The week stared off with me giving a report on my observation during my visit to the different
facilities. I also did a small presentation. My supervisor had previously mentioned that my focus
would have to be on the Processed Food Division, so I emphasized my report and presentation on
the that unit. I had made certain suggestions for improvement, such as, the different sections within
the Primary and Further Processing Units were not marked, for example, which section was for a
valued client and which was for internal use was not marked. So, I suggested to put up labelled
boards at different sections so that during future visitations, visitors can easily understand where
one step started and where it ended or another began. This suggestion was received well by my
supervisor and I was tasked with the help of other members of the Department to implement it.

This gave me the opportunity to meet with vendors who would actually do the work. But before
the vendors could be approached the number of labels and the labels themselves had to be
designed. I quickly sat with the members of the team and listed down the various sections within
the facility that would require a label. Once all possible areas had been listed I designed a very
basic layout for the labels and got it approved by the supervisor. Then we contacted two – three
vendors to find what material would be appropriate and the cost of making. Valuable lesson learned
during the process was the constant back and forth with the vendors for price negotiation and work
completion. This simple work which should have been in two to three days, took the entire week,
that is excluding the designing of the label boards.

During the week, I was introduced to the different departments of the Processed Food division, the
sales team, the marketing team (whom I was working with), the supply chain department which
handled the procurement and distribution of the finished goods. Aftab Bahumukhi farms has its
own fleet of distribution vehicles. These include vehicles for transport of DOC (Day Old Chicks),
Feed and Processed Food. For the transport of Processed Food, it has specialized freezer vans to
maintain the temperature and quality of the food. It also has a central distribution center in Dhaka,
with a storage facility for emergency. The procurement department at the head office handled all
the procurements for all the entities of Aftab Bahumukhi Farms Limited. To my observation, the
basic structure was there but there were many gaps in communication process flow.

I expressed this to my supervisor, after which we sat and brain stormed to chalk up a detailed
process flow for the whole Processed Food Division, starting from order taking to delivery,
production flow for both Primary and Further Processing unit, procurement process flow, etc. he
briefed me and then I was to draw up the flow charts before final approval.

So far I was learning at a running pace, given responsibilities, working as part of the team and
contributing where possible.
