FOREWORD

This project was proposed as part of the interventions to agriculture

related concerns in Northern Mindanao. Specifically Duck Raising, being

a lucrative business, it is a big opportunity for rural and urban farmers

and agri-enthusiasts to take advantage of. In Mindanao alone, the demand

for duck eggs is at 5.5 million/month based on the RDMI survey in which

80% if it coming from Luzon.

This was done through webinar as we are still handicapped in terms

of mobility and people gathering due to the pandemic. It is also a perfect

channel to reach interested participants as most are now into online. The

webinar was sponsored by the Agricultural Training Institute. It was

conducted providing viewers the overview and basic knowledge of the

urban duck industry and its proper care and management. Through this,

viewers were also able to learn duck eggs processing and its market.

I believe sharing this opportunity to a wide range of viewers could

spark interests and start small initiatives towards the improved

agricultural productivity of our region.

CHAPTER 1 : PROJECT CYCLE

I. THE PROJECT

The project was the conduct of Webinar on Urban Duck

Management and Duck Egg Processing Technology.

A. The Project Process

A process is a series of routine steps to perform a particular

function, such as a procurement process or a budget process. A

process isn’t a one-time activity that achieves a specific result;

instead, it defines how a particular function is to be done every time.

The project process is a guide for any project from its beginning

through its performance and up to its closure.

The project came to realization through identification of

specific agriculture related issue that can be addressed through the

conduct of a webinar. It was thought to be through webinar to

accommodate wider range of participants and since travel and group

gatherings are restricted due to Covid 19 Pandemic. The identified

topic after continuous collaboration and discussion with partner

agency was about the demand for urban duck and its egg

processing.

B. The Importance of Project Management Process

Project Management Process help support the project

through the four phases of its life cycle. From the initiating process

which support the work to be done when starting a project, down to

the planning process which supports the organizing and preparing

phase. Then is the Executing process which guides the project tasks

performed when carrying out the work, until the closing processes.

For the project, the initiating process started with

discussions on possible topics and issues on agriculture that could

be addressed through a webinar. The planning stage was the

identification of resources needed including available resource

persons and availability of production staff. The shooting was

scheduled and the airing date for the implementation of the project.

C. Project Definition

A project is a temporary undertaking performed to produce a

unique product, service, or results. It has a definite beginning and

end. With the project, the webinar is a temporary intervention which

intends to provide knowledge and spark interests to come together

and address the specific issues raised.

D. Project Management Definition

Project management is the process of guiding a project from

its beginning through its performance to its closure. Project

management includes five sets of processes: Initiating processes,

Planning processes, Executing processes, Monitoring and

Controlling processes, and Closing processes.

The webinar project was closely managed by the author with

the production team of the partner agency.

II. INITIATION

A. Project Criticality

The webinar project was initially scheduled on the 1st week

of December 2021, thus there was a need to organize the production

team and most importantly the resource person to have the video

shooting done and aired on-schedule. The team aimed to complete

the project by December 2021. Initially it was targeted on the 3rd of

December 2021, but due to the unavailability of resource person, it

was revised.

B. Project Type

There are four types of complexity that determine the selection

of projects. These include structural, technical, temporal, and

directional complexity. It can help in effective profiling of complex

projects. With the webinar project, the issue on technical complexity

has been addressed by coordinating with available resource person

that would still cater the topic related to agriculture.

C. Scope of Statement

This project involves the conduct of a webinar. The webinar

aims to provide knowledge and ideas on Urban Duck Management

and Duck Egg processing. The webinar will be aired via facebook live

and will be sponsored by the partner agency, the Agricultural

Training Institute. It is anticipated to have at least 50 online

participants from Northern Mindanao who are required to fill-up

participants information sheet and evaluation forms.

D. SMART Objectives

SMART refers to a specific criteria for setting goals and project

objectives. SMART stands for Specific, Measurable, Attainable,

Relevant, and Time-bound. The idea is that every project goal must

adhere to the SMART criteria to be effective.

