide the mouse pointer on Pay menu, the Pay Slip, Voluntary
Provident fund, Pay register & Flexi Benefit Plan links will popup. Now click the Payslip link to view.
Flexi Benefit Plan

Employees can manage their


Flexi components by navigating to
Pay->Flexi Benefit Plan. Here the
current compensation structure
will be available to view, and their
FBP components will be editable
for declaration .

Fixed Salary , Basic Pay , HRA, PF


and Statutory Bonus will be auto
populated/Non editable.

Flexi Benefit Plan options like


LTA, Telephone, Internet , Fitness,
etc can be Opted in or Opted out.
Employees need to use the
Validate button while updating
FBP declaration. Click Submit to
finalize the declaration.
Once the declaration is saved, a
confirmation message will appear-
“Successfully saved”.

For changes to take effect both validation and submission is mandatory


Accessing Monthly Pay Slips

Month-wise payslips can be accessed by navigating to Pay->Payslip.


Employees can select the month for which payslip is required from the dropdown menu

Payslips can be downloaded in PDF format and can be printed as and when required.

VOLUNTARY PROVIDENT FUND DECLARATION

Use option In or Option Out to get in or out of VPF Contribution Program.


The page open timelines are in the home page for you to know when the page can be used.
You can either opt for percent or value. The company will not make an equivalent contribution to VPF
Upper limit 88% of basic, considering 12% is already being contributed. If any employee is currently
contributing at 1800(minimum), requirement should be move to 12% and start contributing VPF at desired
percentage of basic later on.
Accessing Pay Register

Additionally, there is an option to obtain a consolidated year-to-date(YTD) payslip for the financial year by navigating
to Pay->Pay Register
The cumulative earnings & deductions for the financial year is available here.
Pay Register can be printed as and when required.
Reimbursement Booking

Employees can submit their FBP reimbursements online, by navigating to Reimbursement->Reimbursement Bookings
Then against the declared FBP components, click Submit Claim.
A new window opens up for updating claim details. To add multiple claim details, click on Add New. Upon successful submission
of a claim, a unique Claim ID is added to each claim
Employees need to take a print of the claim submission and drop it off along with the bills in the drop boxes.
Claims submitted by 20th of the month along with requisite bills, will be processed in the same month.
Attach duly filled and signed Form12BB form along with any LTA Claims. Claims without duly signed Form12BB will not be given
LTA exemption.
The current month’s Saved & Submitted Claim details are also displayed on this page
Saved claims can be modified till they are submitted, however, claims will not be processed till they are submitted
Employees can click on Print to print the Summary sheet or Click on Download to save as PDF once the details have been saved
Reimbursement Slip

Upon clearance of the reimbursement, a reimbursement slip is uploaded capturing remarks pertaining to clearance
or rejection, as applicable.
Month-wise Reimbursement Slip can be accessed by navigating to Reimbursement->Reimbursement Slip.
Employees can select the month for which reimbursement slip is required from the drop down menu.
Reimbursement Claim History

Additionally, there is an option to view a consolidated claim history for the month by navigating to Reimbursement-
>Reimbursement Claim History
Claim ID wise clearance and rejection details for the month is available here.
Tax Declaration

Tax Declaration gives employees the option to declare investments for the current financial year. To access the page, go to Tax-
Tax declarations.
Employees can navigate through Investment tabs to update their declaration and refer the guidelines under each of the tabs for
detailed understanding.
Tax declaration page will remain open from 1st to 20th of every month up to January. During this time employees can update
their investment declaration.
Any modification in tax declaration will impact the tax computation for the entire financial year. Tax will be re-computed based
on revised declarations and new tax liability will be arrived for the financial year.
Tax computation is based on the declarations made by the employee till January and based on the investment proof clearance in
February and March.
Employees are allowed to enter rental income and property tax if any to compute the final let out value.
Tax Computation

Tax Computation page will reflect the Actual earnings (Year to date paid salary), Projected earnings (Salary payable till
end of the financial year) and Taxable amount (based on the actual and projected earnings).

The Tax Computation page will be updated upon salary credit.

Helpdesk -> My Queries

In case an employee has a query pertaining to salary, reimbursement, tax, etc. he/she can click on Helpdesk-
>My Queries -> New Query
Then employee needs to select Category, Type & Details from the drop down options available.
Based on the selection an auto-generated suggested response appears. If the response does not satisfactorily
answer the query, the employee may raise a query

A suitable Subject and Description will need to be provided to help the team answer the query promptly and
accurately. A ticket No. is attached to the query
The concerned team will respond within 24 working hours of raising the query

Click on Pending to view a consolidated list of all pending queries.

Click on Replied to view a consolidated list of answered queries.


Employee Infostore

Employee can view and update his/her personal information.
FORM 11 (Details for PF)

Employee should update all the required fields in the FORM 11 Screen. The screen shows Aadhar details, Personal
Information, PAN Details, Previous employment details, Bank Details and Passport details.
Once all the data is updated, click on the Submit button,

Flexi Benefit Plan Employees need to Submit Flexi Open between 1st and
