Executive Summary
This report is to discuss of our team 50 project with the client from Healthy Workplaces. The
aim to do this project is to improve their current website. For instance, adding more
contents, pages, no links to other websites, and many more. The purpose of our team to
create this is to improve the client’s website SEO ranking on Google. This report includes
introduction of the project, objectives, scopes and the limitation that we will face when we
make the website. We also discussing about literature review and technology review, in
order for the client could choose which software that we will be using for their website to
meet the client’s satisfaction and met their expectation. We also include about similar
websites that exists on internet to compare the Healthy Workplaces website and other
websites. The report also lists all the functional and non-functional requirements, as well as
the design of the project. The design are Entity Relationship Diagram, Use Case Diagram,
Activity Diagram, Web Design Diagram, and Prototype Design. We add milestones, Gantt
chart and WBS (work breakdown structure) to show what are the tasks that we need to do
in order to complete it before the deadline for submission date.

Introduction

Context or Background

Healthy Workplace is a non-profit organisation that focuses to keep employee maintain


their healthy lifestyle. The organisation has achieved to ask people to join their programs.
Those programs are Tour de Office and Step Forward. They have implemented the program
of cycle challenge in Tour de Office where they have collected a noticeable amount and
have given the provision to book a bike and the riding weeks. The Step Forward program is a
program where they created an App that enables them to track the step of the user.

Healthy Workplace had previously applied to Google Ad but unfortunately, their application
has not been successfully through. Therefore, Healthy Workplace needs us to solve their
issue and improve their websites. Their requirements are to increase the visibility of the
website by using Search Engine Optimisation (SEO) technique. The website should also have
easy navigation and link all the other websites to the same organisation. Healthy
Workplaces also wants the website similar to https://stepforward.org.au/. All of these
requirements to have the application become successful for the Google Ad.

Purpose

The core resolution of this project is to help clients to promote the charity that aids to
spread awareness to progress the health of people by engaging in different activities. For
this, we are creating a webpage that the client will be able to get more information about
the Healthy Workplaces. The interface of the webpage holds vast information which offers
the description of the objective of Healthy Workplaces. There are options like Tour de
Office, Step Forward and a logo of Registered Charity to show the user that Healthy
Workplace is a registered charity in ACNC. Tour de Office and Step Forward provide the
highlight of the challenges and activities conducted to build a healthy living and provide the
vision of achieving it through Healthy Workplace. It enables users to explore varieties of
programs and their effect in making their users’ life healthy and also happy. They have
introduced an app named Step Forward that enables them to track the step of the user.
Additionally, they have implemented the program of cycle challenge where they have
collected a noticeable amount and have given the provision to book a bike and the riding
weeks. Some of their objectives are:
 To surge health mindfulness and its information on daily life
 To bring major improvement in physical as well as mental welfare
 To inspire clients and boost their morale
 To help Healthy Workplaces get found by people who are actively searching on the
issues in which we’re involved, for example “team engagement”, “workplace
wellness”, “corporate giving” and so on.
 Generate leads for conversion.
 Help shape perceptions of our cause and the issues we are involved in. For example,
we are a charity whose mission it is to raise awareness about the importance of
introducing activity into the workday. The grant will allow us to provide resources
and advice to people who are responsible for this in their workplace.
 To create more opportunities to clients for their wellbeing
 To make client invest their time for their healthier lifestyle
 To increase the capacity for people to enjoy their health indoors and outdoors
 To expand employers and employee participation along with community presence
 To enhance team collaboration, positive values and encourage in physical, mental,
and professional growth

Description

We are requiring to build a website of Healthy Workplaces. The current website that client
has only have one page. We are working together with the client (Katie Redhead) to discuss
what they need to include in their website to improve the SEO ranking on Google. There are
several steps that our team need to do to finish the project and submitting the report
before the deadlines. We had four meetings with the client to show our progress and
getting their feedbacks to change or edit the website that suits their requirements.

Objective

In the present context a website truly assumes an indispensable part in any organisation
whether it is productive or non-beneficial. A well-planned site can help you structure a
decent impact on your prospective clients. It could likewise help you sustain your leads and
get more conversions. It really influences how your target audiences view organization and
possibly transform them into your clients. Accordingly, fostering a web architecture that has
a great UI will bring about a vastly improved change rate which prompts better business and
income.

