STUDENT HANDBOOK

SY 2021-2022
This student handbook was written as a guide for the

student and his or her parents about the rules and

regulations implemented in our institution. Each

student must read and understand the contents of this

handbook by heart. A plea of ignorance about the

contents of this handbook is not an acceptable

premise by which the bearer will be exempted from

the said rules and regulations.

Chapter 1 - THE SCHOOL


Section 1: School Philosophy
As a social institution, Northfield Academy seeks to promote, preserve and communicate the
upliftment of the human condition, through the promotion, preservation and communication of
excellence.
As an educational institution, it seeks to encourage the pursuit, extension, renewal and
application of truth and knowledge. Through education, Northfield seeks to form individuals into
persons, who are capable of scientific activity and of relating everything to an ideal of ethics and social
practice. Northfield aims to elucidate both the principles and foundations of all knowledge.
As an Academy, it seeks to ensure that the scientific search for truth and knowledge always
coincides with the pursuit of just ends in political and ethical life. Through holistic education, Northfield
aims to nurture the speculative spirit and to restore unity to learning.
It intends to pursue these by providing an environment, which is suitable for intellectual
discourse and development of ideas.
Section 2: School Mission
The Northfield Academy seeks to provide quality basic education that emphasizes the
importance of values and character and their implication on holistic education.
Northfield envisions to: shape the minds, strengthen the hearts, fire up the spirits and purify the
soul of its learners.
Northfield is committed to:
 Provide Pangasinan, and subsequently the nation as a whole, with dynamic and
academically equipped students that can excel in the tertiary education or as part of the
work force;
 Aim to mold individuals into critical thinkers; drive them with passion and excellence; and
inspire them to become leaders in their chosen fields;
 Creatively and persistently develop all the genius domains residing in each learner and to
mold competent and ethical leaders by providing them with an environment of excellence;

 Serve as an extension of the family in character building, value formation and personality
development.

Section 3: Core Values


The Core Values of Northfield Academy are Excellence, Benevolence and Humanity. Excellence is the
idea that everyone should be able to harness one’s full potential. Benevolence is our responsibility not
just to share excellence, but to make others excellent as well. Humanity is the convergence of
excellence and benevolence in its role in the upliftment of the human condition.

Section 4: School Emblem

The School Emblem is embedded with three burgundy red flower buds at the center. These symbolize
the core values of the school: Excellence, Benevolence and Humanity. These buds are surrounded by
seven green petals which represent all the stakeholders of Northfield, working together, to ensure that
the core values are ingrained in the hearts and minds of everyone. The buds and petals are framed
by a shield composed of plots of land, which protects and nurtures the passion, hopes and aspirations
of Northfield.

Chapter 2 – Admission
Section 1: Qualifications for Admission
1. Old students who are officially enrolled during the previous year on condition that he/she has
not incurred a failing grade in 2 or more major subjects. In case of a failing grade, the student
must have taken the summer enhancement course prior to enrolment and passed it.
2. Transferees from other schools who have submitted the requirements of enrollment.

Section 2: General Admission Requirements


1. Duly accomplished enrollment and application form.
2. Original and Photocopy of PSA/NSO Birth Certificate.
3. Original copy of the Report Card (Form 138) duly signed by the Principal of the school where
the student last attended.
4. Certificate of Good Moral Character duly signed by the school authorities from the last school
attended by the student.
5. Enrollees who failed to submit Form-138 (report card) are considered temporarily enrolled.

Section 3: Policies on Enrollment


When a student registers in school, it is understood that he/she is enrolling for the entire
school year.

A student is officially enrolled upon submission of the requirements for admission, transfer
credentials and has made the required initial payment of his/her school fees.

Section 4: Enrollment Procedure


1. Secure and fill out the Student Enrollment Form from the Registrar’s Office.
2. Submit all necessary requirements for enrollment together with the accomplished Student
Application Form.
3. Select a payment scheme. Should you have made a reservation payment, please bring your
proof of payment and/or receipt.
4. Proceed to the School Cashier for the payment of the assessed fees. Payments should only be
made to the School Cashier. Other school personnel and teachers are not allowed to accept
payments. The school shall not be responsible for the loss or non-remittance to the School
Cashier of the amount paid by the student/parent to the said school personnel or teacher.
Hence, the said payment shall not be credited as payment for tuition and other fees by a
student.
5. Get your Official Receipt and Form 5 before leaving the Cashier.

