CONFERENCE GUIDELINES

1 Registration

1.1 Registration of the presenters, non-presenters, and other interested participants


must be done electronically through the SEAMREEC 2023 website.

1.2 The presenters shall proceed to the preliminary registration process in the
conference website by which some details and information as regards their
participation will be provided.

1.3 After the pre-registration process, the participants will receive an e-copy of the
Charge Invoice in their registered email.

1.4 Non-refundable registration payment shall be done via bank payment, Paypal, and
Gcash accounts published in the conference website and in the official communication
released by the committee.

1.5 A screen copy of online confirmation payment or bank receipt should be uploaded
in the conference website to complete the registration process. When payment has not
been done yet, the registration is marked incomplete and unofficial. Registration shall
be made official when the proof of payment is provided to the conference committee.

1.6 Once all processes have been completed, a scanned copy of the official receipt
and a QR code assigned to every registered presenter and participant will be sent
through email. For online participants, zoom link will also be sent through their emails.

1.7 The conference allows walk-in/on-site registration of the participants who made
confirmation of their attendance to the conference committee.

1.8 Conference advisories will be available at the website and will be sent to the emails
of the registered participants.

2 Submission and Acceptance

2.1 The conference accepts multidisciplinary researches as indicated in Tracks 1-6.

2.2 Completed extension projects may be submitted in the conference, identified in


Track 7.

2.3 Researcher may submit a maximum of two (2) abstract for a track as the lead
author or as a co-author in the conference.

2.4. Submission of abstract is done online through the conference website.

2.5 Abstracts should have a maximum of 250 words and must briefly mention the
objective, methodology, results, significant new findings, and conclusion(s). These
should be typed single-spaced with font type Courier New and font size 11.
2.6 Keywords must be listed below the abstract with the following parts/content: the
discipline of the study; the concept of the study; methods and process; and geography.

.2.7 Bionote contains not more than 100 words. For blind review purposes, bio note
must be provided and submitted as a separate file from the abstract through the
conference website.

2.8 Researchers who will submit are required to create an account before he/she can
submit the abstract, and bio note.

2.9 Once the submission is done, a confirmation email indicating the assigned Abstract
No. shall be sent to the researcher. The abstract will be peer-reviewed.

2.10 The researchers shall be notified of the results of the review through their
registered email. Once the notice of acceptance is received, the presenters must
upload their manuscripts to the conference website. The full paper is required as the
basis for the selection for the Best Paper Award.

3 Paper Presentation

3.1 Presentation is 15 minutes in length and 10 minutes for Q & A.

3.2 With the limited presentation time, presenters are advised to talk about their work
and describe it, highlighting parts such as framework, methods, findings, and
conclusion of the study. Reading of the paper in full shall not be allowed.

3.3 The presentation shall be in MS PowerPoint (ppt/pptx) or PDF formats.

3.4 The first slide should display the title of the presentation and name of the presenter.
Template of the ppt shall be available for download at the conference website.

3.5 Presentation time restrictions will be strictly observed.

3.6 Presenters are requested to send the presentation in advance to avoid last minute-
technical issues.

4 Poster Presentation

4.1 The committee shall accommodate poster entries that are printed (in tarpaulin) and
entries that are displayed virtually. Poster competition for in-person entries shall be
scheduled on the 1st day of the conference, while virtual poster entries shall be shown
via monitor on the second day of the conference.

4.2 The in-person poster presentation shall be displayed only at the designated area of
the conference venue.

4.3 The poster display shall have a size of 6.5 feet length by 3 feet width.

4.4 The poster shall include the SEAMREEC logo and color. Parts must be arranged
based on this order:

Title, author and co-author names, and affiliation/s Abstract


Methodology
Results and Discussion
Conclusions Acknowledgement (If the study is funded)
4.5 The poster display must use high resolution photographs and images.

4.6 The designated poster presenter must be present at the assigned space during the
poster competition to discuss the work presented.

4.7 Costs associated with creating of poster display will be the responsibility of the
authors. The tools to mount the poster shall be provided by the conference organizer.

5 Virtual Presentation

5.1 The participants registered for virtual presentation shall follow the same procedure
and guidelines along submission and registration in 1.

5.2 Virtual presenters must prepare and send a pre-recorded video to the conference
committee on or before February 20, 2023. Once the video is received by SEAMREEC,
acknowledgment will be sent to the presenters.

5.3 The virtual presenters shall follow the guidelines indicated in 8.3.

5.4 The technical team of SEAMREEC shall play the video presentation and the
presenters must be available during the presentation and Q & A for the selection of the
best oral presenter award.

6 Getting Publish in Conference Proceedings

6.1 Presenters whose abstracts are accepted for presentation are encouraged to
submit to the conference review committee the full paper for consideration in the
conference proceedings publication for free.

6.2 It is expected that presenters must bring fully developed work to the conference;
that is the paper must be completed research.

6.3 Conference paper must have a 6000-9000 word- limit and must be organized
according to the following order:

Title
Abstract
Keywords
Introduction (shall include Objectives/Purpose; Framework of the study;), Methodology
Results and Discussion
Conclusions and Recommendation Acknowledgement (optional)and
References.

6.4 Conference paper to be submitted must follow the following format.

6.4.1 The manuscript should be word-processed (in MS Word format) with single
spaced (on 8.5 inches x 11 inches), 1.5” left, 1” top, right, and bottom margins,
using Century Gothic font style with 10 font size.

6.4.2 Two spaces should be provided before and after the major headings and
two spaces before and after subheadings.

6.4.3 Tables and figures should be in horizontal rule. Captions of tables and
figures should be presented according to the format used by the discipline.
6.4.4 In-text citations and a list of references should follow the current version of
the American Psychological Association (APA) format.

6.4.5 Page number should be placed on the lower right corner.

7. Other Guidelines

7.1 The official receipt of the non-refundable registration payment will be issued by
SSC Alumni Association Incorporated. The copies of official receipts, certificates of
presentation, and participation shall be sent as soon as the participants completed the
conference evaluation forms on the last day of the conference. Participants who will
request hard copies of these documents will shoulder the cost indicated by the courier.

7.2 Book of Abstract and Conference Programs shall be sent to the virtual participants
through their registered emails.

8 Awards

As the conference would like to recognize the researchers who have exemplarily
performed in the presentation, and who have submitted a well-written manuscript,
awards will be given to participants: Best Conference Paper, Best Oral Presenter, Best
Extension Paper, Best Poster, and other Special Awards.
