Overview

The GRE® Search Service is a powerful, one-of-kind database that provides graduate and professional schools
a cost-efficient way to reach individuals from around the world who have taken a decisive step toward
pursuing an advanced degree and who personally opted-in to hear specifically from graduate, business and
fellowship programs like yours.

Depending on your recruitment and admissions goals, you can use the GRE Search Service to reach a broad,
diverse group of prospective applicants or refine your search to identify the specific characteristics that you
are seeking—ranging from detailed geography selections, gender, ethnicity, academic performance and
more. The Search Service database, containing 18 months of prospective student data, is updated twice a
week and will provide you with the most current prospects.

TIP! For a look at the characteristics of students who participated in the GRE Search Service in a recent
18-month period, view the data in Appendix A.

The Search Service system is available 24/7, and you can perform unlimited searches or place an order
anytime. Orders are typically available within two hours of submission and no later than the next business
day.

Minimum Computer Requirements

Eligibility to Participate
Institutions eligible to participate in the GRE Search Service include (1) institutions and departments within
institutions that award graduate degrees and (2) non-degree-granting organizations that award graduate
fellowships or scholarships. Participation is currently available for eligible institutions and organizations
within the United States and U.S. Territories, Canada, the European Union and many other countries*.
Because of international privacy laws, participation may not be available to institutions in certain locations.

Terms of Participation
Institutions

Participating institutions must agree to the following:

• The information provided by the GRE Search Service will be used only by the institution and its
agents and will not be released to other agencies or to individuals not acting directly for the
institution.
• GRE Search Service information will be used only and exclusively to identify potential applicants and
to bring to their attention the educational and financial opportunities available to them through the
institution.
• The institution will not use names provided by the GRE Search Service to discriminate against
potential applicants on the basis of race, color, national origin, religion or sex.
• To maintain the confidential nature of student information, the institution will not copy, release, use,
lend, sell, rent or otherwise make available student information to any other institution, organization
or individual without the written consent of Educational Testing Service.
• The privacy of applicants’ information is the sole responsibility of the institution.

Any inappropriate or secondary use of the GRE Search Service is prohibited. Violations of this agreement will
lead to a cancellation of future service and will be subject to penalty.

Note that Search Service registrants have opted in to receive communications from participating institutions
via email, postal mail and telephone. Search Service registrants have not opted in to receive communications
via text message; therefore, you do not have permission to send text messages to any Search Service
registrant unless you have sought and received explicit permission from that individual to receive text
messages from your institution/program.

Prospective Students

Prospective graduate and business school students are given the option to be included in the Search Service
when they register for the GRE® General Test or a GRE® Subject Test. In addition, anyone considering
graduate study, whether or not they are registered for a GRE test, can sign up for the GRE Search Service.

Email Marketing

When contacting a list of Search Service registrants via email, your emails should be sent using email
software or sent individually to each prospective student. This approach will keep the list of email addresses
from being available to all Search Service registrants and assure that the information is not being
inadvertently shared. To learn more, contact your institution’s local administrator or tech support.

Important: Do not send emails to Search Service registrants by placing all registrants in the “to” field. This is a
violation of the ETS Authorization and Use Statement and is subject to penalties.

Fees, Payment and Billing Policies

The per-name fee per order is US$0.75.

Payment Terms and Conditions

Payment with an electronic payment or purchase order is due upon the completion of an order.

Payment with an Electronic Payment

ETS accepts the following credit cards: American Express®, Diners Club International®, Discover®, JCB®,
MasterCard®, UnionPay®, RuPay Global or VISA®. ACH electronic payment or eCheck are accepted if you have
a bank account in the United States or a U.S. Territory.

Once your payment is approved, you will receive an email confirmation that your payment was completed.

NOTE: Discover, ACH electronic payment or eCheck cannot be used to schedule recurring orders.

Payment with a Purchase Order

To complete an order with a purchase order, enter generic purchase order information. ETS will issue an
invoice to your institution for the total amount due by mail within two business days. Payment is due upon
receipt.

All invoices must be paid by the Account Holder in accordance with the payment conditions stated on the
invoice. In the absence of specific conditions, the Account Holder must make payment no later than 30 days
after the invoice is issued. If payment is not made in the specified period and the account is overdue by
90 days or more, the account will be suspended from making future purchases until full payment has been
made.

