1.INTRODUCTION

1.1. Study Background


The Bachelor of Business Administration (BBA) program aims at developing a student's intellectual
ability, executive personality and managerial skills through an appropriate blending of business and
general education. It prepares students for executive career in business and other organizations. The
BBA degree is many a times referred to as the golden passport, since it gives its holder an edge in the
job market by opening more doors of opportunity. The degree helps the graduate to fulfill potential
for high earnings. Increased responsibility and greater personal development. The present decade has
been labeled as the era of business, business administration and business graduates. The BBA
program assist the student in understanding and developing the unique leadership qualities required
for successfully managing business functions, an organizational unit or an enterprise.

As students of BBA, We are required to visit different organizations in order to gain practical
knowledge. This was our first field visit and we went to our college Prime College, located in
Khusibun Kathmandu to complete our project for subject "Management Information System”. This
project widened our horizon of knowledge, and given us better and deeper understanding the topic
that we studied in class. We also got a chance to observe how we our theoretical knowledge was
applied in the particular organization.

1.2. Objective of the Study


A specific that a person a system aims to achieve within a time from and with available resources is
called objectives. Objectives are the basic tools that underline all planning and strategic activities.
Objective are specific measurable and have a define completion. Some of the objectives of this study
are mentioned below:

● To ascertain the objects, which are meaningful to the system of an organization.


● To discover the nature and relevant of all relationships between such objects.
● To identify each data item, and to distinguish between different manifestation of the same
item.
● To define the terms related to entity relationship, including entity, attribute.
● To identify the purpose and scope of this course.
● To understand the reasons for using a database.

1.3. Limitation of the Study


The limitations of the study are those characteristics of design or methodology that impacted or
influenced the interpretation of the findings from our research. They are the constraints on
generalizability and utility of findings that are the result of the ways. There are certain things that I
couldn’t cover. They are:

● As there was short period of time to make this project. I couldn’t make direct interaction with
many people.
● I have mainly collected information and certain reviews about database system and ER
diagram as there was not many information about it.
● I had to limit my research so there may not be complete information.
● I haven’t interact with anyone so there may not be opinion of others while researching about
the limitation of the study.

2. METHODOLOGY

2.1. Data Collection Procedure


Data collection is the process by which data is collected for any field work, which is collected for any
field work, which is essential for statistical investigations. Without statistical investigation, it is
impossible to collect the actual and true information. To meet the objective of the study, two types of
data collection methods are adopted:

2.1.1. Primary Data


Primary data are the data that are obtained by the direct personal investigation, indirect oral
interviews and logical agencies. Among all of the above mentioned, direct personal investigation is
appropriate as we can visit field personally for making inquiries and gathering information from the
beneficiaries. The information gathered from investigation is original in nature.

2.1.2. Secondary Data


Secondary data is the data collected earlier for a purpose other than are currently being pursued.

These data are already gathered by others. The secondary data can be divided two groups i.e (internal
and external). Source of internal data include sales information, accounting data and internally
generated research report. External data are the data gained outside the company whose source may
include books, data service and computer data banks.

2.2. Tools used for Analysis


We used the following tools to gain the required information:

3. ORGANIZATION INFORMATION
3.1. Introduction to Organization
Prime College is located in Khusibun, Nayabazar, Kathmandu. It is the first IT enabled college. The
college is well equipped with excellent furnished rooms and extraordinary facilities. In addition to
that, it also takes pride in its successful students spread in various fields of the world. It has been able
to establish its name in the market as a producer of outstanding talented individuals.

The college provides the requirements of students such as the finest directive teachers, scholars,
experts and faculty members. Unlike other colleges, Prime College has facilitators that give enough
space for students to work out their own plans, pursue their interests and make sure their path is
eminent with their utmost guidance in every step when needed.

Furthermore, Prime provides six bachelors programs and one master’s program including:

● Bachelors in Business Studies (BBS)
● Bachelors in Computer Applications (BCA)

These programs run by Prime are exceptional in the sense that the students gain both theoretical and
practical bases. Prime is nationally recognized for offering world-class academic programs and a
growing array of community and civic engagement based opportunities.

3.2. Mission, Vision and Objective of the Organization


Vision: “Fosters academic and career success through the development of critical thinking, effective
communication, creativity, and cultural awareness in a safe, accessible and affordable learning
environment.”

Mission: “Citrus College provides students with quality educational experiences and support services
that lead to the successful completion of degrees, transfer, certificates, career/technical education and
basic skills proficiency. The college fosters academic and career success through the development of
critical thinking, effective communication, creativity, and cultural awareness in a safe, accessible and
affordable learning environment. In meeting the needs of our demographically diverse student
population, we embrace equity and accountability through measurable learning outcomes, ethical
data-driven decisions and student achievement.”

