CHAPTER 1

INTRODUCTION

PROJECT CONTEXT

Due to Enhanced Community Quarantine in Metro Manila, all churches are

temporarily closed for safety purposes. Therefore, some churches made an alternative

way to reach the people who need to hear the gospel in their homes to help the church

members to see updates about the church activities and events. The main beneficiary

of this study is the Vineyard of Jesus Christ Global Church was established and has

existed since 1998. The church has more than 500 members from the staff and

members. Aside from serving, events and activities, it also provides assistance to all

its members to assist what are their needs in the church through inquiring services that

the church offers. The types of service that the church offers to its members are the

following, reservation for weddings and other events, requesting church-related

documents, and upcoming updates or events of the church.

Monitoring, processing, and recording of the services and membership granted

inside the management of Vineyard of Jesus Christ Global Church are done manually.

The risk of mishandling, mismatch of records, as well as the difficulties of in filing

membership applications from members, document request forms may occur in the

near future as a result of loss of records. Manual processing can be time-consuming

for the church members and staff who want to apply for membership and other

services that the church offers. It can also lead to the inconsistency of important

information. Likewise, in the current COVID-19 pandemic situation, where the

PAMANTASAN NG LUNGSOD NG MUNTINLUPA
majority of members work from home, the church's services must be improved to

meet the emerging needs of its members, which necessitates the development of an

inquiry processing and administration system.

According to surveys and observations conducted by the researchers, the

management of the Vineyard of Jesus Christ Global Church is currently following a

manual procedure. The church member has to check the availability of the services by

going to the church and querying to the management. The management has to check

the availability of the papers manually. After getting the availability status the user

has to fill up the membership and other forms manually. The management then checks

the validity of the forms and after checking it books the inquiry against the respective

request. The information about the item is kept on shelves. When the user submits the

entire necessary document, the management enters the details of the request in the

main register of item details.

Currently, each member has a file in which vital data or information about a

member of management is kept. Apart from this the member information or data is

also written on papers and in booklets which are then stored on shelves. Other

documents such as report forms and registration forms are also kept in files and stored

on shelves. Therefore, the institution has several problems with its record-keeping.

Since their records can be destroyed anytime by natural environmental hazards or

conditions that come from nowhere. It then causes the church to lose a large number

of resources and required more management staff. The project on church management

will help us to maintain the service and provide a platform to help the church
PAMANTASAN NG LUNGSOD NG MUNTINLUPA
members to see updates about the church activities and events without physical

contact.

This not only helps to track upcoming activities or events but also makes it

more convenient for our daily usage and also avoids waiting time for church inquiries.

To develop this project, the researchers propose a system that manages and monitors

the daily operations of the church through an online-based system. An online Church

Management System is an interactive web-based system. These users will provide

online facilities for the members of the church and also for the Administrator.

PURPOSE AND DESCRIPTION

The project was conducted in order to provide all the information about the

availability status of the church. Based on this information the user can easily get the

church’s upcoming events and updates at any time without coming to the church

premises. The system also allows users to fill up the membership form and submit it

online which will save a lot of users’ valuable time. Along with the availability status,

the database also keeps the information of the Issue details and the transaction details

against the respective request. The system was implemented for the members and the

management of the church. This database also keeps the information of user’s

personal details, based on which the management can check the validity of the user

and its request.

Below are the following beneficiaries who will benefit from the system:
PAMANTASAN NG LUNGSOD NG MUNTINLUPA
Church Administrator, the system administrator is the person who is

responsible for the monitor, control, and reliable operation of the system, as well as

managing the church's business side, to ensure the smooth and efficient operation of a

church.

Members, this also helps the members to see updates of upcoming events and

to inquire about services and other activities in the church.

Researchers, the outcome of the study will help the researchers to expand

knowledge and understand the options and gaps available to support the researchers

by providing valuable insights into technology advancements.

Future Researchers can serve them as a guide to enhance more for their

future projects. The outcome of this study will help future researchers to develop new

ideas that could improve this existing system.

OBJECTIVE OF THE STUDY

General Objective

The general objective of the study is to develop a Church Management System

for the improvement of the church records and efficiency of retrieving and creating a

report avoiding the time-consuming. The researchers want to create an effective and

efficient system that can help church administrators to monitor the inquiries and

operations of the church. Church management system instead of manual monitoring

for church records and activities.

