Human Resource Information System

1. Name the different uses of personnel records and personnel information.


Describe three different situations where maintaining accurate and valid
personnel records was the crucial factor.
 It facilitates in giving crucial people information to management. To keep
an up-to-date record of employee absences, lockouts, transfers, and
turnover, among other things. Based on the existing scenario, it supports
managers in establishing various training and development programs.
Personnel records must be kept because they provide a written record of
everything that happened over the term of employment. As a result,
personnel records must be maintained to substantiate actions such as
promotions, pay raises, and even disciplinary action.

2. There is so much information about an employee that can be captured in a


human resource information system. List as many as you can an classify
them into a grouping useful for a company starting to put together a Human
Resource Information Plan.

Professionals in human resource information systems (HRIS).
HRIS is an abbreviation for Human Resources Information System. The
HRIS is a system that collects and stores information on an organization's
employees. In most cases, an HRIS includes the fundamental functions
required for end-to-end Human Resources Management (HRM).

3. How do you differentiate today’s technology-supported human resources


information system from that of the past?
 The widespread use of information systems has had a considerable
impact on how human resource management is currently conducted. It
has resulted in significant changes in organizational human resource (HR)
systems and procedures, including how data is gathered, kept, used, and
shared. Many HRM operations have become more efficient, and the HR
department has been more involved in corporate strategy as a result of
this improved quality of service.

4. Why would security and access of personnel records be part of a Human


Resources records and information policy? Hat about records retention?
 Because employers generate and receive a large volume of records,
management must create a compelling business case for implementing a
comprehensive records management program. Preserving employment
data is critical in the fight against work-related litigation. In fact, an
employer can be sued for wrongful deletion of employment records under
the concept of spoliation of evidence. Employers must ensure that proper
procedures for creating and preserving relevant documents are in place.

5. Would you put into policy that all employees should have access to all the
information in their personnel record?
