Team Action Required

To ensure your team is eligible to participate in the 2022 Collegiate Design Series
Competitions your team must STOP, READ, and TAKE ACTION!

Competing in a virtual environment is not unlike being onsite; there are many moving parts.
SAE International would like to remind teams that you need to be diligent in watching
communication received (or not received) and contact us for assistance.

Below are a few reminders of the following actions you need to take:

1. Team members are responsible for reading and watching for updates to the 2022
competition documentation. All news and important documents will be posted
online your competition specific website.

2. Team Captains make sure you are affiliated to your teams Fast-Track Roster on
www.sae.org.

3. Team Captains (or delegated team member) make sure your team is submitting all
required documents. SAE is sending out courtesy warning emails however these are
not required on our part. If a required document submission is missed, your team will
be removed from competing. You must participate in all aspects to stay eligible.

4. Warning emails on late submissions or cancellation notices will come from your
competition series website, i.e., website@fsaeonline.com or website@bajasae.net.

5. Teams will be prompted through the news feed and newsletter to submit a presenter
form listing all of their presenters by a deadline that is TBA for each series. This form
will be submitted through the normal document submission process. Stay tuned for
announcements specific to your competition on your series news feed.

6. At the time that you are prompted to submit your presenter form, each team
member that will be presenting will be required to sign up on Hopin via the URLs
that will be provided in that same news post. It is extremely important that these
individuals signup at their earliest possible convenience.

7. After the presenter form submission deadline, presenters will be populated into
Hopin by SAE staff. Shortly after that, the primary team contact indicated on your
presenter form will receive an email with links to access your assigned presentation
rooms. Presenters will have the ability to test functionality at their own convenience
between the time that they are added and the presentation date. Information on
how to do this will be included in that email. It is up to each team’s primary contact
to distribute these links and ensure that each team member presenting is signed up
on Hopin.

8. All team members are responsible for ensuring their scheduled time appointment is
on their own calendars. A physical appointment will not be sent via email.

9. All team members are responsible for contacting SAE International if having any
issues. We do not know if you are having issues unless you tell us. Email
collegiatecompetitions@sae.org for any assistance in advance of the event.

10. On day of judging, if you run into any problems, please email us
collegiatecompetitions@sae.org.

REMINDERS:

• If your team fails to submit required documents, your team will be removed from
competing any further.

• If your team fails to attend the assigned time slot for your presentation, your team
will be removed from competing any further.

• By not completing any of the steps listed above and/or not contacting SAE
International for assistance, your team will be considered withdrawn and removed
from the registered teams list.
