Present Situation

A toolbox talk is an in-person session conducted by safety coordinators and subject matter experts to
discuss daily planned activities for construction with contractor laborers. In this session, a safety
coordinator(s) explains the construction activities planned at the beginning of the day and discusses the
hazards and safety measures associated with them. After the talk is done, signatures are collected
manually from all contractor laborers to confirm attendance and acknowledgement of safety measures.
Saudi Aramco Project Management Team conducts daily and weekly toolbox talks at project sites all
around the Kingdom, and these toolbox talks face common challenges that Aramco plans to tackle from
a digital perspective.

Challenges:

• Language barrier: in many cases, audience (laborers) are multi-cultural, and many do not
understand the english language well. In cases where all or most laborers speak the same language,
safety coordinators avail a translator to communicate with the laborers

• Large amount of people: toolbox talks vary in size and range from tens of people to thousands
depending on scale and complexity of projects

• Lack of visual aid: toolbox talks are discussed verbally only in most cases and there is no visual
aid to be shown to make it easier for the laborers to understand the content of the talk

• Overwhelming manual process: signatures for attending laborers are collected manually and
there is risk of signing without attending or even signing in place of someone else who is not in
attendance

Scope:

Aramco is looking for a technology provider to avail a software solution addressing the above challenges
from a digital perspective. We are expecting the solution/service to cover all or most of the following
areas:

• Simple and effective cloud-based mobile and tablet application

• Digitization of toolbox talk event, including:

o Event scheduling: avail the capability to schedule talks through the application and pre-determine
content within the app

o Event attendee certification and confirmation: avail the capability to sign through the app directly
and confirm attendance
• Live speech transcription and translation capability (speech-to-text)

o Speech to be transcripted to english, then translated to most common languages among contractors
(e.g. Urdu, Hindi, etc.) and availed through the application directly

• Visual aid within the application for most frequent and most important safety measures

o Can be linked to the event scheduling capability

o Option: Augmented reality capability to illustrate visual aid on real setting