Section 5: Withdrawal from School


Should you decide to withdraw the enrollment of your child for whatever reason, you must
follow these given steps:
1. Inform the School Administrative Officer or School Director in writing.
2. Settle your financial obligations, if any.
3. Pay the corresponding termination fee to formally withdraw your child/children. This will
free you from further obligations such as the accumulation of surcharge from your
outstanding school fees. A student who withdraws within the 1st week of classes and who
has already paid the required initial payment for the school fees partially or in full, shall be
charged ten percent (10%) of the total assessed amount of the school fees. If the student
withdraws within the 2nd week after the start of classes, he/she may be charged twenty
percent (20%) of the total assessed amount of the school fees. If the student withdraws after
the 2nd week of classes, the student will be charged the full assessed amount.

Chapter 3 – Academics
Section 1: Curriculum
Northfield Academy uses the K to 12 curriculum as the basis of its curriculum as mandated by
the Department of Education through the Enhanced Basic Education Law with enhancements and focus
on mastery to ensure the quality of education provided for by the school’s philosophy and mission.
As classes in the Northfield Academy go online this SY 2021-2022, several of our academic
regulations and policies need to be adapted to the unique circumstances of online learning. In
preparing for online classes, please be guided by the following:
1. Classes offered during the SY 2021-2022 use Zoom (for synchronous session in all levels),
Seesaw (for asynchronous session in Preschool to Grade 3), and Canvas (for asynchronous
session in Grades 4-10).
2. Learning hours refer to the estimated time that a student is engaged in learning experiences
(i.e., reading and assigned text, listening to a lecture, participating in online discussions,
working on a task, taking an assessment, etc.)

3. Only officially enrolled students may participate in classes (i.e., join groups, submit
requirements, and take quizzes and examinations, etc.).
4. For classes using Zoom, Seesaw and Canvas during the SY 2021-2022, officially enrolled
students are automatically given access to the class.
5. Faculty consultations should be held during the vacant period of the particular subject
teacher/s to be consulted. Faculty consultation could also be held on Saturday in the
morning.
6. On the first day of class, teachers are urged to hold a synchronous session during the official
class time in order to present the guidelines and to make sure that all officially enrolled
students are connected and onboard.
7. In case students are unable to attend classes they should inform their teachers.
8. In the event that a teacher cannot hold a synchronous session because of poor internet
connection, the teacher must relay instructions to their students.
9. Communication between teachers and students will be through the class LMS and/or email.
10. Online class communication and processes usually contain sensitive information. Thus,
school regulations on data privacy should be observed.

Section 2: Grading System


The school implements the K to 12 grading system with enhancements to ensure the quality of
education as provided for by the school’s philosophy and mission.
1. There shall be four (4) grading periods or quarters. At the end of the school year, the student’s Final
Rating and General Average for each subject shall be computed using the averaging method.
2. The Quarterly Average at the end of each quarter is computed up to two decimal places.
3. The Final Rating per subject at the end of the school year is computed up to the second decimal
place.
4. The Overall General Average is computed up to three decimal places.
5. Seventy five percent (75%) is the passing grade in any subject.
6. The lowest possible grade that can be given to a student shall be seventy percent (70%).
7. The Final Ranking System is employed in determining the students with Honors in each grade level.
However, students who have grades below 80 in any quarter are no longer qualified.
8. Transferees who are admitted after the 1st Quarter Exams are no longer qualified for year-end
awards and honors but are still eligible for Director’s List.
9. The Director’s List is also determined in each quarter. Students who don’t have grade below 85 in
each subject and a General Average of 90 and above in that grading period are qualified.
10. The following components: Written Works, Performance Tasks and Quarterly Assessment, in
varying percentages, depending on the subject, are used in the computation of the subject grades
per quarter.
11. The grade in each subject area will be based on the given criteria below:

Nursery and Kindergarten will be graded in all the subjects using letter grades.