3.3. Organization Structure

The organizational structure of colleges and universities is an important guide to institutional activity,
but not the only one. Scholars of higher education have developed a variety of multi-dimensional
models of organizational behavior that also shed considerable light on college and university
structure and process. Multi-dimensional models seek to explain organizational behavior across
institutional types, and in various institutional activities.

Public and private colleges and universities of all types incorporate key authority structures,
including a governing board, a president or chancellor, a cohort of administrative leaders, and an
academic senate. In public institutions these core organizational entities collaborate with such
external authorities as state and federal political leaders, community organizations, and members of
the public, as well as business interests and philanthropic foundations. These external organizations
routinely interact with and shape the policies and procedures of the university's internal
organizational structures.

3.4. Hierarchy of Management and Decision-Making Process


Prime is made up of 3 levels of Management.

3.4.1 Top Level Management


Top level management consists of Chairman, Board of Directors, Managing Director, General
Manager, President, Vice President, Chief Executive Officer (C.E.O.), Chief Financial Officer
(C.F.O.) and Chief Operating Officer etc. It includes group of crucial persons essential for leading
and directing the efforts of other people. The managers working at this level have maximum
authority.

Main functions of top level management are:


● Determining the objectives of the enterprise. The top level managers formulate the main
objectives of the organization. They form long term as well as short term objectives.
● Framing of plans and policies. The top level managers also frame the plans and policies to
achieve the set objectives.
● Organizing activities to be performed by persons working at middle level. The top level
management assigns jobs to different individuals working at middle level.

3.4.2 Middle Level Management


This level of management consists of departmental heads such as purchase department head, sales
department head, finance manager, marketing manager, executive officer, plant superintendent, etc.
People of this group are responsible for executing the plans and policies made by top level. They act
as a linking pin between top and lower level management. They also exercise the functions of top
level for their department as they make plans and policies for their department, organize and collect
the resources etc.

Main functions of middle level management are:


● Interpretation of policies framed by top management to lower level. Middle level
management act as linking pin between top level and lower level management. They only
explain the main plans and policies framed by top level management to lower level.
● Organizing the activities of their department for executing the plans and policies. Generally
middle level managers are the head of some department. So they organize all the resources
and activities of their department.
● Finding out or recruiting/selecting and appointing the required employees for their
department. The middle level management selects and appoints employees of their

department.

3.4.3 Low Level Management


This level consists of supervisors, superintendent, foreman, sub-department executives; clerk, etc.
Managers of this group actually carry on the work or perform the activities according to the plans of
top and middle level management. Their authority is limited. The quality and quantity of output
depends upon the efficiency of this level of managers. They pass on the instruction to workers and
report to the middle level management. They are also responsible for maintaining discipline among
the workers

Functions of lower level management are:


● Maintaining good working conditions and developing healthy relations between superior and
subordinate. The supervisory managers provide good working conditions and create
supportive work environment which improve relations between supervisors and subordinates.
● Looking to safety of workers. Supervisory level managers provide safe and secure work
environment for workers.
● Helping the middle level management in recruiting, selecting and appointing the workers. The
supervisory level managers guide and help the middle level managers when they select and
appoint employees.

Hierarchical management is a workplace leadership structure in which authority is assigned in ranks


and employees take directions from their superiors. For example, in a human resources department,
the human resources assistant who occupies the lowest rank provides administrative support for other
H.R. employees as needed. The H.R. coordinator has authority over the assistant, and an H.R.
generalist governs the H.R. coordinator. The H.R. generalist has superiors at the corporate level.
Employees' roles and level of authority if any are clearly established.

3.6. DFD CONTEXT DIAGRAM


3.6.1. DFD Context Diagram(Level 0)

The College Management System DFD level 0 portrays the systems’ abstract view or the single
process with its external parties. It depicts the overall structure as a single bubble that comes with
incoming/outgoing indicators showing input and output data. This serves as the main idea that reveals
the main process, users and the data that roams the system.

In this data flow diagram you will see the general process done in College management system. You
can see the main function of the project, it primary users (external entities) and data flow (labeled
arrows).

3.6.2. DFD Context Diagram(Level 1)


Next to the college management system context diagram is the DFD level 1 diagram. Its’ content is
derived from the context diagram and is broken down into sub processes. This is to let the
programmer know what are the included processes and data inputs are included on the system.

4. COMPUTER NETWORK
A computer network is a set of computers sharing resources located on or provided by network
nodes. The computers use common communication protocols over digital interconnections to
communicate with each other. These interconnections are made up of telecommunication network
technologies, based on physically wired, optical, and wireless radio-frequency methods that may be
arranged in a variety of network topologies.
The nodes of a computer network can include personal computers, servers, networking hardware, or
other specialized or general-purpose hosts. They are identified by network addresses, and may have
hostnames. Hostnames serve as memorable labels for the nodes, rarely changed after initial
assignment. Network addresses serve for locating and identifying the nodes by communication
protocols such as the Internet Protocol.
Computer networks may be classified by many criteria, including the transmission medium used to
carry signals, bandwidth, communications protocols to organize network traffic, the network size, the
topology, traffic control mechanism, and organizational intent. Computer networks support many
applications and services, such as access to the World Wide Web, digital video, digital audio, shared
use of application and storage servers, printers, and fax machines, and use of email and instant
messaging applications.

