Module 6: Creating Charts in Microsoft Word
Microsoft word is a word processing program used to create, format, save and
print various kinds of documents, like letters, reports, manuscripts, certificates and
others.
Charts is one feature in Microsoft word that is very helpful in presenting
information visually yet professional in layout and design. You can easily create and
insert charts in your documents, convert your table data to charts, edit chart datas and
change the chart types. Presented in this module are few simple steps in getting started
with charts in your document.

Learning and understanding the different ways in utilizing this feature, makes your
work and presentation easier and neat.

What I Need to Know
What is a Chart ?
A Chart is a a tool that helps you illustrate and communicate the information and
data graphically.

In this module, you will get acquainted with the definition of a chart, the five
common types of charts with each sub-types, How to create and insert charts in your
documents, how to edit data and convert table data to chart and change chart types.

Understanding all these, will give you a better appreciation in working with charts,
maximize its use to create interesting and presentable document layouts.

DEFINITION OF TERMS:

Drop down arrow – is a button that when clicked shows list of options .

convert - to change from one form to another.

highlight - is a visual indication that text or another object is selected with


a mouse or keyboard.

Hover - to position (a computer cursor) over something (such as an image


or icon) without selecting it.

Layout - arrangement, plan or design.

Insert - to add or overwrites something into a document or file.

Delete - to remove from a document or record

Convert Tables to Charts :
Detailed below are the steps on how to convert your table datas or information to a chart.
1. Highlight the data or information in the table that is to be converted to a chart.
2. Click the Insert Tab, then under the Text group, Click Object dropdown arrow,

3. When you click object (dialog box appears), Select Microsoft Graph Chart in the
Object type options, Then Click OK.

4.The chart appears with the data sheet, you can edit the datasheet by clicking in the cell.

5.Double click in the chart to format and edit your chart. Click outside the chart when done.

Column: A column chart typically displays categories along the horizontal axis and
values along the vertical axis.

LINE: Category data is distributed evenly along the horizontal axis, and value data is distributed
evenly along the vertical axis. This type of chart is ideal for showing trends in data at
equal intervals, like months, quarters, or fiscal years.

PIE: The data points in a pie chart are shown as a percentage of the whole pie.

BAR: Bar charts illustrate comparisons among individual items. Categories are typically
organized along the vertical axis, and the values along the horizontal axis.

AREA: Area charts shows the relationship of parts to a whole. Shows the trend of values,
Contribution of each value, percentage that each value contributes over time.or
other category data.

What is It
How to insert a chart
1. A. Position the cursor where you want the chart to appear
B. Click the insert Tab, Then in the illustrations group, Click the CHART command.

C. Select a type of chart in the dialog box, then browse chart options on the right.
D. Select the desired chart option, then Click OK.

E. The chart and spreadsheet window will appear.


F. Enter your data in the spreadsheet (Replace data in the spreadsheet with your own)
G. The data enclosed in blue box will appear in the chart. To increase or decrease the
data range, click and drag the lower right corner of the blue box.
H. Click X to close the spreadsheet window, then chart is complete.

1. Select the chart for editing (Design and Format Tab appears at the upper right)
2. Click the Design Tab, then click the Edit Data command

3. The spreadsheet window will reappear. Then click on a cell to edit changes.

To change chart type:
1. Select the chart to change (Design and Format Tab appears at the upper right)
2. Click the Design Tab, then click the Change Chart Type command

3. Dialog Box appears, Select the desired Chart type(and sub-type),.


4. then click OK .The new chart type will be applied.
