Consultant Firm before accepting their proposal.

Avery now being the head of the Plymouth Zoo that had already hired a consultancy Firm

to determine the cost saving methods for the zoo to make profits. After the Consultancy firm

hand in their proposal. It is important for Avery to ask for information from the enterprise about

the causes of increased costs in the business.

ii. What project planning tools will you suggest AVERY ask the consultants to use to outline

the project more specifically and address his concerns?

1. Work Break down tools

Work breakdown structure (WBS) is a tool used by project managers to break down the

project into small manageable pieces. It is usually the start of the planning process. And it's often

called Foundation of project planning.

WBS is of great importance to an organization since it provides a solid foundation for

planning and scheduling, estimates the project’s cost accurately, makes sure that all deliverables

are in place and helps in resources allocation

2. RAID LOG

Raid Log helps in tracking anything you know now and in future during a project life.

Raid log is prepared at the start of the project life. Raid Log is an acronym standing for Risks,

Assumptions, Issues, and Dependencies.

Risks- circumstances that have an adverse impact on your project on their happening. If the

likelihood of the event happening and change to the project are both high, you identify the event

as a risk. The log includes explanation of each risk, full analysis and a plan to mitigate them
Assumptions - factors that you are assuming to be in place that will contribute to the favorable

effect of your project. The log includes details of the hypothesis, the reason it is believed, and the

action needed to confirm whether the assumption is valid.

Issues - events that are happening but wrongly on your project and needs controlling.

Failure to manage issues may cause a poor delivery and even complete failure. The log involves

descriptions of each issue, its effects, its seriousness and steps needed to put it under control.

Dependencies Any occurrences that are either reliant on the result of your project, or on

which your project will be dependent. The log obtains whom you are dependent on, what they

should deliver and when. It may also include who is relies on you.

3. SWOT Analysis

SWOT analysis is a strategic tool used to evaluate strengths, weaknesses, opportunities,

and threats to a project it entails specifying the objectives of the project and identifying the

internal and external factors that are favorable and unfavorable to achieving that project. The

strengths and weaknesses usually arise from within an organization, and the opportunities and

threats from external sources.

4. Using Feedback as a tool

It’s important as a project manager to give and receive feedback effectively from all

customers both internal and external. Feedback is in use to motivate people, help with personal

development, uncover risks and issues and solve problems. An environment of frequent, honest

and relevant feedback foster open communication.

also represent the accomplishment of a major component in the project.

Assumptions are beliefs that what you believe to be true in the future depending on the

knowledge, experience or the information at hand. These assumptions are expected to happen

during the lifecycle of the product.

Constraints are difficulties imposed on the project like increased cost, fixed schedule, and

limited resources’. All projects work have to work within the boundaries restricted by these

constraints that are defined at the beginning of the project.