12. Students who have obtained grades below 80 are considered to have incurred unsatisfactory
performance based on the standards set by the school.
13. Students with failing grades in Math, Science or English shall attend Enhancement classes after
their regular class schedule each day.

Section 3: Report Card


1. The grading system is divided into four quarters. Report cards are given out at the end of each
quarter. The school shall schedule a Parent-Teacher Conference at the end of each quarter to give
opportunity for the parents to consult with their child’s adviser and teachers regarding his/her
academic performance for that quarter. Consultation between parents and advisers is encouraged
to have an active partnership that would be for the betterment of the child’s learning.
2. Only parents/guardians may get the Report Card from the adviser. In their absence, an
authorization letter shall be submitted by the representative of the parents before the Report card
is released by the adviser.
3. The Report Card must be returned to the adviser a week after the release. A student who loses
his/her Report Card is required to submit a notarized affidavit of loss and a fine shall be charged
for the lost card.
4. Tampering the Report Card is considered a very serious offense and is a ground for expulsion.

Section 4: Financial Assistance


Northfield Academy offers Financial Assistance to deserving underprivileged pupils and
students who qualify after taking an exam and upon presentation of a letter addressed to the School
Administration stating the necessity of such assistance. The Scholarship Committee is headed by the
School Director.

Section 5: A. Academic Excellence Award


To give due and proper recognition to pupils and students in the Preparatory, Elementary and
Junior High School levels who have shown exemplary performance in their work, the table that follows
shows the specific Academic Excellence Award given to learners who meet the following cut-off
grades.

Chapter 4 – Code of Discipline


Northfield emphasizes values and academic excellence among its pupils and students. As such,
it is imperative that all of them shall follow the school rules and regulations.The school rules and
regulations serve as a definite goal of ensuring an environment that encourages self-respect,
acceptance of legitimate authority, and respect for the rights of others.

Section 1: Class Attendance


Regular attendance in all classes is required to ensure that they will not miss any lessons.
Hence, they are able to have the appropriate contact time as mandated for each lesson.

Section 2: Absences
1. Absences are counted from the first day of classes including those incurred due to late
enrollment. Students who have accumulated absences for more than forty (40) school days or
20% of the total number of school days for the school year will not be promoted to the next grade
level.
2. Students who have been absent for more than three (3) days due to sickness must secure a
medical certificate from their doctor indicating that treatment has been administered, before
they are allowed to come back to school.
3. Absent students are responsible for missed lessons and quizzes or exams. Missed lessons may
be obtained upon arrangement with the subject teacher. Quizzes and exams may be made up
through arrangement with the class adviser during Saturday morning.

A pupil or student is considered absent when he comes thirty (30) minutes after the first subject
has started.
Three times late is equivalent to one absence.
During Flag Ceremony, class advisers will check the attendance and the punctuality of the
pupils and students of their respective classes.

Note:
 The tartan prints, color and shade of the peach twill olive green cloths and piping must be the
same with the available sample cloths in the Administrative Office.

Administrative Office.
 Pupils and students are expected to wear proper uniform at all times inside the school campus.
 The ID Card must always be worn while inside the campus.

Section 5: Grooming
BOYS
Clean haircut. At no time must the hair touch the collar or eyebrows and ears. Using of
headband or ponytail and the like are prohibited. Hair coloring other than the natural hair color, tattoo,
wearing of earrings, body piercings and other accessories are not allowed. Finger nails should be short
with no nail polish and clean.
GIRLS
Hairstyle is neat. Hair and bangs must be kept from covering the face and eyes. Wearing of
accessories, make-up, faddish attire, tattoo and hair coloring other than the natural hair color are NOT
allowed. Finger nails should be short with no nail polish and clean.

