DATA PRIVACY POLICY

(For students)

Wesleyan University – Philippines College of Business and Accountancy (CBA) aims to comply with the
Data Privacy Act of 2012 (DPA). We put high value to the privacy and security of student’s personal data
and information entrusted to this institution while carrying out its school mandate and responsibility.

This policy set out how this institution manages personal information, who uses and how the information
is shared and used, how long the information is retained and what the student’s rights are with respect to
the student’s information.

Kind of Information

This institution classifies the quality of information obtained during their stay in this institution:
1. Personal Information refers to any information whether recorded in a material or not, from which
the identity of an individual is apparent or can be reasonably and directly ascertained by the
entity holding the information or when put together with other information would directly and
certainly identify an individual;
2. Sensitive personal information refers to personal information that contains about an individual’s
race, ethnic origin, marital status, age, color and religious, philosophical or political affiliations,
and; about an individual’s health, education, academic history, psychological evaluation, genetic
or sexual life of a person, or to any proceeding for any offense committed or alleged to have been
committed by such person, the disposal of such proceedings, or the sentence of any court in such
proceedings.

Collection of Information

We collect your personal data upon enrollment and during the course of your stay with us, that includes:
● Name, home address, email address, contact information (telephone or mobile number and other
contact details), family history, medical records, psychological evaluation results, and other
personal information that will be accumulated throughout your stay in this institution;
● Information about academic or curricular undertakings, classes you are enrolled in, your
academic records, including unofficial transcript, academic history and performance, and
attendance record;
● Information for and in relation to co-curricular and extra-curricular matters such as, outreach
activities, leadership positions, organizational memberships, participation and attendance in
seminars, programs and competitions, and
● Information about your disciplinary records or incidents, including the sanctions that you may be
involved in.

Access to Information

Your information is accessed by the College of Business and Accountancy, and other offices in the
University such as, Office of Student Affairs, Office of the Registrar or any other offices who have
legitimate interest for the purpose of carrying out their mandated duties.

Disclosure of student information may also be given to: parents or guardian and other third party
organizations that legitimately needed such student information in conformity with the existing policies
of CBA.

Uses of Information

Information will only be collected for purposes necessary to the functions and activities of the School.
These include applications for admission, sharing of grades between among faculty members, and others
with legitimate official need, for academic deliberations; processing of scholarship application, grants and
other forms of assistance, discipline, and student evaluation.

In cases where the School requests information about a student or parent/guardian, if the information
requested is not provided, the School may not be able to enroll or continue the enrollment of the student
or permit the student to take part in a particular activity.

Periodic Retention of Information

The college will retain your personal information indefinitely for historical and statistical purposes. In
cases where a retention period is required by law, all records after such period will be duly and securely
disposed of.

Student’s right about their information

1. Under the act, you may object to the processing of your personal data, have the right to obtain
access to any personal information which the School holds about you and to advise the School of
any perceived inaccuracy;
2. The School respects every parent’s right to make decisions concerning his/her child’s education.
Generally, the school will refer any requests for consent and notices in relation to a student’s
personal information to the parents. The school will treat consent given by parents as consent
given on behalf of the student, and notice to parents will act as notice given to the student.
However, the school may allow a student to give or withhold consent to the use of his/her
personal information independently of his/her parents. This would normally be done only when
the student is a college student and of legal or if the student’s personal circumstances so warrant;
3. You may request to access your personal information and/or have it corrected, erased or blocked
on reasonable grounds. The school reserves the right to deal with the matter in accordance with
law, and
4. Students will generally be able to access and correct or update their personal information through
their parents, but college students of legal age may seek access and correction.

The School may require you to verify your identity and specify what information you request.

consent to Wesleyan University – Philippines College of Business and Accountancy to collect, process, use
and share my personal data in the pursuit of its legitimate interests as an educational institution.

Moreover, I hereby authorize the College to inform my parents or guardian should I commit misconduct
or should there be complaint filed against me by reason of violation of the provisions of Student Manual,
the policies, rules and regulations of the University or any existing laws.