4.1. Types of Information System in the Organization


1) Operational Level System: -

Operational level system support operational managers by keeping track of the daily activities and
transactions of the organization like daily deposit and withdraw, staffs, attendance, salary payment
etc.

2) Knowledge level system (KLS): -

This system uses the mechanical, electrical, electronic devices to enhance the communication in the
workplace and increase the efficiency and productivity of knowledge workless and electrical
workless. It includes the use of word processing, e-mail, telecommunication, chatting, networking
and other various multimedia systems. Some examples of KLS could be the use of word processing
for typing letters, question papers and various documents, networking used, use of telephones and
internet etc.

3) Management level Information System: -

Management information system (MIS) is the information system at the management level of an
organization that serves the functions of planning, controlling and decision making by providing
routine summary and exception reports, generally. MIS serves the information need of middle level
managers who are interested only in weekly, monthly and yearly results not the day-to-day activities
and is capable of generating reports immediately if an immediate decision has to be made.

4) Decision Support System (DSS): -

Decision Support System is the information system at the organization management level that
combines data and sophisticated analytical model (tools) as data analysis tools to support
semi-structured and in structured decision-making. DSS assists high level manages in making tactical
and sometimes long-term strategic decisions by providing processed information.

5) Executive Support System: -

ESS serves the senior managers at the strategic level. It is the information system designed to address
unstructured decision making through advanced of graphics and communication.

4.2. Uses of Information Technology


· Computer Hardware
Hardware refers to the actual physical parts used in building a network. Network hardware uses
cables to connect the different devices (for a wired network) and junction boxes like routers,
switches, and gateways. Network address cards are usually part of the connecting device, although
sometimes a terminal adapter might be necessary to connect.

· Use Of Hardware
Hardware is used for taking input data from the user, store the data and display the output and
execute the commands given by an individual. EBL uses different kinds of hardware they are
personal computer, printer, scanner, Fax machine, CCTV etc.

· Software Application:
Applications software is capable of dealing with user inputs and helps the user to complete the task.
It is also called end-user programs or only an app. Application Software are Word processing

software, Spreadsheets Software, Presentation, Graphics, CAD/CAM, Sending email etc.

· Use Of Software Application:


As Everest Bank Limited Upgrades its mobile Banking app “EBL Touch 24”, now using the app
customers can self-register in the app through their own phone and also easily login the app using
their own phone number as login id.

· Network Architecture:
Network architecture refers to a network’s structural and logical layout. It describes how the network
devices are connected and the rules that govern data transfer between them.

· Use of network architecture:


A network architecture not only just implement and test the plans but also contributes to budgeting
the networking system. Hence, that a business organization is as good and productive as its network
architectural approaches.

· Network Topology:
Network topology refers to how various nodes, devices, and connections on your network are
physically or logically arranged in relation to each other.

· Use of network topology:


The layout of your network is important for several reasons. Above all, it plays an essential role in
how and how well your network functions. Choosing the right topology for your company’s
operational model can increase performance while making it easier to locate faults, troubleshoot
errors, and more effectively allocate resources across the network to ensure optimal network health.

· Intranet:
An intranet works on a private network of computers. Only authorized people and systems can access
it. They also must connect to the intranet via the required LAN or VPN. An intranet typically can
host a specific number of users.

· Use of intranet:

The role of an intranet is to centralize the most important stuff at work that everyone needs to know.

Intranets provide easy access to information about company policies, benefits and updates.

· Extranet:
An extranet is a private network that enterprises use to provide trusted third parties -- such as
suppliers, vendors, partners, customers and others.

· Use of extranet:
The main purpose of an extranet is to allow users to exchange data and applications, and share
information.

· E-Commerce:
E-commerce (electronic commerce) is the buying and selling of goods and services, or the
transmitting of funds or data, over an electronic network, primarily the internet. These business
transactions occur either as business-to-business (B2B), business-to-consumer (B2C),
consumer-to-consumer or consumer-to-business.

· Use of e-commerce:
E-Commerce can help improve your business processes and information flows by enabling you to
communicate with other businesses faster and more efficiently. E-Commerce allows you to build
better relationships with your customers and find new customers as you are now global instead of
local.

5. Conclusion

We know about the ER diagram and database system well by this project work. Our knowledge of ER
diagram is developing. We can easily use database system and know all the advantages and hurdles
of using it. In conclusion, our knowledge and skills has been improving by the practical of ER
diagram. We are much familiar with ER diagram. So, I am able to learn many things and work in it.
Therefore, ER diagram is important for modeling the data stored in the database. It is the basic design
upon which a database is built. After doing this project also I saw the importance of database system .