Scopes and Limitations

Healthy Workplaces is an Australian charity dedicated to raising awareness about the


negative health effects of inactivity at work. This is accomplished by promoting and
implementing two corporate events: Tour de Office and Step Forward. As Healthy
Workplaces is a charity, it has some scopes and limitations which are listed below:

To have a better understanding about the project, we will define the scope and limitations
of the project to address the clear details of the project. The scope of the project addresses
the problem or concern that the researcher wants to investigate. While constraints on the
researcher's capacity to efficiently investigate the scope of the topic are referred to as
limitations.

 Any user of the website would not be able to sign up in the website

Mood Active offers two programs for corporations. There are motivational techniques and
also exercise programs. Mood Active provides two options, whether you want to choose
Virtual with Zoom or option two with face-to-face. With the Zoom option, corporate will get
60 minutes of motivational techniques, followed by 30 minutes of exercise. While with the
face-to-face option, corporate will get 2 hours of motivational technique and 60 minutes of
exercise. The profits they earned from this program will go towards running their low-cost

Heart Foundation offers an opportunity for the corporate to join the marathon that they
named MyMarathon. In this program, Heart Foundation also fundraises for their company
that will provide training workshops, enable more people to answer calls from people who
need help, fund support programs and also could help to pay for an MRI scan. This donation
varies from $25 to $60 monthly or you can choose not to donate monthly by donating a
specified amount whenever you want to donate. They help employees to reduce their risk
of developing cardiovascular and diabetes by giving a free lifestyle modification program as
they are part of the Healthier Queensland Alliance. Not only the marathon program, Heart
Foundation also shares healthy recipes that have a lot of variances from main to dessert
course. Heart Foundation has been registered as a charity in ACNC.

Cantoo has two types of programs. First, face-to-face training. In face-to-face training, the
program will be conducted twice-weekly by professional coaching for running events held in
Sydney, Kirribilli, and Brisbane. Second, virtual training that will be conducted 2 x 45
minutes led to video of several exercises. For instance, cardio and strength exercise and also
self-led sessions. In this program, you can also have a professional consultation to help you
to achieve your goals. They have a foundation called Can Too Foundation to help fund
cancer research, health promotion or other criteria. Cantoo has been registered as a charity
in ACNC.

Different Frameworks to Code

A programmer's source code is the most basic part of a computer programmer. A human
being who can learn and comprehend it. When a programmer, for instance, types a series of

a document, WordPress runs it over a series of cleanup filtering. These filtering are in place
to prevent hackers from injecting code into our site using the post editor.

Requirement Gathering, Requirement Analysis, and Planning


Requirement Gathering

Requirement gathering is the process of gathering all functional, technical, and systematic
requirements from many sources to aid in the completion of the research or target. There
are numerous methods for gathering information, including questionnaires, interviews, and
research.

To obtain information for our assignment, we picked the interview method. We conducted a
quick Zoom conference with our client to get some basic information about how our project
should begin and what the project's basic requirements are. We also developed a set of
questions for our client, Katie Redhead, in which we gathered information about how our
website will look. Throughout the weeks, we also exchanged emails with our client about
the project's progress, in which she gave additional details about the project.

Survey and Forms

It is a way of gathering data from a predetermined sample of respondents to get knowledge


and insights about a variety of issues of interest. The procedure entails requesting
information from people via a questionnaire, which can be completed online or offline.
Depending on the approach used and the study's goals, researchers might conduct it in a
variety of ways. The procedure entails requesting information from people using a
questionnaire. However, with the advent of new technologies, it is also possible to
distribute them via digital media such as social media, email, QR codes, or URLs.
We decided to conduct the survey using an online platform.
An online survey is a series of structured questions that a respondent answers online,
usually by filling out a form. It is a more natural way to contact respondents since it takes
less time and is less expensive than the traditional method of getting information through
one-on-one engagement. As a result, our team decided to conduct an online survey because
it is more accurate and convenient. Participation is simple, responders can be honest and
flexible at the same time. To summarise, online surveys are a great option for people and
organisations who want to conduct their own research because they are less time
consuming, cheaper, and you can transfer and use the data in a variety of applications to
answer important questions. Our survey will be based on the following topics:

Requirement Analysis

One of the most important procedures in a project is requirement analysis. This specifies the
expectations of the customer or user who is working on the project or building the website.
This procedure also discusses the number of objects and tasks required to identify the
application's or project's requirements. As a result, more emphasis should be placed on
assessing, validating, and documenting the system's requirements. Nowadays, there are a
variety of requirement analysis procedures and approaches to choose from. The two types
of requirement analysis, functional and non-functional requirement analysis, will be
discussed in this article. We also will discuss the milestone, Gantt chart, and WBS to show
our main task and sub tasks to finish it before the deadline.

