Project Scope Document for a wedding

Introduction
The project scope document outlines a basic understanding of the scope of the entire
project and the deliverables.
According to (Richman, 2011, p. 53) a good scope statement clearly defines all the work
that must be performed to deliver a product, service or result with the specified features,
functions, and level of quality. He further mentions that the scope statement should also
consider how this project will change the way the company does business, what other
aspects will be affected by this project (positive or negative) (Richman, 2011, p. 65).
Project background
This will be a wedding ceremony for Mr Manfred Malambo and Ms Rhoda Njovu whose
major stakeholders are their parent. A project manager accords the soon to be bride
and groom focus their attention on themselves other than organization of the wedding
ceremony. Their minds are relieved from things such as choosing a wedding venue,
dress, suit, food, wedding song etc.
The project manager will serve as a strategist and planner for the entire wedding whose
objective will be to give the stakeholders a memorable experience ever. The level of
success of this wedding will be determined when deliverables are fulfilled within the
stipulated time according to the budget allocation.
Project scope description
Manfred and Rhoda’s wedding is primarily sponsored by the couple themselves and
supported to the family and friends. There are various committees of friends to the
groom, friends to the bride, and family members formed for people to contribute the
money to the couple. The project manager will plan, execute, control and monitor then
close the much anticipated memorable wedding. Their choice of employing me as the
wedding’s project manager will accord them time to focus on themselves without getting
involved with the subtleties of planning and executing the project of this kind. This will
add color to their celebration.
The main purpose of this project initiation is to reduce the pressure from the client that
comes with executing a project of this magnitude. Several aspects and components are
involved when planning an event of this kind. These will range from vetting several
options available, comparing prices and sourcing third party service providers.
Irad Sinkala event planners has a wide range of third party service providers/vendors in
the data base. These are trusted and proven organizations that have been within the
company for a record time.
Irad Sinkala event planners will be with the client from the initial stage right until the
bride walks down the aisle and leaves the reception. We will also plan for the client’s
honeymoon before closing the project.
We offer the following services
 Budget allocation analysis
 Wedding day coordination
  Design of event
 Guest list management
 Third party vendor referrals
This project is to be implemented over a period of three months and the budget is
limited to ZMW 100,000.00 ($10,000) whose guest list is expected not to exceed 200.
The budget allocation is intended to cater for the guests during the wedding and
reception and ensure they are satisfied and fulfilled.
This project will consist of four project team members. Additional staffs will be hired
according to the demand and when budget allows.
Deliverables
With the budget allocation of ZMW 100,000, the following deliverables are expected to
be executed;
 Wedding venue
 Wedding cake
 Invitation list
 Photographer and videographer
 Transportation
 Decoration
 Food caterers
 Entertainment
 Sound system
 Security
 Honeymoon venue

Constraints
The following are identified contraints
Budget – not to exceed ZMW 100,000
Time frame not to exceed three months
Guest list – not to exceed 200
Venue in a desired location

Fund Limitation
The premium price for most commodities and services on the market will be a great
limitation to the funded ZMW 100,000 for this project. It should also be noted that most
services will be placed under emergency requirement given the period of time given to
close this project which is end of March.
