I, Planning documentation

1. Introduction

According to UNWTO – the United Nations World Tourism Organization, Sustainable Tourism
is improving economic and social opportunities in the long run as well as reducing the negative
effects on nature, culture, history and society by balancing the tourism need with the endurance
of the tourism destination (Defining Sustainable Tourism, 2021; Sustainable development |
UNWTO, n.d.). To prevent harmful effects, Sustainable Tourism is one of the most effective
methods. Acknowledged that, BUV always tries to contribute as many efforts as possible to
improve World’s Sustainable Tourism in general and Vietnam’s in particular with activities such
as cooperating with the organization "Viet Youth on Sustainable Tourism" to create an exchange
program for students to participate in learning about tourism in Hanoi and target to raise
awareness for young people about this new definition (British University Vietnam is pleased to
support “Viet Youth on Sustainable Tourism”, 2018). The current status of tourist areas and
monuments in Vietnam is seriously polluted as people's awareness is inadequate, everywhere
around the relics there are garbages and people breaking preservation rules (Nguyen, 2021; Ứng
xử đúng đắn với các di sản, 2016). Therefore, BUV planned the "Clean-up Hanoi project" to
contribute to the Vietnamese community with the hope to create an alternate reality for this sad
actuality, the clean-up project is launched with hope of cleaning up five temples in Hanoi starting
with Ngoc Son Temple.

2. Scope of project

The "Clean-up Hanoi" project is a project of the Student Experience department of BUV to
support Sustainable Tourism in Vietnam, whose main goal is to clean up five temples in Hanoi to
raise people's awareness about this issue as well as to bring a cleaner environment to the city and
visitors. Concomitantly, showing BUV's support and interest in Vietnam's Sustainable Tourism.
The project has around 40 participants who take part in cleaning, planning, completion and have
full authorization from management agencies. Each session would take around 2 hours, once a
month on every last Saturday of the month starting from June 2021. Attendees will be fully
equipped with tools and knowledge to participate in the project's activities. This project is
expected to benefit both the monuments and the reputation of BUV, and at the same time
complete the task of raising people's awareness about Sustainable Tourism.

4. Timetable

According to Article 5 of Law No. 9/2017/QH14, the state encourages investment and
development activities that have a good impact on the environment, so it was not difficult to
obtain an operating license (Luật Du lịch 2017, Luật số 09/2017/QH14 mới nhất 2021, 2021).
Nevertheless, legal formalities are still needed to start the project. The organization had to
prepare almost 2 months earlier than the date of the event because the process of applying for an
organization permit usually takes 10-30 days, and we could only start preparing when we have

full permission from the authority. During the application process, our staff will work with the
waste treatment company so that at the end of the event, they can pick up the trash. After
receiving 2 over 3 confirmations from the applications, we will start booking interview locations
at BUV campus to reduce the cost, then we interview and recruit core staff such as media
personnel, expertise from similar cleanup projects, and team leaders. Once we had enough
human resources, we would survey the cleanup area to plan the work, control hazards,
attendance and create budget list. As for the most important task, is to recruit volunteers, then to
disseminate to employees about important information of the event. Checking the weather and
other objective factors affecting the cleaning day to confirm the date of the event are the
predecessors of preparing to buy materials, utensils, and order food. Finally, in the last five days
before the event, a meeting will be held for participants to be informed about the event
information, and getting to know each other in order to increase work efficiency plus the bond
between members.

After nearly 2 months of preparation, the first event takes place for around 2 hours on
26/06/2021. On this day, staffs are gathered at 4:30 a.m. to receive the pre-ordered breakfast, and
double-check everything. Next, we gather all volunteers at around 5:00 am to take attendances,
distribute breakfasts and eat until 5:45 am, then the staffs go through the important information
with the volunteers. From 6:10 am to 8:00 am is the time for the main job - cleaning the relic.
Afterwards, it is time to take a break, while everyone is resting, the team leaders will give
comments on the work, and wrap the event up with salutations.