The objective was for the 50 participants to learn the basics of

urban duck management and duck egg processing technology, and

be informed on the promising future of this technology.

Specifically, the participants should be able to:

-Discuss the basic principles in Urban Duck Raising

-Discuss proper care and management of urban duck

raising; and

-Learn how to process duck eggs into salted eggs

E. Project Charter

A project charter is prepared containing all the information

required to decide whether the project should proceed to the

organizing and-planning phase of its life cycle. The project charter,

when approved, authorizes the existence of a project and provides

the project manager with the authority to use organizational

resources to support the performance of project activities

The webinar project was coordinated and supported with the

partner agency.

F. Sponsors

The Agricultural Training Institute is the sponsor for all

resources needed for the webinar.

G. Stakeholders

A formal definition of a stakeholder is: “individuals and

organizations who are actively involved in the project, or whose

interests may be positively or negatively affected as a result of project

execution or successful project completion. For the webinar project,

the identified stakeholders are the partner agencies, farmers and

agri-enthusiasts, and other members of the community.

The project will be purely online and the resource person

will come from a Certified Learning on Agriculture of the

Department of Agriculture-Agricultural Training Institute-

Regional Training Center 10. The whole budgetary requirement will

be sponsored by the Agricultural Training Institute

III. PROJECT PLANNING

A. Project Planning Checklist

A Project Planning Checklist is a series of simple yet

important steps are shown to help you pave the way to

successful project management experience. With the webinar

project, planning checklist was a key to ensure that necessary

requirements and details are met to ensure success of the

project.

B. Kick-off Meeting

A kickoff meeting is the first meeting with the project team

and the client of the project. This meeting would follow definition

of the base elements for the project and other project planning

activities. This meeting introduces the members of the project

team and the client and provides the opportunity to discuss the

role of team members.

With the project, the first meeting was more on the

identification of available resource person for the topic to be

discussed during the webinar and the possible dates that it

could be aired.

C. Work-Breakdown Structure

Work breakdown structure (WBS) is a deliverable-oriented

decomposition of the work required to produce your project’s

deliverables. The lowest level of detail of each branch of the WBS

is a work package, and each work package, in turn, is composed

of activities (pieces of work performed during the project).

With the project, the work delineation has been clear and

assigned to specific individuals, from the production team down

to the identification and coordination with the resource person.

A network diagram is a flowchart that illustrates the order

in which you perform project activities. It’s your project’s test

laboratory — it gives you a chance to try out different strategies

before performing the work. The project started with the

preparation of the proposal or the activity design for approval.

Once approved, the necessary resources are prepared and

scheduled for video shoot. The video was edited for live streaming

via facebook, and then the evaluations and participants

information were gathered and processed.

E. Gantt Chart

Gantt (or bar) chart: A timeline that illustrates when each

activity starts, how long it continues, and when it ends.

Due to the changes on the topic of the webinar, there are

key changes on the timeline. Instead of having the webinar on

the 3rd of December 2021, it was moved to the 17th of December

2021 with its new title and topic.

F. Managing Risks

Project risk management is the process that project

managers use to manage potential risks that may affect a project

in any way, both positively and negatively. The goal is to

minimise the impact of these risks. A risk is any unexpected

event that can affect people, technology, resources, or processes

(including projects).

The risk for the project initially identified was the

availability of resource persons. With collaboration with the

partner agency, there was a suggestion to replace the topic with

a different one of which a resource person is available.

G. Teams

The project team is the group of people responsible for

executing the tasks and producing deliverables outlined in the

project plan and schedule, as directed by the project manager,

at whatever level of effort or participation defined for them.

With the project, a project officer is identified together with

the production and editing staff of the partner agency.

IV. EXECUTION

A. Conflicts

Conflicts are unavoidable in any project management

environment. A conflict is an active disagreement between people

with opposing opinions or principles.

For the project, since it is still on-going, the only conflict

that arise was the unavailability of resource person for the initial

topics of the webinar. As of today, there are no other conflicts

existing.

