Questions
Provide answers to all of the questions below:

1. Discuss five formatting techniques that improve the appearance and readability of
an electronic presentation. ( K.E 1)
1. Font Size: Use the font size readable up to the back of the room.
2. Font Style: Do not use more than three fonts to avoid audience distraction.
3. Transitions: Avoid too much use of flashy transitions as they are distracting too.
4. Color Combination: It's ideal to use contrasting colors for the text and background.
5. Graphics: Use good-quality images that emphasize and match your message.

2. Outline three main features of PowerPoint.( KE 2)

1. Design Feature: Can customize the appearance and format of the slides
2. Layout Feature: Multiple layouts and options are available for use and modifications
3. Animation and Transition Feature: Can add effects to emphasize content and engage the audience
3. List three examples of information that could be included in a style guide.( K.E 4)
1. Charts
2. Graphs
3. Tables
4. How often is it recommended that you try and stand and take a break from your computer? (
K,E 3)
It is ergonomically recommended to perform eye breaks by briefly looking away every 15 minutes
from the computer screen for a minute or two to a more distant scene, preferably at least 20 feet
away.
5. List three reasons why it is important to have your workstation set up ergonomically. (K.E 3)
 reduction in costs of injuries to workers
 improvement in workers’ performance/increased productivity
 improvement in quality
6. Once you have adjusted your chair and workstation so that you are maintaining a healthy
posture, should you continuously maintain that same posture throughout your working
day? Give a reason for your answer.( K.E 3)

No. It is not good to maintain a single posture the entire day. Adjusting chairs and
workstation is not enough for an ergonomic design workplace. It is important to take breaks
and add variation to body posture. This is important to avoid muscle fatigue and other
related disorders that may occur in the future.

7. Explain the term ergonomics and provide one example of a typical organizational
requirement relating to ergonomics in the workplace.( K,E 3)
Ergonomics is the design of the workplace to support the comfort, health and safety and
productivity of employees.
A typical organization requirement for ergonomics in the workplace is providing healthy Breaks. Take a
break every 30 to 60 minutes or take micro-breaks lasting 20 seconds every 20 minutes. These breaks
give the body time to rest, stretch the muscles, reduce discomfort and improve performance.

8. If a person is working at a desk for long periods of time, an organisational requirement may
be to break every 30 minutes. Explain how a worker can incorporate this into their job design.(
(K.E 3)

It must be specified in the job design how often and how long to take work breaks depending
on the nature of the job. Job design must include all factors which affect the work and arrange
the tasks so that the whole job is less likely to be a risk to the employee. It must include:
 Job rotation
 Job enlargement
 Task/machine pacing
 Work breaks
 Working hours

Activities
Complete the following activities:

1. Carefully read the following:

This project requires you to prepare three electronic presentations. You will do this
by:

 working safely and ergonomically

 identifying and meeting your organisation’s requirements (including timelines,

design and style)

 consulting with the content author or relevant stakeholder

 selecting the best application for the task

 planning the task

 preparing the presentation

 trouble-shooting as required

 preparing presentation materials

 naming and storing the presentation appropriately.

Note that you must create each of these three presentations from start to finish on
i three separate occasions. These occasions can be completed over different days
or you may complete them on the same day – one after the other. Your assessor
can provide you with more information about this relevant to your course delivery.
Selecting a business to work with

Vocational education and training is all about gaining and developing practical skills
that are industry relevant and that can help you to succeed in your chosen career.
For this reason, we are giving you the choice to base this project on your own
business, one you work in or a familiar with, or you can use the case study
provided. This will mean that you are applying your knowledge and skills in a
relevant, practical and meaningful way to your own situation!

If you choose to base your assessment on your own business or workplace, it is

important that you are able to access enough information for your chosen business
to be able to successfully complete each of the assessment tasks. As a minimum,
this will include organisational policies and procedures related to ergonomic
requirements, the organisation’s image and style requirements and file
management requirements.
You will make a final decision about whether to work with the case study business
or a real business in the next step.

Completing your Project Portfolio
You will be collecting evidence for this unit in a Project Portfolio. The steps you
need to take to complete your Portfolio are described below.
Communicating with others
You will need to communicate with a stakeholder or content holder to confirm their
requirements for each presentation. Your communication may be directly with
actual staff members from within your own business or workplace. Alternatively,
your fellow students and/or your assessor can play the roles of the relevant people.
This communication doesn’t have to be face-to-face. Where communication is face-
to-face, it doesn’t mean that all parties must be in the same room – you can use
video conferencing or any other appropriate format, as long as it meets the
requirements outlined in this guide and in your Project Portfolio.
We decided to use the offline presentation software, Microsoft Powerpoint. Although Vesmi is a reliable
online software, there were instances of lagging. It is user-friendly, convenient and an excellent
PowerPoint presentation maker. There are lots of templates and lay-outs available to choose from. The
designs and style are very attractive and are appropriate according to the content to be presented.

2. Preparation

Select a business to work with

As you saw earlier, this unit requires you to prepare three presentations.
Some examples of the presentations that you could prepare include:

 a presentation which introduces your organisation which could be used when

inducting new staff

 a presentation about a new product or service that the organisation will be

offering which could be used to introduce the customer service team to
the product

 a presentation which summarises the first quarter sales against budget

which will be used by the sales manager at a sales meeting

 a presentation which highlights key learning points in a training session

for new client management software being introduced into the business.
Decide whether you would like to work with your own business or the case study
business and follow the relevant instructions below.

For students working with their own business

Check that you have access to the required policies, procedures and information
and decide on the presentations that you will prepare.
Complete Page 4 of your Project Portfolio by:

 describing the business

 describing the three presentations that you will prepare.

Submit Page 4 to your assessor. Your assessor must approve your business and
the presentations before you proceed with assessment.

For students working with the case study business

Take some time now to read through the Simulation Pack for this unit. You will
need to select three presentation topics. Choose areas that interest you. There are
some ideas given above – or you might choose another topic altogether. It’s up to
you. Keep in mind though that you will need to be able to easily access content for
your slides.

You will use your real names, backgrounds and communication preferences and
styles during all role plays or simulated communication to ensure that the
simulation is realistic.
You will also use information from real products and services to combine with
information provided in the simulation pack and include in your presentations.

Complete Page 4 of your Project Portfolio by:

 describing the business

 describing the three presentations that you will develop.

Submit Page 4 to your assessor. Your assessor must approve your planned
presentations before you proceed with your assessment.

Review all of your documents

Before you begin your assessment, read through all of your assessment
documents including this guide and your Project Portfolio. If you are working with
the case study business, you should also read through all of the documents in the
