Executive Summary
This report analyzes and assesses the Golden Dairy Farms (GDF) in its capacity as a business in
order to understand the impact and the impact on an organization of business processes,
complementary technologies and information systems. This report addresses GDF's current
challenges and offers solutions and ways to improve.
We have used a number of methods such as excellent tablets, graphs, diagrams for swim lane,
case research and external research to analyze this information.
This report consists of four sections, Task A, which is used to understand the GDF's day-to-day
operations and excellence for business intelligence. The second segment was Task B, focusing
on business process models showing the flow of GDF processes through a swimming path
diagram. Task C consisted of creating a mobile app for GDF if its customers could place orders
better. In the end, task D consisted of general issues related to various aspects of the GDF
business.
We found that the GDF business has grown year after year, and the way they take, maintain
and will not be adequate as the business continues to grow. Their results were evaluated. We
also discovered that there are many areas in which the business works independently.
Our recommendations for GDF based on our findings:
- Move to an online based system
- Start using mobile app for orders
- Have a feedback system, in which clients can give their opinion
- Add a GPS tracker in each delivery truck
- Start using excel to track products (what is coming in and going out, when does
something expire)
- Update availability of products

Introduction
The former East Gippsland farmer, Mr. Geoff Frost, founded Golden Dairy Farms Pty. Ltd. (GDF)
in Berwick, Victoria in 1961 In 1961. A company with a strong local position, producing a range
of products and developing an export company, has become a million-dollar company. Due to
the large fleet of steel GDF tanker trucks that collect 50 000 liters of all milk from selected
farms each morning and then pasteurize, homogenize and use any other process required
before the company is transported via a second fleet of supply lorries to major retailers. Under
the new general manager, GDF decided to upgrade its ordering system to respond more
effectively to the complexities of the changing market, but their previous reluctance to innovate
has hindered it, which resulted in numerous business areas without network connectivity that
allows them to use individual systems that share information d GDF hopes to eliminate its
current list of issues by adopting a new process and systems to match:

 Insufficient connectivity between the company and its customers.


 Only one single order can be ordered at any time in the current phone ordering
procedure.
 Most interdepartmental communications are done through telephone or e-mail, with
the exchange of formal paperwork via an internal mail system.
 Failure to connect the ordering system to stock control
 Failure to connect the shipping system and the shipping system ̈Failure to connect the
shipping system with the transport system
 During the delivery process, the truck driver is not contactable.
 During the delivery process, the truck is not tracked.
 The procedure of guaranteeing the deliverer (truck driver) is very inefficient to confirm
the delivery (customer signature) and delivery receipt (1-week delay).
 Inefficient process of quality management - not centrally available dates.
 The handling and logging facility of inefficient complaints.
 Adequate waste measurement difficult (unused expired products)
 Poor promotion of products

Evaluations of the business

Business Intelligence (BI) means technology for the collection, integration, analysis and
presentation of business information, applications and practices. Business Intelligence is
intended to support better decision-making in business. Implementing BI is useful to
GDF as it is able to make informed decisions, which increase productivity and thus the
profits significantly. The charts provided in the report will be used by the GDF to
maximize the production of milk products on demand and to prevent unnecessary
surplus inventory. It also streamlines efficiency within the ordering process allowing
customers to receive their products in a more orderly fashion.
Task A: Excel for Business Intelligence

This column diagram shows the total customer orders divided into sequence years. Over all four
customers, Coles Express, BP, 7eleven and Uncle Bob's milk bar are clearly on an upward trend
over the three years.

The chart in this column shows the total liters produced by each year for GDF products. An
exceptionally high rise in whole milk and skin milk was observed in all variations in 2020
compared to 2019.

There are both similarities and differences in the price paid per box of eight different milk
variations. More popular varieties such as whole milk and fat milk are costing $20 and higher
than $60 for more niche varieties, such as lactose-free and organic milk.

This is the Golden Farm Diary’s mobile app interface mockup.


The app has 5 main pages:

Log in/ Sign up

In this page, the user can log in to their account or switch to signing up a new account pretty
easily with only a tap. Other than the default way of logging in or signing up, there are also
some alternatives: Facebook, Twitter or Google Account.
Home page

Here, user can choose to check out one of the two main product lines of the business: Normal
milk products and specialized milk products. The products will be shown according to the user’s
choice. If the user taps on the product, it will lead them to that product’s page. More than that,
user can also search for a product in the search bar. There is also a button on the bottom right
that will lead them to the order page. And finally, tapping on the user icon will lead them to the
user page. This page is the main page that will navigate users.
Products page

The product page show some of the product’s image (if available), the price tag, and the
description of the product. The back button on the top left will lead user back to the home
page. The user can also scroll through similar products. On the bottom of the page, there is a
comment button, to let user read other user’s rating. Next to it is the Add to Cart button, which
will add their order, allowing user to purchase multiple products at once without having to go
back and forth the order and home page. Both of the button has minimalized icons, so users
can quickly understand what it does. Next to the buttons is the Order Now button. This button
does not use any icon, it is twice as big as the previous buttons, and it is in red. This provides
contrast and visibility.
Order page

