QUESTION 7
Case study
Complete
Fish Mart was established as a retail shop for
Marked out of
20.00 different types of fishes and sea food in
Kozhikode, Kerala. The retail outlet used a unique
refrigeration technology to preserve the fishes
and the sea food. The shop sold all types of fishes
and sea food and theirfreshness of fishes made
customers flock from all around Kozhikode.
Realizing the high customer demand, the
management of this business has decided to
open up 20 new outlets in different parts of India.
However, an issue that has cropped up is that
different regions of India has different types of
fishes that are popular in their cuisine, and such
types of fishes has to procured from nearby
locations. Managing the supply chain network of
fish procurements was a real challenge in front of
Fish Mart. One more challenge was that in
eastern region, people were move inclined to buy
live fishes rather than refrigerated ones, and fish
markets across cities in such region was a big
competitor for Fish Mart expansion and growth.
Prior to the expansion, the owner was managing
the outlet in Kozhikode, however after expansion,
he hired professional managers to manage the
centre. The earlier centre has just a printed cash
memo system and had no either business
information systems in place. Since the growth of
outlets, the management found it difficult to
manage and predict the suppliers, and bulk
orders coming from all the centres. In traditional
eastern India weddings and celebrations having
fish delicacies like “SarsarHilsa” is quite popular.
Fish Mart has to procure Hilsa from Bangladesh
to fulfil the demand of the retail customers and
bulk orders. However, fishes have a very limited
shelf life, hence long time preservation would not
be an ideal strategy. All these issues have resulted
in a lot of mismatch of demand and supply, which
sometimes resulted in huge customer
dissatisfaction and sometimes it resulted in
wastage of fishes. Apart from all these
operational issues, other issues like pilferage
among workers have also come up. The
management has decided to adopt a business
information system for the overall operations.
They hired an IT service company, Calicut IT
Solutions to help them in this exercise. Mr Abdul
Latheefis working as a system analyst in Calicut IT
Solutions and he has been given the task to do
the entire system analysis and design for Fish
Mart. Since the demand of fishes are very high
during January and February months, the
management of Fish Mart wants to finish this
exercise before that. Since, the company has
expanded recently and has put sufficient
investments in expansion, they have only a
budget of Rs30 lakhs for this information system
exercise.
Answer the following questions to help Mr Abdul
Latheefin this exercise

1. Provide the problem description for this

information system exercise in terms of
problem definition, issues, objectives,
requirements, and constraints.
2. Highlight on the technical feasibility of this
system development exercise in terms of
inventorying hardware, and comparison of
workloads (between existing system and
proposed information system). Assume
data as necessary.
3. As an Information System manager, which
technologies would you adopt to
smoothen the overall operations and
reduce the cost of operations? Choose
appropriate technologies for
implementation and justify it. Also,
consider the cost of implementing these
technologies and perform a cost benefit
analysis for the same.
4. The outlets of the Fish Mart are run by
semi-literate employees. How would Mr
Abdul Latheef implement an information
system exercise with such employees?

ANS.1
Problem Definition-
Fish mart is currently facing problems with
managing the suppliers and the orders after its
recent expansion all over country. The main issue
is demand and supply mis match and also there
are increased number of cases of the pilferage in
their outlets.
Issues-
1. Customer dis-satisfaction due to mis-match in
the demand and supply.
2. Pilferage among its own workers
3. No business information system is used as of
now, still using the conventional printed cash
memo
4. Difficulty in tracking orders due to sudden
expansion in the business

1. Creating a System which generates all the cash
memo and invoices
2. Creating a system which keeps track of the
enitre inventory to prevent any kind of pilferage

3. Create a system to forecast the demand sothat

this demand and supply mismatch is avoided
4. Developing a single platform where all the
orders from different centres can be collected,
which makes tracking more easy.
Requirements-
1. Feasibility study to determine the optimal type
of ERP and SDLC to be used
2. The implemented system should be easy to use
even for non technical people
Cosntraints-
1. Budget must not exceed 30 Lakhs
2. Fish mart want to finish this development and
implementation of new system before January
since demand will be high in that period.

ANS.2
Technical Feasibility Study-

1. Inventory Hardware ( Existing):- Printed Cash

Memo System
2. New Proposed System:- MIS with on premise
infrastructure, with provision of demand
forecasting, supplier and order management,
inventory management and customer
management
System Comparison b/w old and new:-
1. Performance:- The old system needs manual
inputs. In the new system, the data input is
accurate and automicallly updated to the
database which can be viewed by the
management. Hence, all data will be avaialable
to the owner.
2. Time:- New system will be much faster and
more efficient.
3. Costs:- The initial investment is higher for
setting up new system but since the business is
scaling up, new system will save money in the
long run.
Therefore, the new system is more feasible.

ANS.3
An MIS with on premise infrastructure, with
provision of demand forecasting, supplier and
order management and customer management
is required. The system will connect Fish Mart
shops all over India and give owner the access to
monitor the sales and operations.
To implement this system, we can either use in
house server or use a cloud based server.
 Particulars                         In House               Cloud
Based
Set Up                                    Rs. 90,000           Rs. 20,000
Deployment                     Rs. 60,000             Rs. 25,000

License Fee                         NA                             Rs.

1,00,000
Maintainence                Rs. 40,000                 NA
Total                                  Rs. 1,90,000               Rs.
1,45,000

All these cost figures have been assumed based

on the industry understanding.

Hence, cloud based system will be cheaper and

would be more beneficial since it would be easy
to expand.

ANS.4
In order to implement the information system
with the semi literate employees, Mr Abdul
Latheef can do the below activities:-
1. There should be clear understanding of
activities that would be performed by the
managers and those that would be performed by
the semi literate employees.
2. The more complex task like demand
forecasting will be done by managers while the
easy and repetitive tasks would be given to semi
literate employees.

3. Before the information system implemented all

the employees should be given training on how to
operate the system.
4. There should be instruction manual in the local
language to refer for the semi literate employees .
5. Efficient human resource assessment during
the development phase would also ensure
smooth implementation of the system.

ANS.5
The questions that can be asked in the
questionaire are-
1. How often is the order placed with the supplier?
2. What is the lead time for the order placed?

3. How long is the shelf life?

4. How much is the quantity of each type of fish
sold in the market?
5. How often do you experience stock out option?
6. How often the disparity in the order that has
been placed and the order that was received?

Ths stakeholders that can be interviewed are Mr.

Abdul Latheef (Owner), supplier, manager and