PAMANTASAN NG LUNGSOD NG MUNTINLUPA
Specific Objectives:

The following statements are the specific objectives of the study:

1. To design a church management system with the following features:

a. Capable of collecting information of church members and management

of the church

b. Provide schedule information of the current and upcoming events and

activities of the church

c. Able to implement the parishioner to process reservations online

d. Able to make the system more user friendly and easy to use

2. To construct a proposed system as designed.

3. To generate reports and export the data of church members such as church

associated certificates

4. To test and improve the proposed system using the Alpha and Beta Test; and

5. To evaluate the performance of the proposed system using the ISO/IEC

25010:2011
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

SCOPE AND LIMITATIONS

The system is able to monitor and record the information of the church

members and management. The system needs a network connection to access the

church information through a web browser. The system is also made secure as all the

updates of the system can be done by the authorized person i.e. the administrator only.

The reservations of any event or activity schedule are based on the availability of the

church service. All necessary information for that particular event will be processed.

On the other hand, the limitation of the system program is that all of the said

certificates will hold for a short period of time online. The requirements for the

application for the certificates will be personally delivered to the in-charge

parishioner, to ensure the authenticity of the required documents. All payment

processes are not held online, because it involves other processes and procedures, it

will take a lot of time and effort for the proponents to do it. In addition, accounting

and other financial purposes will not be included in the system. The system requires

an internet connection, so the users cannot access it offline.

REVIEW OF THE RELATED LITERATURE AND STUDIES

This chapter comprises the ideas, finished thesis, generalization or conclusion,

methodologies, and others. Those that were included in this chapter helps in

familiarizing information that is significant and related to the present study.

TECHNICAL BACKGROUND

In the project entitled “Development of an Online Church Management

System for Vineyard of Jesus Christ Global Church”, part of the discussion of the

programming language, database, and web development.

The researchers will develop an Online Church Management system for

Vineyard of Jesus Christ Global Church Administration using Php, XAMPP,

Bootstrap, CSS and JavaScript if needed and with the help of Visual Studio Code for

its code compiler. The project will be done using Php programming language for the

main system. PHP is a server-side scripting language that is used to develop static

websites or dynamic websites or web applications. PHP stands for Hypertext

Preprocessor, which earlier stood for Personal Home Pages. PHP scripts can only be

interpreted on a server that has PHP installed.

The client computers accessing the PHP scripts require a web browser only. A PHP

file contains PHP tags and ends with the extension ".php". For the database of the

system, it will be done using XAMPP as the host for Php server. And the researchers

7
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

would like to design the website using Bootstrap and CSS. The researchers are also

eager to make the system a responsive and a mobile-friendly website so that the users

can access it on their mobile phones as long as the users have mobile data or are

connected to a network.

Bootstrap and CSS can help design the system so it can be user-friendly, and

easy to use. Bootstrap is a free and open-source CSS framework directed at

responsive, mobile-first front-end web development. It contains CSS- and (optionally)

JavaScript-based design templates for typography, forms, buttons, navigation, and

other interface components

RELATED LITERATURE

As one of the organizations engaged in community service, the church has a

wide range of activities and transactions to accommodate the needs of the

congregation, both in terms of ecclesiastical activities and financial transactions of the

church. The church would also have a considerable amount of data in a large and

fairly high complexity. Under these conditions, the church should have integrated and

centralized data storage to facilitate the storage, management, and presentation of

data. [1] . Described the information system is formed by the information itself.

Usually about the only time records management is discussed in a church staff

meeting is when some crisis has occurred. Either files cannot be found, records are

8
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

lost or have been destroyed, or all of the filing cabinets are full and no more storage

space is available. Unfortunately, churches seldom initiate actions to manage their

records in a more effective and efficient manner [2].

Records management (RM) is defined as the practice of identifying, classifying,

archiving, and methodical destruction of records. Simply, records management

includes all the processes involved in making records findable, usable, and savable or

destroyable [3].

Also, records management is defined in the United Methodist Church GCAH

as “the attempt to systematically control the growth and disposition, or destruction, of

office, committee and other official records.” Its basic purpose is to help answer that

nagging question of what I keep, for how long I keep it and when I can remove it

from my office. [4]

The world we live in revolves around information recorded on paper, film,

tape, and disk—this includes the life of the local church. Correspondence, invoices,

contracts, minutes, reports, financial records, and hundreds of other records provide

the information that moves the wheels of our institutions. [5]

Today the volume of paper records—a fair share of it generated by computers,

fast printers, copying machines, and other advanced methods of duplication—shows

no sign of decreasing. Just to keep pace with the information explosion, an average

company or institution today may double its entire volume of records every 10 years.

9
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

This same statement applies to churches. With growth such as this, it is essential that

church records be handled efficiently [6].

Church management software is specialized software that assists churches and

other religious organizations in the organization and automation of daily operations.