User can check their orders, and adjusting the quantities of the product. After that, user can
choose their payment method. If they choose any method other than pay on pickup, there will
be a card detail section where user can fill in their card info. The total cost of their order will be
calculated and shown on the bottom left. The font is red in order to highlight the importance,
and to make it stand out. After all is done, user can confirm their order.
User page

Here, user can see their profile page or their order history list. On the profile page, user can edit
their date of birth, address, phone number and gender in the basic information part. Under it,
there is a setting part that user can customize to enhance their experience, such as
notifications, dark mode, … On the order history, user can see their past and current order.
Different delivery status has different colors. User can tap on an order to see a more detailed
order progress.
Overview

App’s purpose: Help the business to better promote their milk product, also allowing customer
to order their products.
Business functions:
- Distribution and logistics: managing orders
- Marketing: Promote milk products
Design principle
- Affordability: The use of icons instead of words. The app also tries to use as few letters
as possible.
- Constraints: User can only log in or sign up one at a time.
- Visibility: Parts that are in red help serve the contrast in the app, highlighting
importance.
Usability guidelines
- User control and freedom: User can customize the app in the settings part.
- Aesthetic and minimalist design: Few words and use icons.
- Consistency and standards: The main theme of the app is white and light blue, since
dairy products usually associate with those 2 colors.
Expected benefits
- Bring in more customers.
- Help growing the brand.
Task D: General questions
1) Role of business process modelling for organizational
Modelling business processes is a way to plan, produce and implement a solution. Description
of process activities using business instruments such as a diagram of the swimming lane, a
graphic container for dividing a set of activities.
Improvements to operations and employees are important in general for introducing or
adapting a corporate strategy. The processes, rules and employees involved can influence the
new strategy. Modelling of business processes simplifies this by:Not all businesses naturally
require a thorough analysis of the As and the To Be. However, here are a few examples of
scenarios when analyzing your As Is procedures:
• Ensure that the team members effectively help the company to implement the strategy in
terms of organizational functions and responsibilities. If the methods and the procedures are
not synchronized, the implementation failure usually results and goals do not reach.
• Ensure consistency throughout the process while keeping an eye on the company's overall
strategy.
2) The importance of information in organizational like GDF
In today's society, access to and access to information is urgently necessary. The following is an
indication of the need for information for different purposes:
Information is a help for policy makers, decision makers, managers, etc., in decision making.
Once it has been received, information will strengthen / transform human beings. Many
changes can be seen in human minds/attitudes to obtain the information, as this enhances the
recipient's ability to know the person. New information is generated. This is the current
knowledge/information that helps to generate new information; new information; new
theories, etc
There are an example of how Information Technology can be a useful tool for attracting new
customers and gathering information.
One way that I would like to mention is social media marking. Social media is an integral part of
the way people communicate. Over a billion active users are available on Facebook. There's
more than 700 million instagram. These are incredible numbers. It's a big mistake not to use
social media if you want to promote your business. You can also publish new products,
promotions, menu items, events and many more using your social media pages, like e-mail
marketing.
Not only that, social media have a tremendous targeting power. You can execute paid ads
aimed at people in your zip code or people who like similar restaurants in your area can even
target people in order to like your competition and attempt to rob them. There are never
ending marketing opportunities. The power of social networks is in focus. This technology gives
your existing customers and potentially new customers a direct connection. If you don't know,
social media can be daunting, but many platforms offer business owners consulting to help you
get started.
Recommendations for GDF to modernize:
With the fast-changing rhythm of life, all enterprises have to innovate frequently in order to
adapt into the digital age. Services and qualities are the most concerned priorities for the
customers, therefore there are some recommendations for enterprises such as GDF can keep
up with the pace and survive:
The first issue is to enhance the company network. It is clear that the connectivity between the
system are too sporadic and that makes the productivity gradually decreased. One solution I
would like the mention is to communicate with your users on proper network usage. To
illustrate more, without even realizing it, your employees could drain network performance. If
your staff use heavy-bandwidth applications, stream videos or music, or download several large
files via your network, the traffic for crucial business tasks will be much reduced. You must
inform your company about the correct use of the network, and that applications/services
should not be used on a corporate network. You will have to talk to them directly about their
use of their network, if certain users cause problems. Your company may need to ban
applications and services that regularly waste network traffic in the worse case scenario.
Otherwise, technical problems also result in a terrible consequences, therefore reconfigure
your network hardware is of paramount importance. For example, whenever a device is
installed or updated in your network, your company must ensure that the device is properly
configured. Otherwise, your devices cannot communicate correctly with each other, causing
routing problems or increasing latency. Whenever you reset a piece of network hardware, your
company must immediately ensure that your network performance is not affected by changes.
The second issue is to improve and generate the cloud services of the companies. This kind of
services now is so popular and it provides opportunities for companies to develop. There are
some of the solutions in order to increase the cloud services quality. The one reason worth
noticing is to empower businesses to move faster. With the rise of cloud computing services
such as IaaS, PaaS, and SaaS, a company's infrastructure has begun to move faster. Many
providers of cloud services now provide all that a company needs without investing in
expensive hardware and software licenses. Companies instead pay a cloud service provider
subscription and obtain flexible and scalable solutions. The Cloud service provider takes on IT
tasks which would otherwise delay business while the enterprise benefits from the lightweight
nature of the cloud services. Maintenance of hardware, software patches and updates are all
done behind the scenes. Companies spend less time on technology and more time operating to
grow the company. On the other hand, network security also plays a essential role in the
survival of the company. Partly because cloud storage is far more safe than an onsite server,
cloud services are becoming so popular. In the case of a device robbed or a physical structure
damaged, the data of a company will remain in the cloud securely. Due to an on-site disaster, it
cannot be corrupted, lost or compromise.Likewise, hackers have more trouble accessing cloud
technology. Gartner, a global IT service management company, therefore expects cloud storage
to be one of the most popular options for security of small business data. The effects of
phishing, ransoms, and other tactics that took precedence in 2019 can be mitigated with cloud
storage.(Harris,2020)

