1. Termination employment message
1.1. Evaluating the termination employment message

Because the termination letter is a formal document, we must use professional and
serious language. "Hello, Anna” or “ Best” should not be used in this situation because it
detracts from the formality of the text. Furthermore, the letter lacks a lot of basic
information that a termination letter should include, such as: company name, date of
letter, date of termination, list of verbal and written warnings, list of items to be handed
in before leaving (company laptop, keys, etc.), receipt of company property, details about
the notice period, final paycheck, vacation pay, severance, health insurance, and other
benefits. Another issue with this letter is that it expresses the writer's personal feelings,
which is unnecessary and has a negative impact on the reader. The reason for termination
was mentioned in an inappropriate tone in the letter, as if criticizing the recipient.

In a worst-case scenario, this letter would need to hold its weight in court. All
details should be clear and accurate. No jokes, sarcasm or overly-sympathetic language.
Make sure there's no excess info, no glaring omissions and no room for misinterpretation.
In my opinion, it's always best to end things amicably. Recruitment is a moving target
and unless you're dealing with a truly bad-egg employee, it's always best to leave the
door open in case you ever want that person to walk back through.

1.2. Rewriting

Dear, Anna.

I’m sorry to inform you that as of 05/05/2022, you’ll be no longer employed with DH
Inc. As discussed, we think this is the best decision, because of your reduced
performance during the last project.

We have concluded that your performance does not meet the requirements of the
accounting assistant position. As per our records, you have not been actively participating
during the last project with the organisation. Your supervisor has noticed that you

frequently miss deadlines and arrive late for meetings. This has has influenced negatively
the team's productivity and gone against the organization's objectives. Due to this, we
have concluded your termination, which is final and irrevocable.

Please return any organisation property in your possession. Your severance payment
which consists of the unsettled leaves, will be provided with your last salary. You can
contact the HR office for further inquiries. 

We wish you success in your future.

2. Non-verbal language and effective communication


2.1. Example

The first situation, In an interview, Tim dresses neatly and elegantly. He always
look the interviewer in the eyes when answering questions, and have a vibrant, eager
voice and a moderate smile throughout the interview. The recruiter had a good feeling
from the moment Tim walked in and complimented him at the end of the interview.

Another situation, During the final presentation, Anna only focused on the slide to
speak, she had no eye contact with the audience and barely moved during the
presentation. This has reduced the audience’s interest and attention, making the
presentation uninteresting and ineffective.

2.2. Evaluating the case

It can be seen that non-verbal communication plays an important role in


communication and directly affects communication effectiveness. Tim shows confidence
and makes the interviewer feel listened and focused by using body language such as eye
contact. Anna, on the other hand, gives the impression to the audience that she is
unprepared for the presentation and lacks confidence. In addition, nonverbal language

such as clothing, tone, gestures,… also help Tim make a good impression on the
recruiter. These factors indicate that the interview is really important to him. In general,
your nonverbal communication cues—the way you listen, look, move, and react—tell the
person you’re communicating with whether or not you care, if you’re being truthful, and
how well you’re listening. When your nonverbal signals match up with the words you’re
saying, they increase trust, clarity, and rapport. So, it’s important to understand how to
use and interpret body language and improve our nonverbal communication skills.
