Wrong channel
Wrong choice of channel is one of the main barriers to communication. If you
choose the wrong channel - that is if the channels are not effective for the type of
message and meaning you want to create - you are likely to create
misunderstanding, and even end up worse off than if you had kept the message to
yourself. Not only does using the wrong channels impede communication, but
doing so can cause distrust in others, particularly about your sincerity and
commitment to them.
As you can see, getting the channel right is just as important as sending the right
message. The more emotionally loaded the message, the more thought has to go
into how to communicate it, and which channels to use.

CASE STUDY 1: Communication problem

In the first scenario, when two people are looking for an apartment to rent, and
want to know the information of the apartment for rent. Instead of providing the
other two people with a brief description of the rented room so they could picture
it in her apartment, the landlady gave the two friends a long and thick brochure
about the building and told them to read it. The brochure is too long and thick,
making the two tenants bored and impatient to watch. Moreover they don't have
much time to read it all. This can result in tenants missing information and not
knowing everything they need to know about this rental apartment building.
We can see that in this conversation, the landlady achieved her goal, which is to
provide a document full of information about the apartment building for rent.
However, I do not think that this is not a suitable and wise communication
channel. By selecting that communication channel, the tenant will notice the
landlord's lack of enthusiasm and superficiality, and therefore, the outcome of
this communication will not be good.

Determining the most appropriate channel, or medium, is critical to the


effectiveness of communication. Simple rules for selection of a channel cause
more problems than they solve. In choice of a channel, the sender needs to be
sensitive to such things as the complexity of the message the consequences of a
misunderstanding; knowledge, skills and abilities of the receiver ; and immediacy
of action to be taken from the message. We should plan to use the media that best
fits our style and qualities. One medium may work better than another. However,
in many cases a combination of media may be used for the communication
process to function effectively
The main channels of communication are grouped below from richest to leanest:
Richest channels: face-to-face meeting; in-person oral presentation
Rich channels: online meeting; video conference
Lean channels: teleconference; phone call; voice message; video (e.g., Facetime)
Leanest channels: blog; report; brochure; newsletter; flier; email; phone text;
social media posts (e.g., Twitter, Facebook)
So, we have written and oral channels, channels that range from rich to lean, and
then, within those, multiple channels from which the sender can choose. How do
you decide the best channel for your message? When deciding which
communication channel to use, the following are some of the important factors to
consider:
+ the audience and their reaction to the message;
+ the length of time it will take to convey the information;
+ the complexity of the message;
+ the need for a permanent record of the communication;

+ the degree to which the information is confidential; and
+ the cost of the communication.

In particular, in the first scenario, the lessor should select a far superior
communication channel than the former. Instead of using documents and
brochures, she ought to use face-to-face introductions and conversation.

The landlady should be enthusiastic, happy to introduce the features of the


apartment building so that the two tenants could understand. For example, the
landlady can say: “We have some available rooms that may satisfy you. Follow
me!” with an enthusiastic and enthusiastic attitude. Our apartment is convenient
and full of equipment and free hygiene.” By using this communication channel,
tenants can easily visualize the characteristics of the apartment, have better
sympathy with the landlord. Furthermore, unlike in the previous situation, the
tenant will not spend as much time reading the thick and lengthy brochure. As a
result of the communication, the tenants will be very satisfied and wanted to rent
right away. They might exclaim "Wow, this is an apartment we want to rent,".

From the above, we see that in this situation, choosing the right communication
channel is very important. When the landlord choose the right communication
channel, everyone communicated happily, they ended the conversation and got
what they needed. With the landlord, she will gain sympathy from the tenants and
rent the apartment. With 2 tenants, they also find a suitable apartment. And that
day, they will have a good time.
6. Language barrier

Language barriers are those features of language use that result in


miscomprehension or complete loss in communication. Language barriers deal
with aspects of language use that make it difficult to understand. This could be

because of a variety of factors like differences in educational background, level
of literacy and country or area of the language user.

Barriers related to language may be linguistic barriers, such as different


languages or vocabulary, variations in language - accent, dialect, religion accent;
or semantic barriers, grammar and spelling, etc.

Communication between people of different countries becomes difficult if neither


of the speakers has a common language to communicate in. While knowledge of
foreign languages is common practice among people certain languages are still a
hurdle for people to learn and communicate. Many translation apps are available
on the internet but they are not effective while communicating culture-specific
use of languages like idioms, phrases, proverbs and allusions. For example, the
citizens of the USA do not just speak English as half of the population is
Hispanics who speak their native language of Spanish. Therefore, it becomes
necessary to be bilingual or a polyglot to be able to communicate effectively.

CASE STUDY 1: Communication problem

In the first scene, the landlady uses the confusing word, “offhand”. It means
immediately, without time to think about it or find out about something.
However, not everyone understands what this word means. Furthermore, the
host's accent when saying the word "offhand" is too fast and difficult to
understand. What the landlady means to the tenants is that they can read the
brochure about the building right now, without thinking much. This word causes
the tenant to misunderstand what the owner is saying. This results in the tenant's
shy smile, agreeing to let it go but not understanding anything. A language
barrier makes communication ineffective because they do not understand each
other's ideas and therefore do not achieve the communication's intended goal.

- Use of Simple Language

Whether you’re working with someone whose native language is different or


trying to explain a technical problem to non-technical co-workers, everyone
should get in the habit of using plain language whenever possible.

People who speak your native language as a second language may not understand
complex vocabulary or jargon. Try to communicate with direct and
straightforward language that they can comprehend.

- Remember body language too.

Various gestures and postures are viewed differently by different people, so don’t
neglect your nonverbal communication.

- Use visuals, demonstrations, and examples where possible. Those can help provide
a lot more clarity than written or verbal communication.

Specifically, in the conversation, the lessor should use simple, easy-to-understand


words so that the listener can understand what the speaker wants to convey. She
should avoid speaking difficult, local vocabulary. The hostess can replace the
word "offhand" with the word "immidatey" so that the listener can immediately
understand what the host means and the communication will have a better result.