Section 6: Identification Card


The Northfield Academy Identification Card signifies that you are a bona fide pupil or student
of the school. It should be worn conspicuously at all times while attending classes. No additional
stickers or decorative materials should be added to the card.
Lost identification cards are to be reported to and replaced by the Office for a fee.
Section 7: Conduct Outside the School Campus
Northfield pupils and students carry with them the good name of the school. Hence, they must show
respect by being a model through right behavior in all activities outside the campus such as contests,
symposia and trainings.

Social Media
Social Media such as Facebook has become a common means of communication among
the youth of today. Northfield pupils and students are expected to be responsible netizens by
not posting slanderous materials such as photographs of themselves wearing indecent clothing
and scandalous or derogatory comments.

Off-Campus Activities
A written approval should be secured from the School Director before participating in
any of the given off-campus activities:
a. Appearing live or tape on television, film or radio as guest, emcee or talent.
b. Appearing in commercial may it be print, television, radio or film.
c. Appearing as a cover model of any book, magazine or newspaper.
d. Participation in any department store-related promotional activities that will result to public
exposure.
e. Fashion modeling, joining beauty or personality contests of any type or cause.

Bullying Policy
Bullying as mandated by law is a crime. This includes cyber bullying. The school does not
tolerate any student who deliberately, physically harms others by inducing through repeated threats
of further aggression. Students who bully others when found guilty after further investigation by
designated school authorities, will be suspended on the first offense and expelled from school on the
second offense.

Academic Cheating
Northfield regards honesty and integrity as two values significant in the development of its pupils’ and
students’ character. Thus, it considers cheating as a very serious offense and merits academic and
disciplinary sanctions.
Below are examples of Academic Cheating:
a. Use of crib notes and possession of which whether written on paper, on one’s person or on the
student’s desk and belongings;
b. Copying or merely looking at another student’s test paper;
c. Holding up one’s test paper showing other students the answers;
d. Answering the test paper of another student;
e. Giving signals or other forms of communication which is interpreted as giving help to others;
f. Stealing, giving or receiving test papers;
g. Plagiarism;
h. Changing one’s answers during the time the teacher has given the right answers;

i. Anything analogous to the above mentioned examples;


j. Use of search engines during examination; and
k. Use of social media in sharing answers with others.
Flag Ceremony
a. Flag ceremony is conducted every Mondays. This is also the time for school announcements made
by the School Director, School Administrative
Officer and School Principal. Hence, all pupils and students are required to attend.

b. The Zoom will start admitting students at 7:30AM.


c. The Flag Ceremony will start at 7:40AM/12:20PM. All students should join in the morning prayer
and sing the National Anthem.
d. Latecomers can still be accepted while flag ceremony is still going on.
e. All pupils and students should exit the Zoom immediately after the flag ceremony.
Conduct During Classes
a. Class attendance will be checked by the class adviser.
b. Listen to your teacher during class discussions and participate in all class activities.
c. Use the class period only for activities that are related to the lesson. Refrain from doing things
that will disrupt the discussion.
d. Stand and speak confidently when reciting in class.
e. Do not entertain visitors during class.
f. No loud and boisterous talking, laughing and shouting when classes are going on.
g. Raise hands properly when you ask permission to go out of the classroom or say something.
h. Refrain from answering in chorus unless asked to do so by the teacher.
i. Come to class with complete assignment.
j. Strictly no eating while classes are going on.
k. Cellphones, smart phones and other gadgets must be turned off while you’re attending classes.
During Exams
a. Students are required to take the Oral and written Quarter exams in the scheduled date.
b. Parents are advised to settle the financial obligations of their child in school three days before
the scheduled examinations.
c. Special examinations are given only to those who have valid reason for not being able to take the
exams on the scheduled date such as illness; untimely family crises, and any other such cases as
approved by the School Principal.
d. Honesty and absolute silence must be observed during the examination proper.
e. Any pupil or student caught cheating in any form shall receive a score of zero in the said
examination. Pupils or students who also aided the said pupil or student shall also receive
a score of zero.
f. No pupil or student is allowed to leave once the exam has started.
g. Pupils and students are advised to do their personal necessities before the examination starts.
h. All school materials needed for the exam shall be brought by the pupil or student such as pencils,
erasers, rulers, pens, crayons, calculators and others.
i. No pupil or student is allowed to bring the test paper out of the classroom.
j. There shall be no extension of time allotted.
k. In preparation of power outage, prepare a power bank or mobile for your gadgets.

