MODULE 4

Trainees’ Training Requirement

Learning Objective:
After reading this module, YOU MUST be able to:
1. determine the current competencies of the trainees/group of trainees
2. identify trainees’ training requirement
3. accomplished self-assessment checklist.

Every training should be based on what was already learned and what is
needed to be learned or enhanced. Whether your work-based training is in
conjunction with an in-house training or a work-based training after an in-house
training, you need to assess the training needs of each of your trainees so that you
will be able to plan the appropriate activities that will enhance their competencies.
Activities that will improve the skills rather than repeating what is already learned
should be the emphasis of a work- based training.
In this lesson, recommended steps in determining training needs are
discussed as your guide in accomplishing this end.

Determine trainees’ current competency

To be able to determine the trainees’ training requirement, it is very
important to determine first their current competencies, in order to determine the
training gaps.
The trainer can determine trainees’ current competency by:

1. Checking with the trainee

When you meet the trainees, subject them to an oral interview or simple
written test if needed. If the learner is having a hard time to write or understand in
English language, use a simple language that the learner may easily understand
like using a local dialect.

2. Research
Analyze any pre session information available like enrollment or pre
application form and other related documents such as:
 reports on previous competency assessment undertaken
 resume or curriculum vitae
 enterprise training and assessment records
 performance report from supervisor

The Trainer could also use self assessment checklist to determine the current
competencies of the trainees:

How to Prepare Trainee’s Needs Analysis (TNA) Checklist

General Instruction:

TNA form needs to be prepared to assess the training needs of the trainees in
order to plan the appropriate activities that will enhance their competencies
through work based-training.

1. FORM 1.1 Self-Assessment Checklist
Using Self-assessment Checklist (form 1.1), list down all competencies
found in the CBC of a particular qualification. Presume that a trainee of a particular
qualification/NC has taken the Basic and Common Competencies.
·Check (√) the YES column of Basic and Common Competencies. However, in
checking the Core competencies, assumed that 60% of the total number of Core
Competencies have already taken or passed. Example, if there are 5 Core
Competencies in the NC qualification, under “YES” column, check (√) 3 COC(s) or
Modules. Two (2) of the competencies are marked “NO” which means these are
the competencies needed to be learned through work-based training.
2. FORM 1.2 Evidence/Proof of Current Competencies

List Under the column of Current Competencies all the Basic, Common and Core
competencies you have checked “YES” in the form 1.1. In other words, the 60% of
the Core competencies you have taken or finished. The 40% of Core competencies
which you marked as “NO” should not be included.
List under the “Proof/Evidence” column the available documents that served as
your proofs that the trainee have already taken and passed the competencies such
as Certificate of Achievement.
Type in Interview under “means of Validating” column. This means that  to
validate the acquired knowledge and skills of a particular trainee for his/her current
competencies is through interview.

3. Form 1.3 Identifying Training Gaps   / Summary of Current

Competencies Versus Required Competencies
·        Under the first column, list all the Basic, Common and Core Competencies
with its Learning outcomes which you have indicated in the form 1.1.

Copy and paste from the first column to the second column under “Current
Competencies” all the Basic, Common and Core competencies which you have
checked (√) YES in form 1.1 and have listed under the proof of evidence /Means
of validating in the form 1.2.  This means that these are the competencies that
have already taken or passed by the particular trainee.
To determine the Training Gaps/Requirements (third column), copy and paste from
the first column all the Core Competencies  which have marked “NO” or have not
yet taken or passed by the trainee.
To determine the Training Gaps/Requirements (third column), copy and paste from
the first column all the Core Competencies  which have marked “NO” or have not
yet taken or passed by the trainee.
4. Form No. 1.4: Training Needs
Under the first column, list all the Learning Outcomes only of the Core Competency
which have not yet taken or passed in the Training Needs of the trainee.  These
Learning outcomes of the Core Competency are 40% of the total number of Core
Competencies which have not yet taken or passed.  Thus competencies are
marked “NO” in the form 1.1

Write the Module title of the Core Competency of the learning Outcomes you have
listed in the training needs.  The Module Title/Module Instruction should be in ING
form or it should be written in a Title form.  Example, Assembling Electronic
Products.