5. Creative and Innovative ways in Educating the public 

In modern society, the best way to catch people's attention is through media platforms, so it is
necessary to increase people's awareness towards Sustainable Tourism and the event through
social media. Through social networks, it is easier and faster to spread the necessary information
by diligently posting useful information, and the results of each process, which can increase the
interest of the viewers in the issue of Sustainable Tourism. Through these means of
communication, it is possible to create giveaways with the request to share, state personal
insights about Sustainable Tourism and methods to support this. The best answer can receive a
small gift such as a mini cactus or discount vouchers.

6. Budget list

Since it is a voluntary activity, we try to minimize the funds as much as possible but still ensure
all necessary equipment as well as protection for participants. After some calculation, the total
cost is 8,760,000 VNĐ including all the essentials for 40 people.

7. MODeST analysis

a) Mission:
The most important mission of this project is to raise people's awareness about Sustainable
Tourism, which is still not popular in Vietnam. Next is to show BUV's interest and support in
Vietnam's Sustainable Tourism. Moreover, this event contributes to cleaning the relics, giving
people green and safe travel destinations, thereby raising people's awareness of environmental
protection actions.
b) Organization:

We have 40 participants, including 4 team leaders, 2 specialists in cleansing historical sites, 4


other head-managers, and 30 volunteers. Volunteers will be people from 18-30 years old who
live in Hanoi and are interested in the event, most of them are BUVs’ staff and students since it
will be raised and supported by BUV. We have to clarify our vision and map out a specific plan
so we can work most effectively. Furthermore, we can motivate participants by showing
appreciation towards their work, time and effort, make sure they understand their job, as well as
the event’s mission.
c) Stakeholders:
The main stakeholder is the Student Experience department of British University Vietnam.
Although the number of stakeholders is small as this is a small project, the project still requires
the commitment between them because this is a regular project, not a continuous project, which
simultaneously needs good communication between stakeholders for the project to take place
smoothly and give the best results.
d) Team:
In a team, clarify the tasks of each person, the project manager should maintain his leadership so
that he can easily lead everyone as well as resolve any possible conflicts. At the same time,
ensure that all team members have been trained well, and can always communicate with each
other when something happens or when someone has any concern or question.

8. Analyse detail risk

Even when everything has been excessively prepared, things can go wrong. Below, I propose
some risks and analyses to find out how to avoid and solve them.
- Lack of volunteers to participate in cleaning up process. To solve this problem, employees can
try to maximize the impact of the event on social networking platforms to invite more
participants for the event.
- Accidents when doing clean-up cannot be guaranteed not to happen. This can be minimized by
providing the staff with first aid skills and providing volunteers with adequate knowledge on
how to protect themselves and avoid potential danger.
- The most dangerous risk is probably not getting permission to organize the program from the
city or the management of the monument. In this regard, there is nothing the event management
can do except postpone the date of the event and reapply for the permit until it obtains an
approval from the licensing authority.
- The COVID-19 epidemic is also one of the concerns of event organizers, because of its danger,
the event may be postponed or canceled altogether. This is one of the objective risks that cannot
be prevented, nor completely resolved. Whatever is affected by the epidemic suffers significant
damage both physically and mentally.
 
II, Additional discussion

Management is a major part of the project's success, it is an integral part of ensuring that
activities are following up as planned, and at the same time bring the actual and the proposed
results as close as possible. To manage effectively, the first thing to do is to identify the
requirement of the project and how to deliver it to the manager implementing the project, thereby
offering an effective implementation plan as well as the system that works best for the project
(Jerpi, 2021). Each project needs people to be put into action, and at the same time make sure
that the rules and deadlines given will be followed and implemented as planned. From there,
giving adaptations, gradual changes from both implementers and managers (Ray, 2018), can use
Gantt charts to help operate this work. Always checking on the results of each job as well as each
completed task is an integral part of creating effective quality management. Not only quality
management, but another part that is equally important to a project is also the team and project
organization. In this project, the Matrix type of Team organization is used, which is a
combination of members from different fields, from which to complete the work before the
deadline (Jerpi, 2021). In this type of group organization, it is easy for the people in the
locomotive system to work because they have different, complementary advantages. However,
there may be delays in the submission of results due to conflicts among colleagues about the
priority of tasks. This can be solved by giving specific goals and thereby giving the core of the
problems, of the goals. Once you've got the core of the problem to be solved, it's a lot easier to
choose preferences for each work task.