Chapter 5 – Offenses and Sanctions


Discipline is important to the Northfield Academy School Administration and its Faculty. Any
violations merit sanctions in accordance with Article IV, Section 76 of the Manual of Regulations for
Private Schools depending on the severity of the offense.
All matters relating to conduct and discipline shall be under the jurisdiction of the Disciplinary
Committee composed of the Class Adviser, Guidance Counselor, School Principal, Prefect of
Discipline, School Administrative Officer and headed by the School Director.

The decision on the pupil’s or student’s disciplinary sanction resides on the School Director as
advised by the Disciplinary Committee.

Section 1: Grounds for Disciplinary Action


Minor Offenses
a. Negligence of school work (assignments, projects, books etc.);
b. Frequent unexcused tardiness and absence;

c. Classroom misbehavior;
d. Leaving the classroom without permission;
e. Disturbing one’s class or another;
f. Failure to return Report Cards on time;
g. Exclusive boy/girl relationships during school activities;
h. Use of profane or obscene language in written or oral form and on social media;
i. Use of cellular phones, smart phones and gadgets during classes; Use of cellular phones for online
games, videos, etc. during classes.
j. Tampering the school ID or using expired ID cards; and
k. Unauthorized collection or solicitation of money from any pupil or student or even teachers.
Major Offenses
a. Cheating and any acts related to it during examination;
1. Unauthorized possession of notes during examination.
2. Copying or allowing another pupil or student to copy from any source of answers.
b. Stealing, duplicating/reproducing test papers or using stolen test papers for personal gain;
c. Possession, exhibition and display of any obscene or pornographic material;
d. Extortion;
e. Organizing, joining and recruiting students to a fraternity or sorority or any organization
unauthorized by the school;
f. Gross misconduct or dishonesty;
g. Forging signatures or tampering school records such as Report cards;
h. Giving or submitting false, fabricated and misleading information on any official document of the
school; and
i. Slanderous and degrading comments given to any pupil or student or school personnel, school
authority or administrator.
j. Using fake account to misrepresent other persons in any purposes.

Section 2: Sanctions
a. Warning – a pupil or student who commits a minor offense for the first time is made to realize the
distressing effect of his or her conduct. When warned, he or she is on probation for a specified
period of time.

b. Parent Conference - a pupil’s or student’s parents is called for a parent conference with the
Disciplinary Committee when he/she commits the same minor offense for the second time.
c. Suspension – a penalty in which the school is allowed to deny or deprive an erring student of
attendance in classes for a period not exceeding twenty percent (20%) of the total number of
school days for the school year. This is enforced when a pupil or student commits a minor offense

for the nth time or a major offense for the first time.
d. Dismissal or expulsion - may be enforced when the pupil or a student commits a major offense
for the 2nd time.
Section 3: Investigative Process
1. A written anecdotal report of the incident is made and signed under oath by a witness (student or
staff) and any staff who prepared the statement.
2. The anecdotal report is then submitted to the Disciplinary Committee headed by the School
Director for evaluation by conducting further investigation.
3. The Disciplinary Committee meets with the School Director to decide on the sanctions to be meted
out to the erring student.
4. Parents of the student concerned are called to meet with the School Director before the sanctions
are meted out to the erring student.

Section 4: Birthday Celebration


Birthday celebration in the classroom is limited to a simple 10-minute period during their break
time on Fridays only.

Section 5: Private Tutoring


Northfield Academy teachers are not allowed to do private tutoring to any student of Northfield
Academy unless the Director or School Administrative Officer issues a written approval. This is to avoid
favoritism in class. Parents, pupils or students who violate this rule may be subject to disciplinary action
and sanctions such as suspension or expulsion while the teacher involved may be terminated from
employment.