Functional Requirements

As we put it in a simple term, functional requirements mean the requirements that specifies
and indicates what a system should do. They are the results or the product that mainly
focuses on the needs of user. Our project which is based on Healthy Workplaces should be
able to display the features and function of the website as per the vision of how the user
and the sponsors are willing to see. Some of the required functional requirements are listed
below:

 Admin Authority in Updating Contents and Navigation: The information about the
impacts should be included through social proofs like reviews of the client, and
‘About Us’ in the website should include stories of client as well as volunteers
including event leader so that user can get more insight knowledge about their
service. Admin is authorized to edit or add contents in the website for each
pages/button.
 Access Database System: If the user choses to join the newsletter in Healthy
Workplace website, they can enter their personal details which is stored in the
database system and if the user doesn’t want to join, they can still access the
website.
 User Access Information about the Website: The website can provide more
information to its users by accessing the blogs, videos of the programs and events,
conducting seminars and webinars so that the new user gets familiar to their service.
 Admin Access to Use of the Tools (sticky header and footer): The tools header and
footer are the useful tools as the header part contain main content information as a
text or button which helps user to search about the workplace more and the footer
part contains information’s like contacts, emails, social media integrations which
helps user to navigate and contact easily.
 User Call to Action: Call to action can be a button or text like ‘Get Started’, ‘Chat
Now’ which helps to guide the user to take further actions.
Non-Functional Requirements

Collaborating with each other to create a s healthy workplace does not happen by accident.
A safe and healthy workplace is beneficial to protection, well-being, and patient health as
well as the long-term viability of the company and the business. Non-functional
requirements are quality characteristics that outline how your technology should act. They
assist us in meeting the software's requirements for improved performance. Non-functional
criteria have nothing to do with the system's capabilities. Rather, they look at the standards
that the software programme is supposed to meet. It examines the product's performance
and make it accessible and beneficial. When a product is utilised on a constant schedule,
such requirements may emerge. Some non-functional requirements for creating a Healthy
Workplace are as follows:
 Legal or Regulatory Requirements: Product compliance with laws is described by
laws and regulations. If your product breaks these rules, you could face legal
consequences, including legislative penalties.
 Reliability: This indicator indicates the likelihood of your solution failing. To attain
greater reliability, our group should eradicate any defects that could compromise the
code's security or cause problems with parts of the system.
 Maintainability: Maintainability is the amount of time it takes to fix or modify a
response or its issue to improve the overall productivity or other characteristics. It
can be stated as a possibility of repair, just as reliability.
 Performance: On a Healthy Workplace, performance refers the behavior of the
system when people engage with it in various contexts. Poor performance might
result in a bad user interface and put the system's security at risk.
 Usability: The capability of a user to comfortably interact with a design solution to
fulfill the necessities is measured by usability. The product must be easy to use,
understand and be transparent as well. All components ought to be immediately
responsive to user requirements, with no essential functionality missing
 Safety: In the appropriate meaning of usage, the level whereby a software system
minimizes injury to humans or environmental impact.
- If the Operators Guard is not in the operation position, the Radiological System will
not allow operation.
- The Medication Monitoring System must not distribute insulin dose more than the
highest amount specified by the specialist.
- If the degree of a frozen food product exceeds 41oF, the Food Vending Machine
will not distribute a meal.
 Availability: The term "availability" refers to how readily a gadget is available to a
customer at any time. While it's possible to express it as a percentage. It can also be
defined as the proportion of time the gadget is available for use at any given time.

Planning

It is necessary to have a rigid plan to achieve our goals in every sector. We should know the
problems first and then we can make plan how to solve that problem in systematic ways. As
we had meeting with our client, we came to know the things that our client wanted to add
some more features to the website. Therefore, following are the planning that we are going
to do:
 We are planning to add more pages that describes information about the Healthy
Workplaces.
 We are planning to use SEO techniques for improving the site ranking in search
engine.
 We’ll improve the interface of the website so that it looks attractive and add some
pictures that are related to the motive of the website.
 We will compare our final website with another successful website so that we can
give our finest product to our client.
 Before delivery of our final product, test will be done of the website. We’ll take a
survey among a group of people about the website.

Gantt Chart

Gantt chart helps us to organize and schedule our projects to meet the deadlines. Gantt
chart also shows low risk, medium risk and high risk of the task. Therefore, we can be more
careful when we are doing the tasks.

Work Breakdown Structure

A work breakdown structure (WBS) is a visual, various levelled and deliverable-situated


deconstruction of a project where it outlines every helpful stage of project, also it permits
them to work in reverse from the last deliverable of a project and recognize all the activities
expected to accomplish for effective project. The objective of a WBS is to make an
enormous project more manageable and reasonable. Separating it into more small pieces,
work should be possible all the while by various team member, prompting better group
efficiency and simpler project management.