A mobile webpage app is the preferred way to do this. In this situation, a mobile web page app
is superior because customers in the entire industries use different software and hardware.
They can do their many positive features favorably, such as users without interface differences,
not having to access an app store, not having to update web apps and have bigger networks of
device support. This is why GDF should adopt a web application rather than a native
application.

Web analytics measure, analyze and collect internet data to help businesses understand and
optimize their web use. It is used regularly with customer relationship management analysis
(Rouse, 2019). You can obtain some kind of information from the analysis, such as the chances
of the return of customer, what certain products are so popular, how many clicks on the
website and how many views are available. You can use Web analytics to measure key KPIs,
which you can use to help your business grow.
To help businesses learn the demographic of their customers, web analysis helps to create a
marketing plan. These findings help them. This could help improve your business opportunities
to retain your existing customers and attract new ones. There is also social network analytics
that collect social media data. Data can be collected using multiple platforms to analyze social
interactions. You can understand how customers decide and use it in your business areas
through social media analytics. This approach provides insight into the behavior and patterns of
consumer communication. A range of information can be collected using analytical social
networks, including the number of posts indicating the brand, the number of conversations
mentioned in the product. Some of the advantages of using social network analytics means that
a company understand the strengths and weaknesses it has with respect to marketing, but also
understands the opinions it has of its brand. Finally, customer relations is a corporate strategy
to improve revenue, profitability and customer relationships in the company (Lund, 2019).
Management of customer relations includes a mix of technology, practice and strategy to
analyze customer communication and life cycles. Profiles of customers are created by the
management of customer relationships. Using this strategy, you can collect a number of
customer information, such as communication, commitment and transactions.
Information on the communication details of the preferred contact method for your customers.
Details on engagement might be your favorite social media or your response to specific media
channels. Details of the transaction can inform you of the payment method or time of
purchase. (Wilhelm Lebert, 2012). The advantages of collecting this information can increase
the ability of companies to address and resolve client issues and help build customer relations.

Privacy is an act that secure the privacy of the individual, its financial or personal health details
and the way businesses and organizations gather, store and use information provided by this
act may be regulated. Personal data of customers should be secure and secure if other
customers cannot access it. There are principles of privacy to be followed in order to administer
personal details. The information collected by the company should not be used for private gain
but for business purposes only. In order to protect their personal information, the company
must adopt certain cyber security measures to ensure that their information is safe. This is
achieved by restricting access to important and private information by a small group of
employees, so that headquarters can monitor the activities, given the limited and controllable
list of those with access. Golden dairy farmers can enter an intrusion detector to alert managers
to unusual activity. An email alert is automatically sent to notify the company of a security
violation. Golden Dairy Farmers set strong passwords to ensure that information is not
accessible to those outside the company. You should adhere to certain standards in order to
create a strong password, like using a combination of bottom and top letters, numbers or
symbols (Protect your business online, 2019). It is also more difficult for some to violate cyber
security if passwords are modified regularly.
When you no longer need your customers’ personal information you must destroy or de-
identify it. This includes shredding documents or storing them in a secure area. Furthermore
there are some of the privacy laws or security measurements to guarantee that customers’s
information is safe and secure:
Secure network system by several ways:
 Establish strong password
 Set up a firewall
 Generate antivirus protection
 Updating the network system frequently
 Set up an Access Control List: This allows the system manager of your business to
monitor which employees are able to access the computer system or some
computer system areas and if they can log in from the office remotely or only.

Conclusion
To sum up, The Golden Dairy Farms from a holistic viewpoint is currently stable and
offer a good opportunity for growth across countries. Adopting the proposed mobile
app and applying network security and cloud services would significantly enhance the
potential of the company to engage its target audience, provide its consumers with a
seamless and improved online service, increase customer service and overall market
performance. The company assures that it will develop much more in the future by
escalating the profits and put a considerable progress on services