Section 6: Suspension of Classes during Typhoons


In the event of inclement weather such as typhoons, the school follows this procedure in suspending
classes:

Parents’ Guide to Support Online Learning
1. Parents/ guardians may help in significant way to establish the following routines:
Continue waking hours just like in a regular school day
Maintain school night bedtime hours for enough sleep
Set up a dedicated workspace for online learning
Follow a schedule that is based on their needs
Complete academic work as best as possible, and
Practice regular physical exercise and proper hygiene for health and progress.
2. They should also monitor and check their children’s daily activities and progress.
3. The school recognizes that families have different living conditions and varying resources available
at home.
 The student might have technical difficulties or questions related to hardware and software
platforms,
 The student might unable to engage in digital work due to sickness or power/ internet disruption.
 Parents are advised by the school to disclose if they are experiencing such issues.

4. The school wants to see greater initiative from the students in reaching out to teachers concerning
lessons and assignments considering that learning and character development are taking place away
from the school. Just the same, the parents/ guardians are responsible for supporting them under
normal circumstances.
5. Hence, communications on academic matters should ideally begin between the student and his/ her
teacher. If further conversation is needed, the parent/ guardian could reach out to the school through
the proper channels.
6. Phone calls are only entertained until 7PM during weekdays.
7. Asynchronous activities will be posted at 12:00 NN for morning session and 4:20PM for afternoon
session.
8. The cut-off time to pass learner’s activity is at 9:00 PM for morning session and 11:00 AM of the
following day for the afternoon session.

9. Learners must use their real name (registered in PSA) when entering the Zoom meeting.
10. Sharing Meeting ID and Passcode of Zoom Meetings is prohibited.
11. The use of virtual background is not allowed.

DO’s
Before the synchronous session:
 Parents/ guardians must create or post a schedule on a wall, for their children to be aware of their
time (set a clear priority: study or play)
 Prepare a quiet place with proper lighting where conducive learning can take place
 Students will do all the necessary things before the class (eat, go to the restroom, prepare the
things needed like paper, pencil, whiteboard)
 Assistance from Learning coach (parent/ guardian) is necessary in training on how to log in, check
the video, microphone, audio, use the annotate in answering on the screen, and showing the
paper/ whiteboard on the screen.
 Students must log in 5 minutes before the time
 In case of faulty internet connection, using data connection is another option.
During:
 Let the student focus and find the answer on his/her own.
 Participate actively
 Turn on the camera or else the learner will be considered absent.
 Wear decent clothes
 Mute their device during discussion and unmute it whenever asked to recite or to ask question
 The whole face and shoulders must be seen on the camera
 Be polite in the way you communicate

After:
 Rest your eyes.
 Prepare your assignment, so you will not forget to answer.
 Reach out to your teacher if you have any questions/issues.

DON’Ts
Before:
Parents/Guardians should avoid receiving a call near the student while doing online class (watch
out your words, emotions)
Learners should not let their teachers and classmates wait for them as a sign of respect.
During:
Do not allow their playmates, siblings, relatives, or toys to distract the learners.
Learners are not allowed to go anywhere unless there is an activity designed going anywhere (like
bringing an object that begins with the letter Aa…)
Do not eat during online classes
Avoid sarcasm in an online classroom
Don't write any angry/sarcastic words, even as a joke.
After:
Do not watch television or play with your gadgets. Show care to your eyes.

Section 7: Parents or Guardians visiting for Official Business


Parents and guardians who come to school for official business or any other important purpose
are not allowed to go directly to the classroom or Faculty room to meet with the teacher concern. They
should make the necessary arrangements with the School Principal or the School Administrative Officer
and transact their business in the lounge area of the Principal’s Office.
Parents and guardians are encouraged to visit the school and confer with the Class Adviser,
Subject Teacher, Guidance Counselor or the School Principal as to what would the best means to assist
their children in both academic and behavioral problems.
Students who were absent can ask for consultation on Saturdays from the teachers.
Regular hours to transact business:
Monday - Friday: 8:00 AM – 12:00 NN and 1:00 PM – 4:00 PM
Saturday : 8:00 AM – 12:00 NN