Fees and payment terms and conditions are subject to change at any time.

Inside the ETS Institution Portal

The GRE Search Service is offered within the ETS Institution Portal, which provides convenient access to GRE
and TOEFL institution services for GRE and TOEFL score users and their delegates. Additional services in the
portal include the ETS Data Manager, the fastest way to access and view test-taker score reports, and the
TOEFL Search Service, which helps schools find international students with the right English skill levels for
their programs.

New Account Holders


When you log in to the ETS Institution Portal for the first time, you will be prompted to change your password
and select a security question. You will also be asked to agree to the Terms and Conditions and to select a
contact preference for ETS updates, including best practice tips, webinar invitations and special offers about
its products and services.

Administrative Features
You will have access to several administrative features. You can update your profile, including your contact
and shipping addresses, change your password and/or security question, review your Search Service
transactions, and add and manage users.

NOTE: If you need to change your email address, you will need to contact a GRE Search Service specialist at
gresearch@ets.org.

Forgotten Username or Password Retrieval

If you have forgotten your username or password, you can automatically retrieve your information through
the ETS Institution Portal. Visit the ETS Institution Portal sign-in page and select the “Forgot Username” or
“Forgot Password” link below the “Sign-In” button.

You will be prompted to either enter the email address that you used to create your account, or to enter
both your Username and the email address that you used to create your account.

The system will automatically create a temporary password for your account and send it to your email
address. The next time you sign in to the system, you will be prompted to change the password.

Manage and Add Delegates

The primary account holder may add up to five additional users (delegates) to an account. There are two
types of users a primary account holder can add — full-access delegate and limited-access delegate. A full-
access delegate can access the same Search Service features as the primary account holder; however, they
cannot add new users to the account. A limited-access delegate has all the same access as a full access
delegate; however, they cannot place an order.

To add a new user to an account, select “Add a New User” from your home page in the ETS Institution Portal
and enter the email address for the individual for whom you are requesting access. If the individual is an
existing user, you will be able to select your institution and add him or her to your account. If the individual is
not an existing user, you will be prompted to complete the Access Request form.

The primary account holder is responsible for ensuring that all delegates are official employees or agents of
the institution and that they have a need to access the Search Service for a legitimate purpose of the
institution. The primary account holder must also agree to promptly notify ETS if a delegate is no longer
authorized to access the GRE Search Service.

Search Order Receipts

You can print or download a copy of your receipt directly from the ETS Institution Portal. Select “My Search
Service Transactions/Accounts” from the home page. Then select the “Order Number” link and “View
Receipt” on the subsequent page. You can then print or download your receipt.

Geographic information is based on the current mailing address of prospective student. Only one criterion
can be selected in this section.

Choose an address, then specify the radius (in miles or kilometers) around this address you would like to
include in your search.

Choose each country that you want to include in your search. Within your chosen countries you can identify
the postal codes that you want included in your search.

State or Province (U.S./Canada Only)

Choose each state, territory or province that you want to include in your search. If you want to search on all
states, use the country criterion and select United States. If you want to select all Canadian provinces, use the
country criterion and select Canada.

World Region

Choose from Africa, Asia, Australia and Oceania, Europe, Central America, North America and South America.

Educational/Employment History
Current Educational Level

Choose from Sophomore (second year), Junior (third year), Senior (fourth or final year), First-Year Graduate
Student, Second-Year Graduate Student, Unenrolled (College/University Graduate), Unenrolled (Master’s
Degree), Other and No Response.

Undergraduate Major Field

Choose the four-digit Undergraduate Major Fields (e.g., 0202 Biochemistry) that you want to use. Refer to
the GRE Broad Major Field Code/Major Field Code List in Appendix B to help you select the four-digit major
fields to use in your search.

Broad Undergraduate Major Field

Choose the two-digit Broad Undergraduate Major Fields (e.g., 02 Biological and Biomedical Sciences) that you
want to use. Refer to the GRE Broad Major Field Code/Major Field Code List in Appendix B to help you select
the two-digit broad major fields to use in your search.

Years of Full-time Work Experience

Select from a drop-down menu of values ranging from 0 to 50+ years.

TIP! Consider targeting unenrolled college/university graduates in addition to seniors and juniors.
Unenrolled college/university graduates typically comprise about 25 percent of GRE Search registrants.