These packages typically assist in the management of membership and mailings,

fundraising, events, and report generation. Churches use the packages to reduce the

cost of operations and track the growth in their congregations. The growth in the

church management software business coincides with the growing trend of using

computers for religious activity. Church Management System (CMS) allows a

congregation to keep tabs on information related to the activities of the church. It uses

a database to store information and typically includes a set of programs or modules to

manipulate the stored data. [7]

Several factors can play into the ease of use of the CMS application, including

the ability to reuse information, the ability to add instructor-supplied news, and the

ability to return and make changes, to name a few. Paper-based CMS requires more

communication among involved parties to add and reuse information, whereas online

CMS provides an easy interface for instructors to directly add the information or reuse

others that exist in the database. Creating that interface suggests keeping most Web

pages limited to one page in length, as many visitors will not scroll below the fold to

see the additional information. Additionally, if changes are necessary, the ability to

10
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

change information’s on the paper-based form again requires more communication

among several people, as compared to online CMS that save the settings for each

instructor and are updateable until they are sent out to be completed. [8]

Providing a straightforward interface allows users to quickly find what they

are looking for and accomplish the task at hand. Contribute to this, stating that

improved productivity through speed and efficiency provides a more user-centered

Web site. In moving towards a more user-centered approach, comparing paper-based

to online-based CMS, paper-based results take days to process and return to the

instructors, whereas online CMS provides the results in real-time. This puts the user at

the center of the design, providing quick access to necessary information. [9]

Web development is a broad term for the work involved in developing a

website for the Internet (World Wide Web) or an intranet (a private network). This

can include web design, web content development, client liaison, client-side/server-

side scripting, web server, and network security configuration, and e-commerce

development. However, among web professionals, "web development" usually refers

to the main non-design aspects of building websites: writing markup and coding. Web

development can range from developing the simplest static single page of plain text to

the most complex web-based internet applications, electronic businesses, or social

network services. [10]

11
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

RELATED STUDIES

Technology has been growing continuously in many aspects of human life,

one of them being in religious practice. For the last few years, the adoption of

information and technology for communication in church is also growing. More and

more people all around the world are turning to the internet and social media to find

personal, social, and also religious information. The Ecclesiastical institution is

devoting more and more resources to improve its presence on the web [11].

Understanding how the church uses information in learning and the result showed

that the exploration may help church organization, church leaders, and laypeople to

consider how information can be used to grow faith, develop relationships, manage the

church and respond the religious knowledge. [12]

Effective records management plays a significant role in organizational

efficiency and effective service delivery. This implies that if records are not well

managed it could impact organizational efficiency and even compromise the integrity

of records transmitted from one organization to another. According to the

International Standard Organization (ISO), (2019, par. 3), records refer to

"information created, received, and maintained as evidence and information by an

organization or person, in pursuance of legal obligations or in the transaction of

business." Similarly, records are described as “stored information, regardless of media

or characteristics, made or received by an organization that is evidence of its

operations and has value requiring its retention for a specific period of time” [13]

12
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

Since the mid-1990s, web development has been one of the fastest-growing

industries in the world. In 1995 there were fewer than 1,000 web development

companies in the United States, but by 2005 there were over 30,000 such companies

in the U.S. alone. The web development industry is expected to grow by over 25% by

2010. The growth of this industry is being pushed by large businesses wishing to sell

products and services to their customers and to automate business workflow [14]

In most cases, the response rate of members who completed online requests

dropped when compared to the existing traditional paper-based version. In the study

conducted at The United Methodist Church, NJ, USA, the response rate was 32.8%

for online requests and 60.6% for in-Church. It should be noted that this decrease in

the response was not necessarily attributed to the instrument used to complete the

request; rather, online requests were usually completed outside of church whereas

paper-based were completed in the church [15].

The average response rate for in-church paper-based requests ranged from 61–

82 percent; for that reason, the desired response rate for the online requests was to be

within this range (Avery, 2006). One approach to increase the response rate was to

send reminder emails to non-responders. At Greenock Presbyterian Church, St.

Andrew’s, New Brunsnick, Canada, three email reminders were sent and an increase

in the response rate from 60 to 87 percent was observed [16].

A common concern expressed among members who used CMS was whether

they remained anonymous when completing requests. To address this issue, WCMS

13
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

needed a privacy statement detailing anonymity and security concerns expressed. In

some cases, paper-based requests compromised anonymity if handwritten responses

were not transcribed. Having the comments typed initially using the online system

prevented this issue and eliminated the need to transcribe the responses. [17]

Usability is one of the most important quality factors for web applications.

