PROBLEM:
People in virtual meetings often multitask (do other things while
participating in the meeting) or free ride (have their computer on
yet don’t participate). These problems tend to be more common in
virtual meetings because there is the less social presence
(individual visibility) encouraging people to engage in the
discussion.

Former meetings and conference examples, uses, and settings. Meetings and
Brainstorming activities are held before the pandemic personally with the
purpose of informative and efficient discussion. In schools and the
workplace, especially in corporate and administrative settings, the meetings
are done via face-to-face discussion. This ensures the focus of attention,
loads of opportunities for revisions and discussion of agendas, and a more
genuine bond with everyone involved. The meetings are usually held right
away when the members are seen in the vicinity, it has way more easy
confirmation of everyone's engagement and attention.

the topics discussed are almost always non-negotiable. As interfering
with the speaker is way more obvious and obstructive than simply
raising a hand in an offline/physical discussion.

Summary
The group discussed the assigned topic which is “LEADING VIRTUAL TEAMS: MOTIVATING
PARTICIPATION IN VIRTUAL MEETINGS” wherein problems and before/face to face meetings
situation was explained; the common problem that the group encountered is People in virtual
meetings often multitask by doing other things while in the meeting because before pandemic
happened meetings are done via face-to-face discussion and it is way easier to everyone’s
engagement and attention. Moreover, some adjustments and concerns are also way easier to
address compared to online meetings and conferences. Members, also, have the power to decide if
something needs a clarification or a disagreement whenever they wish to. To motivate all the
members to participate in virtual meetings, near and long-term problems or issues are also
discussed; Near Problems are Technical Issues, People Are Nervous, Trouble joining by phone, and
Different Time Zones. On the other hand long-term issues: Communication Gaps, Lack of
experience with online meeting technology, Reduced Focus, and Productivity. In addition, solutions
to the possible problems were stated and these are: ensure everybody is using the best Internet
connection possible, minimize the use of the Internet, Focus on the audience before sending a
message, and encourage your remote team to tidy their workspace, take your time before a virtual
meeting/ conference call. Moreover. The group find alternative ways for the problems mentioned
above: Do A Virtual Icebreaker or Check-In, Create A Line for Participants To Follow, Online Voting,
Feedback, Virtual Energizers, and Selection of video conferencing tools other than zoom.