UGPA with GRE Score Bands

Overall Undergraduate Grade Point Average (Self-reported)

When using overall undergraduate grade point average (UGPA), choose each UGPA that you want to include
in your search. For example, if you want students whose UGPA is between A and B-, you must select A, A-, B+,
B and B-. If you select only A and B- to attempt to create a range, you will not include students whose UGPA
is A-, B+ or B.

UGPA in Major (Self-reported)

When using UGPA in major, choose each UGPA that you want to include in your search. For example, if you
want students whose UGPA is between A and B-, you must select A, A-, B+, B and B-. If you select only A and
B- to attempt to create a range, you will not include students whose UGPA is A-, B+ or B.

GRE Score Bands

You are able to search the student database by GRE® General Test score bands or GRE® Subject Test score
bands in combination with self-reported UGPA. The GRE Board made the decision to include GRE score bands
in combination with UGPA to ensure that GRE test scores are not the sole determining factor in identifying
students to recruit for a graduate program. Candidates who meet either the criteria for the GRE score bands
OR the UGPA score range you select will be included in the output.

When using GRE score bands to create a search criterion, you must first select values for “Overall UGPA” or
“UGPA within Major.” You will need to choose each UGPA that you want to include in your search. Once that
information is included, you will be presented with options for GRE score bands based on the sections of the
GRE General Test or for the Subject Tests.

GRE score band is a search-only criterion. While GRE score bands can be used to build custom mailing lists,
neither score band data nor individual test score data will be included in the output file format.

The score bands for each of the sections of the GRE General Test and the GRE Subject tests follow.

Broad Intended Graduate Major Field

Choose the two-digit Broad Intended Graduate Major Fields (e.g., 02 Biological and Biomedical Sciences) that
you want to use. Refer to the GRE Broad Major Field Code/Major Field Code List in Appendix B to help you
select the broad graduate major fields to use in your search.

Planned Date of Enrollment

Choose the planned date(s) of enrollment by year and month range.

TIP! Use the planned date of enrollment in conjunction with the GRE test date range to help identify
prospects whose plans fit best with your recruitment timing goals.

Exclusion Options
Exclude Test Takers Who Have Requested that Their Scores be Sent to My Institution/
Organization

You may choose to exclude individuals who have requested that their GRE scores be sent to your
institution/organization.

Exclude Search Registrants Who Do Not Have an Email Address

If you are exclusively conducting an email marketing campaign, you should select the box “Exclude Search
Service Registrants Who Do Not Have an Email Address” under “Exclusion Options” to exclude Search
registrants who did not provide email addresses.

TIP! If you plan to use the names for phone calls or print mailings, you should not select this box because
it will eliminate prospects who do not have email addresses but who may have provided a phone number
or postal mailing address.

Exclude Search Registrants Whose Names and Information Have Been Sent to You in a Previous
Order

You may choose to exclude search registrants whose names and information have been sent to you in a
previous order. NOTE: This option is available on the “Place Order” page.

GRE Test Date Range


Enter the beginning and end test dates for your search for registrants. You may type in the desired dates or
double click/select dates on the calendar (accessed by selecting the clock/calendar icon to the right of the
text box). Names are kept in the database for 18 months. The test date range should be determined based on
the goal of the campaign. For the most recent end date, we recommend that you use the link for “Today” on
the calendar.

After you sign in to the ETS Institution Portal, select the “GRE Search Service” button to log in to the GRE
Search Service.

Once you log in to the GRE Search Service, you will have access to a number of search features. You can
choose to create a new search, review and modify saved searches, place an order, schedule a recurring order
or view orders purchased. The Search Service Home page is shown below.

Create a New Search

From the Search Service home page, select the red “Start a New Search” button or the “New Search” tab to
get to the New Search screen. The New Search screen appears below.

Steps to Create a New Search

Step 1: Select Your Search Criteria

You will be presented with the search criteria groupings. To view the values for each criterion, select the
criterion. To create your search, select only the criteria and values that help you narrow your search. In
addition, choose from the two exclusion options: exclude registrants who have requested that their scores
be sent to your institution and exclude registrants who do not have an email address.