Unusable web applications cause users to reject them. For example, people will leave

when they feel a website is difficult to use or when a website’s information is hard to

read or doesn’t answer the user’s key questions. There's no such thing as a user

reading a website manual or otherwise spending much time trying to figure out an

interface. There are plenty of other websites available; leaving is the first line of

defense when users encounter difficulty. So if a developer wants to develop a website

and make it successful, usability is the top factor under consideration [18]

The best way to improve the usability is to run many small tests and revise the

design between each one so you can fix the usability flaws as you identify them.

Iterative design is the best way to increase the quality of the user experience. The

more versions and interface ideas you test with users, the better. For example, web

users skim or scan the web page’s text rather than read it. Reading on the web can be

painful that is why the web does require its own style of writing, a style that facilitates

scanning. [19]. The performance of the system is highly associated with the user

experience. A slow online shopping site will definitely be lost, potential buyers. The

14
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

website performance can be measured by the speed in which displayed on the user's

web browser. The less time user spent waiting, the better the website performed. [20].

METHODOLOGIES

REQUIREMENT ANALYSIS

The main beneficiary of this study is the upcoming and current members of

The Vineyard of Jesus Christ Global Church located at Bayanan, Muntinlupa. The

Vineyard of Jesus Christ Global was established and existing since 1998. They

currently had more than 500 members from the church.

The existing system involves manually entering data into paper-bound records,

which is a time-consuming and error-prone process. The information on church

member details and registration details is manually entered, which takes time. The

current system lacks security when it comes to storing the information. Keeping these

documents takes up a lot of space.

17
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

Figure 2. Use Case Diagram of an Existing Process

Figure 2 shows the Use Case Diagram, the process starts with the user filling

up user information using pen and paper to be a church member. Once the registration

is done, the registration form should be forwarded to an administrator. Then, the

church administrator will manage the records manually such as document requests,

registration forms, and services that the church offers. After the validation of the

request, the administrator will grant the request of the user. The church

announcements and activities can see the user upon registration. This approach of the

process will help to identify the improvement of the church management system for

future purposes.

REQUIREMENT DOCUMENTATION

Requirement documentation explains why a project is needed, puts the project

in context, and describes what the finished project will be like. Requirements include

a description of system properties, specification of how the system should work, and

constraints placed upon the development process.

Generally, requirements are statements of what a system should do rather than

how it should do it. Requirements come from the users, and sometimes from

developers. Requirements documents usually include user, system, and interface

requirements, other classes of requirements are included as needed.

DESIGN OF SOFTWARE, SYSTEM, PRODUCT, AND/OR PROCESS

A conceptual model was built based on the above concepts, theories, and

findings of linked literature, studies, and insights obtained from them, as indicated

below.

Figure 4. Conceptual Framework of the Process System

21
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

The conceptual model, as illustrated in Figure 4 shows the different phases of

the processes involved in order to achieve the objectives of the study. The knowledge

requirements for the input phase include step-by-step methods in filling out the

learning methodologies utilized for the Online Church Management System and the

benefits of communication and information. The software requirement of the

proposed system supports the following platform of PHP Scripting Language.

Hardware requirements consist of Desktop is the primary user interface of a computer

and suitable for managing the system, Laptop a computer that is portable and suitable

for use while traveling, Network is a group of computers that use a set of common

communication protocols over digital interconnections for the purpose of sharing

resources located on or provided by the network nodes. Mobile phone is a cellular

radio system that is used over a wide area, without a physical connection to the

network.

The procedure that specifies the methods and approaches for completing the

plan with the use of Waterfall methodology includes planning, system design,

implementation, and verification that helps in enhancing the structure of the proposed

system. Lastly is the output, the system development comprises the output or the

outcome of this study undergoes in the alpha and beta testing.

DEVELOPMENT AND TESTING

Development

The Waterfall Model methodology was used in developing the Online Church

Management System for Vineyard of Jesus Christ Global Church which helps the

project to define the procedure in developing the structure and the conceptualization

of the proposed system. Each phase of the development is elaborated on in this part of

the study and discusses how the project was conducted and developed. The waterfall

methodology can aid researchers in having a more productive session when working

on the project. It covers the procedure of development of the website, as well as how

the system was conceptualized and developed.

Figure 6. Methodology of Developing the Online Church Management System

24
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

25
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

Requirement/Planning

In this phase, system processes definition and description occur. The

gathering of the data is very important in this phase for proper system planning. The

researchers and the church representatives discussed and agreed on the need for the

project, its scope, and system requirements. Also collected through online research on

the internet for proper content of the system. There were continued discussions and

meetings with The Vineyard of Jesus Christ Global Church representatives for

supplementation and verification of the data gathered.

