Applicant,
API thanks you for choosing to apply for an individual certification with API. In order to minimize any
misconceptions and concerns, we want you to know as much as possible regarding our policies and processes.
1. API will process your application in the order it is received. Please note that we manually review and process
around 1500 applications for each upcoming examination. The absolute majority of all these applications
arrive in our office on the deadline date which, in turn, delays processing. It may take us 4‐6 weeks to get to
your application. Tip #1: Do not wait for the deadline. Send your application in early. It will help us to process
it in a timely manner and it will help you to avoid any waiting.
2. Once payment is received, your application is reviewed and processed and we determine that you qualify for
the program you selected, you will be scheduled for the examination. At this time API will send you an
acknowledgement letter, notifying you of the date of your examination and the city where it will take place.
This acknowledgement letter will be e‐mailed to you. In order to ensure receipt of this communication, please
make sure the e‐mail address you provide us is current and unique. Tip #2: If you do not hear from us, please
check your spam box – sometimes various filters will put our letters into an e‐mail spam or trash folder.
3. The acknowledgement letter should arrive within 6 weeks of the application deadline. Tip #3: Check your e‐
mail and spam folders regularly. If you do not receive the acknowledgment letter from API within 6 weeks after
the deadline, please do not wait! Your application may have been lost in the mail. Contact ICP’s customer
service either by e‐mail (inspector@api.org) or by phone (202‐682‐8064) to determine the status.
4. If we determine that you do not qualify for the examination, we will contact you by e‐mail or phone to discuss
your qualification.
5. If we determine that you do qualify, but your application was found to be incomplete, you will also receive a
deficiency letter from API (by e‐mail), specifying what was missing in your application. You must resolve the
deficiency in order for us to complete your application processing and to provide certification.
6. Once we process all the applications and determine the addresses for the testing sites, we will forward you an
admission ticket. Admission tickets are also sent both by e‐mail and hard mail. Admission tickets are
generated by a contracted agency and sent out 3 weeks prior to the examination date. Admission tickets are
mailed to your home address. Tip # 4: Please give us a valid home address where you or someone else you
trust will have regular access to your mail.
7. Whether you sent us a new application or a reschedule request, you have to pay for the examination in order
to take it. Please verify that the payment has indeed been made. Tip # 5: If you think you have sent us a credit
card payment, but your bank statements do not reflect it ‐ please contact us at least 5 weeks prior to the exam
date.
8. API completes an examination roster and sends it to a testing agency 5‐6 weeks prior to the examination. This
is necessary because the examination booklets are printed on demand, based on the number of applicants,
and the testing sites are established and booked in advance (also based on the number of applicants).
Therefore, once the rosters are completed and sent, we have no control over them, and we cannot add people
or change their exam locations.
9. Important note: Applications received by our office after the official application deadline will no longer be
reviewed and processed. If you are not sure how long it will take for the mail to deliver the application – send
it well in advance.