Step 2: Specify Test Date Range

After you select your criteria, enter the “Test Date Range” for your search. Your results will include
registrants that meet the criteria you have selected and who have a test date in the range you selected. If a
registrant does not have a test date, your results will include them if they opted in to the Search Service in
the date range you selected.

Step 3: Name and Save Your Search

Provide a name and description of your search for future use.


Next, select “Preview Results” to see how many registrants meet your criteria and the estimated cost. At this
time, you can modify your criteria, save and continue to order, save the order or cancel the order.

Helpful Tips for Creating Searches


 To help your searches run faster, select only the criteria that will help you narrow your search.

 We recommend that you do not select anything as a search criterion that does not narrow your search.
Simply bypass the criterion and its selections.

 If a selection is not relevant to the needs of your search, you do not have to use that criterion in your
search. For example, if “Native Language” is unimportant to your recruitment efforts, do not use that
criterion in your search. Only make selections that will help narrow your search. If you select all of the
available choices, it will slow down the query and it will take longer for you to get your results.

 In order to remove an unwanted selection from a search criterion with multiple levels of search, simply
check the box to the left of the unwanted selection.

 If you want to delete the criterion from the first level of selection/top row when there are no additional
levels/rows added, simply uncheck the box to the left of the criterion.

Saved Searches

In the “Saved Searches” tab you can review the details of the searches you have previously saved, edit existing
searches, create a new search from an existing search, place an order or schedule a recurring order. Below is
the Saved Searches screen.

Review Search Details


To review the criteria used to create a search, select the “Show Search Details” link next to the search name
you want to review.

Edit an Existing Search


To edit an existing search from the list of saved searches, select the search you would like to edit. You can only
edit a search that has not already been ordered. The “Edit” link will appear under the Actions column if a search
can be edited. After you have edited the search, you may save it as the existing search or save it as a new search.

Create a New Search from an Existing Search


To create a new search from an existing search, select “Save as New” under the Actions column. This function
allows you to maintain the existing search while creating a new search.

Place an Order
To order a saved search, select “Order” next to the search you would like to purchase.

Schedule a Recurring Order


Recurring orders allow you the option of scheduling orders in the future to recur weekly or monthly for a
specific time range, so you know your campaigns are always going to the freshest names in the database. If you
are traveling or just want to save time, this feature can be especially helpful. A recurring order cannot be
processed until an order has been placed for a search. Once a search has been ordered, the “Add Recurrence”
link will appear in the Actions column.

To order at the time you complete your search, select “Save and Continue to Order.” To order at a later time,
select “Save.”

To place an order for a search you have saved, select the “Place an Order” tab. Select the search you would

If you would like to review the details for a specific search before you place an order, select the “Saved
Searches” tab. You may review search details for each of the searches listed. In addition, you may choose to
exclude any registrants whose information you purchased in previously placed orders. When you are ready to
purchase a search, select Order to complete your purchase.

Steps to Place an Order

Step 1: Select Your Search

Select the saved search that you want to use to place your order. Check the box (circled in red on the screen
above) if you would like to exclude registrants that you purchased in previously placed orders.

The cost to place the order will be presented. If you would like to reduce the number of registrants you
receive, you can do so by entering the desired number of registrants in the appropriate box. The system will
randomly reduce the number of registrants in your order.

If you have a promotional code, enter the code number in the space provided and select “Apply.” The total
amount of the discount to be subtracted from the order total will display.

If you need to make any changes to your order, you will need to do so before proceeding to the payment
screens.

Step 2: Customize List Format (Optional)

Choose whether you want the list sorted alphabetically, by postal code or by intended graduate major field. In
addition, choose whether to have the fields printed in proper case or upper case.

You can also choose advanced formatting options to edit the file format. You can choose to export only the
fields you want to receive. If you do not want to include a specific field of data, select the arrow on the drop-
down box and select “Do not export.”

Also, you can choose to name the fields to easily match the format of your current student management
system. If you want to rename a field, simply type over the existing name in the text box in the “Custom Field
Name” column.

In addition, you can choose how you would like the data displayed in the output file. If you choose “Export
Names,” you will not have to “decode” or “translate” values before using them to complete recruitment
campaigns. “Export Names” is the default to receive the user-friendly output of data. If you prefer to receive
the values, that option is available by selecting “Export Values.” You can also select “Export Names (Values)”
or “Export Values (Names)” in order to receive both formats in a single export.