Reflection on the Project

Describe What happened?

We formed a group of 6 students to do a project given in the course. As we need to choose


one of the projects among different projects which was available on Moodle, we chose to
develop a new website for Healthy Workplace. Our group had our first meeting through the
zoom meeting on 17 of July 2021. We introduced ourselves to know about each other to
have better communication and planned what should be our next step.

After that, we discussed with our client to know about the charity, what is client’s goal, how
that charity works. As a weekly basis we did our task and present to our lecturer, he gave us
feedback about our work, and we worked on it. On further meeting with our client, we
asked them what they want to add and amendment on the website. As per they want, we
progress our plan on website design. In our third meeting, we discussed with the client
about our diagrams (ER, Activity, Use Case, and Web Design Diagram). In the fourth
meeting, we presented our prototype design to our client she gave us feedback to us to
amendment few designs and colours on the design we worked on it. Finally, we have our
website design with us.

Interpretation

As we are working on a group, every one of us did our job respectively. After analysing the
project, we focused on the client demand. We had four meetings with our client. She told us
what they want to add on their existing website. We came to know that they wanted to
have multiple pages to their websites including different options for the user in the first
meeting. In further three meetings they provided us various information about the charity.
They wanted us to add donation option, blogs, contact us option, and others.
Evaluation

The main objective of this project is to develop a website for Healthy Workplace charity.
From starting of the project to the almost end of the project we learned so many things
related to our project, studies and our professional performance as well. All our team
members are hardworking and helpful. We helped each other for the success of our task
which developed our project to be done till now.

We started our project journey through collecting information about the company, its
background and motto, scopes and limitations, literature review, requirement gatherings,
planning, diagrams and many more. We communicate with each other every week via
WhatsApp group. Our team leader encouraged us to engage more with the project and
everyone did as well. We are about to complete our project 1 and we are at good point. We
still need to improve a lot of things and we are trying our best for project 1 and will try our
best to do project 2 in next semester as well.

Action Plan

We were stand by to mostly focus on our clients demand on the outlook of the project and
especially on fulfilling our clients’ requirements. In our meeting with the client, we were
noting the key points our client wants us to be more defined. We discussed about the
diagrams (Use case, ER, Activity, and Web Design) and the wireframe as well as our
prototype. Our client is preparing the content of the website in order to make it ready in the
next 2 months. When our team started to create the website there might be some changes
in the design.

Overall, working with all the team members throughout the Project1 was a nice opportunity
and we had a great experience as well. We got to share our ideas with each other and
learned to do our work with cooperation. We learned to value each other’s work. It was
good chance for us to interact with our client as well.

Conclusion
To summarize all of the key points above, we can conclude that we need to add more pages
and contents to the website to meet the SEO ranking requirements on Google. The contents
will be provided by client in the next two months when we move on to IT Project 2 subject.
Client chose WordPress for the tool of creating the website as the client has idea about how
the WordPress work, so it will be easier for the client to use it and edit for the future.

Future Plan

Several plans have been made to continue our project in IT Project 2 in the next two
months. The latest contents will be provided by clients to fill up the pages on the website.
Since we will be using WordPress, client has invited Sarah Rangkuti (team leader) to join an
admin so our team could use their current WordPress to make some changes based on the
client requirements. Image slides will be changed when we have the images from client.

Recommendation

Recommendation from clients are as follows:


 The design of the website will be more modern and elegant
 All fonts will be matched with the current font on Healthy Workplaces website
 Case Studies and Key Statistics will be added on the Home Page with the updated
content from client
 Social Media such as Instagram, Facebook, and LinkedIn will be added to link with
Step Forward and Tour de Office.

a. Company overview: Healthy Workplaces is a charity which is based to create
awareness about the healthy activities in the workplace. It has main motto of preventing
disease in the workplace. It has initiated its activities through the options like Tour de
Office and Step Forward.
b. Project brief introduction: The objective of this project is to develop a website
for Healthy Workplaces. We have to add more features to the website so that it
will be easier for the user to understand what the healthy workplaces is, how it
works, its motto, and etc. Furthermore, to have the application approved by
Google Ad (SEO technique purposes)
3. Questions that we asked in the meeting to our client is listed below.
o What is the company’s goal?
o Who are the main people that the company wants to interact to be able to
create the event?
o Is there any social media that you want to link to the website?
o Donation definition (for instance, where the fund goes)