B. Managing Changes in Projects

Changes happen at almost every point of the project

management lifecycle. Realizing that changes are indeed

inevitable, but often are beneficial, parts of the process allows

the best project managers to adopt more agile approaches to

planning and execution.

With the project, it was coordination that allows the

changes in the project to be implemented and carried out

smoothly.

C. Resistance to Change

Resistance to Change can be defined as the action taken

by individuals and teams when they perceive that a change that

is occurring is a threat to them.

With the project, there have been no resistance to the

change of topics and resource person. It was well discussed and

deliberated with the concerned members of the project.

D. How to Influence Others?

Influencing is the act of affecting the behaviours and

actions of others. The ability for managers to influence others is

a core skill. Influencing skills will be required with individual

members of the team.

V. CONTROL AND REPORT

A. Communication

Communication is best defined as the exchange of information

and the expression of ideas, thoughts and feelings by using words

and other methods. In the project management context this

means the exchange of knowledge, skills and experience.

With the project, communication has been very helpful for the

preparations and on-the day production for the webinar.

B. Listening

It refers to the listener's efforts to clearly understand the other

speaker. As opposed to normal hearing, where you listen just to

reply and not to understand, active listening requires being

present in the moment and genuinely interested in what the other

person is saying

With the project, it has been practiced and the result of

coordination would speak of the quality of listening and other

communication between the members of the project.

C. Reporting

Reporting in project management simply refers to providing a

high-level overview that offers the critical data the project

generates in a simple, easy-to-use format. Project reporting is

essential to project management success since it provides a

window into what's happening and what to do about it for the

entire team.

D. Managing Delays

When delays occur, it is important to carry out the identified

actions based on the risk management plan prepared prior to the

implementation. Also, coordination and communication is

necessary to deal with delays appropriately.

With the project, the delay was due to the unavailability of

resource person and the change of the topic for webinar. With

this, necessary adjustments were made and coordinated.

E. Escalation

Escalation in project management is an anticipated rise in

uncommitted costs of resources (labor, material, equipment) over

time, due to reduced purchasing power of money.

For the project, there has been no instances of escalation or the

similar.

F. Negotiating Rational Delays

With the project, the delays were discussed thoroughly with the

partner agencies and its team. It was all agreed and coordinated.

G. Team Meetings

A project meeting is an effective way to disseminate information

and communicate with the project team and stakeholders. It is

held at regular intervals during the project lifecycle to ensure that

everyone with an interest in the project is appropriately involved

in addressing issues, proposing ideas, and solving problems. The

purpose of the project meeting is to arrive at decisions that result

in completed projects that meet their requirements and goals, on

time and on budget.

For the project, most of the meetings are informal yet productive

in a sense that necessary points were directly taken and

addressed.

VI. PROJECT OR PHASE CLOSE

The project was a success and fully implemented. It was closed

after all the data has been retrieved. The relevant information

about the participants information and evaluation were retrieved

from Google Forms.

CHAPTER II : THE PROJECT

The webinar was first announced on the 13th of December 2021 on

the Facebook page of ATI Northern Mindanao. The announcement comes

with the registration link and the link for the evaluation.

The webinar was on the 17th of December 2021. It was the last
webinar for the year that the ATI Northern Mindanao aired.

I was one of the hosts for this episode.

Mr. Albert C. Ysalina is the owner of the Monica Urban Duck Farm
located at Pagatpat, Cagayan de Oro City. His farm is a certified Learning
Site for Agriculture of the Department of Agriculture-Agricultural Training
Institute.

Facebook Post Statistics

Facebook post statistics show a balance between men and women who
watched the webinar. With majority of them are at age range of 25-35
years old.

The facebook post has now reached more than 400 views since December
17, 2021.

The video post got a total of 69 engagement, with 13 shares, 12
comments and 44 reactions. It got 34 likes, 9 hearts and 2 wow
reactions.
Most of the audience detected by Facebook was from Northern
Mindanao. Surprisingly, there are viewers coming from different
Provinces outside Northern Mindanao.