Step 3: Name Your Order

You can save your order with the same name as the search, or you can provide a new order/file name.

Step 4: Payment Options

You can choose to pay with an electronic payment or with a purchase order.

If you select to use an electronic payment; you have the option to store up to five credit cards that can be used
as payment on any single order.

If you are paying with a purchase order, enter the Purchase Order number in the space provided. This number
will appear on the invoice that is sent to your institution.

Choose the appropriate method of payment, then check the box indicating you agree with the Search Service
terms and conditions.

Next, select “Proceed to Payment” to submit your order for processing. NOTE: Once you have submitted a
Search order, it cannot be canceled.

Pick Up Your Order


Output is typically available within two hours after the order is placed. When your order is available for
downloading, you will receive an email notification. To pick up your order, sign in to your ETS Institution Portal
account, select “GRE Search Service” and go to the “My Orders” tab.

Recurring Orders

Recurring orders allow you the option of scheduling orders in the future to recur weekly, monthly, or yearly
for a specific time range, so you know your campaigns are always going to the freshest names in the
database. You can schedule a recurring order for any order that was previously placed. If you are traveling or
just want to save time, this feature can be especially helpful. To schedule a recurring order, you must provide
a blanket purchase order or credit card to cover the cost.

To view your recurring orders, select the “Recurring Orders” tab. You can make changes to an existing
recurring order including scheduling, formatting or preferred method of payment.

Schedule a Recurring Order


To schedule a recurring order, select “Create New Recurring Order” on the “Recurring Orders” tab. You can
also select “Add Recurrence” on an existing search order on the “Saved Searches” tab to schedule a recurring
order.

Step 1: Select Your Order

Select the saved search that you want to use to place your recurring order. After you select a search, you
have the option to review the search details, set a purchase limit (i.e., number of names per order) and
identify who should be notified when the recurring order has been processed.

The “Auto Extend” box allows you to extend the Registered Date Range each time the recurring order runs. If
the end date in the Registered Date Range is a future date, the date range will not be extended. Once the end
date is reached, the date range will be extended to the current date of each subsequent recurring order. The
Auto Extend box is automatically selected in all new recurring orders. Deselect this box if you do not want to
implement this feature in your recurring order.

Step 2: Specify Date Range or Order Limits

Select the dates that you want to start and end the recurring order.

Step 3: Select Order Timing Frequency

Indicate how often you would like the recurring order to be processed. You have the option of scheduling
orders to recur weekly, monthly, yearly and for a specific number of times.

NOTE: Names previously purchased in a recurring order are automatically removed from that order each
time the recurring order runs.

Payment for Recurring Orders

Select the appropriate button to indicate if you are paying with an electronic payment or with a blanket
purchase order. After you schedule your recurring order, you will automatically receive your list in your
Search Service account on the date that you specified.

Edit a Recurring Order

After you establish a recurring order, you may edit your search criteria at any time. To edit a recurring order,
select the “Recurring Orders” tab to view the list of your recurring orders. Find the recurring order you would
like to edit and select “Edit.”

The “Edit a Recurring Order” page for the order you selected will be displayed. To view the details of the
order for editing purposes, select “Show Search Details” next to the saved search name.

The list of current saved search criteria will be displayed with a link “Edit Current Search Details.” Select this
link to edit the search criteria.

A page titled “New Search” will be shown and will include the current criteria in the saved search. You can
change, add or delete criteria, and edit the specified Test Date Range if desired. Then select “Save” to save
your changes. The next time the recurring order runs, it will be based on the changes you have made.

Delete a Recurring Order


If you need to cancel a future recurring order from being processed, select “Delete Recurrence” next to the
recurring order on the “Recurring Orders” tab.

To view the orders you have purchased, select the “My Orders” tab. For each purchased order, you can
review search details, edit the file format, and download the list.

Select “Edit Format” next to the order that you want to download to edit the file format. You can choose to
export only the fields you want to receive. If you do not want to include a specific field of data, select the
arrow on the drop-down box and select “Do Not Export.”

You can also choose to name the fields to easily match the format of your current student management

To review the purchase details for each order you purchased, go to the ETS Institution Portal home page and
select “My Search Service Transactions/Accounts.”