System Design

In this stage, there were constant interactive processes of the user that were

done on a model web application that represents all system processes, inputs, and

outputs which is the Online Church Management System. This is to know and verify

the design needed by the users. The gathered data were adopted to design that would

be the outcome of the system. The researchers allow the user to understand and adjust

the working model according to the desired outcome of the system. The content of the

Online Church Management where designed and based on the need and want of the

church members.

26
PAMANTASAN NG LUNGSOD NG MUNTINLUPA

Implementation

In this phase, it focuses on the process of the evolving structure of the

system. The development of an Online Church Management System for The Vineyard

of Jesus Christ Global Church with the use of programming languages such as Php.

PHP is basically used for developing web-based software applications. For the

website, the researchers would like to associate Bootstrap and CSS so that the

webpage will be mobile-friendly, and can be accessed by the members who do not

have a desktop or a laptop.

Testing

The testing procedure is needed by the proponents to properly address and

identify the possible errors and bugs that will appear on the system. Although it did

not generally remove all the errors or bugs, it at least helped the proponents correct

them and prevent them from reappearing in the future. The system features were

tested in a specified order to make sure that the functionality of the system was met

and properly performed

Table 1 shows the system testing of the Online Church Management System.

It checks the System files such as database, PHP file, and prepares a device like a

laptop, desktop, or mobile device to ensure that it is working properly. The

researchers will conduct testing of the system in order to check if there is an error or

bugs of the system will be tested before the deployment of the system to the

beneficiary.

The researchers will use the combination of the alpha-beta testing. The alpha

test will improve the quality of the system and will ensure beta readiness; and the beta

testing which also enhances the quality of the system and ensures release readiness.

The researchers will conduct alpha testing in order to identify any bugs or

errors in the system. It involves simulating a real user environment by carrying out

tasks and operations. It also entails a first meeting between the software and the client

to guarantee that the client's needs are met. This testing was included in the project

since they needed to know the system's flexibility.

Beta testing is the second step of the system's testing. It's also known as field

testing because it occurs at the user's place. This is where the beneficiary will put the

system to the test. This is done to test and find any flaws or difficulties with the

system's current version.

2 1.51 – 2.50 Fair

1 1.00 – 1.51 Poor

The statistic used in the interpretation of data is weighted arithmetic mean as

shown in Table 2. The proponents used the Arithmetic mean to determine the average

responses of the Five options in each item, namely, 5(Excellent), 4(Very Good),

3(Good), 2(Fair), 1(Poor). The arithmetic means for each software characteristic were

computed. These computations were used to derive the overall evaluation mean.

IMPLEMENTATION PLAN

The Implementation Plan describes how the church management system will

be deployed, installed, and transitioned into an operational system. The plan contains

an overview of the system, a brief description of the major tasks involved in the

implementation, and overall resources needed to support the implementation effort

(such as hardware and software. Facilities, materials, and personnel), and any site-

specific implementation requirements.

The developed system will be presented to the Vineyard of Jesus Christ

Global Church after the revisions and finalizations are made. If the institution decides

to adopt the system, the proponents will submit the entire system, together with all

supporting documents

CHAPTER 4

RESULT AND DISCUSSION

This chapter presents the description, project description, project structure, project

capabilities and limitation and project evaluation of the study.

PROJECT DESCRIPTION

The development of this research has been done with the help of PHP,

JavaScript, HTML, Cascading Style Sheet (CSS) and Visual Basic for the design of

the system, and MySQL and Xampp were used for the database.

The concept of the system was primarily focused on having a tool that aids

churches and similar groups in managing, automating, and organizing daily

operations. It handles processes such as databases, community, and events, and

maintaining your members' data.

The system consists of Admin, Branch Account. The Admin contains seven

(8) tabs that have their own functions and capabilities. The Admin has the privilege to

monitor and operate the system and to keep it secure and avoid another person

manipulating the system. The Branch Account is only able to monitor each member of

the outreach they handle. The Branch Account has the privilege to monitor their

branch. The Account contains seven (7) tabs that have their own functions and

capabilities.

PROJECT STRUCTURE

The system is composed of Admin, Branch Admin. The Admin is the head of

the church and also has different functions for the system. The Admin can monitor the

account of each member of the church and is authorized to make all decisions in the

system.  The Branch Admin is not the same as what the super admin does. The Three

users have the same log-in phase window and an input box where the user must enter

their own surname and password, and a Sign in button.
