RESPONSE PROCEDURE

1. PURPOSE
To ensure that in case of any emergency and disaster preparedness XXXXX Ltd. will
continue supply the customers with safe and quality products.

2. SCOPE
This procedure applies to any emergency situation at XXXXX Ltd.

3. RESPONSIBILITIES
Plant Manager, QA and supervisory key personnel are responsible to ensure that in
case of potential jeopardy to the materials:
 All raw materials will be segregated and put on hold. Hold tag shall be
attached to each skid and/or box. Hold Report has to be completed. Quality
Assurance has to do risk assessment for food safety and food quality
 All finished product will be segregated and put on hold. Hold tag shall be
attached to each skid and/or box. Hold Report has to be completed. Quality

 All packaging material will be segregated and put on hold. Hold tag shall be
attached to each skid and/or box. Hold Report has to be completed. Quality

4. OUTSIDE STORAGE
If there is a problem with finished product cooler or bacterial culture freezer, the 500
Keele St. Warehouse has to be used.

5. PRODUCTION
Subcontractor can be used to continue production using the XXXXX Ltd. formulas,
process procedures and ingredient suppliers.

6. DISTRIBUTION
Distribution of the finished products can be done by refrigerated trucks and trucks
which comply with XXXXX Ltd. requirements for distribution.

7. COMMUNICATIONS DURING THE EMERGENCY


All communications with customers, suppliers, government authorities and public
during the emergency will as is stated in XXXXX Contingency Plan.

8. POTABLE WATER OUTAGE


In case of water non-compliance, XXXXX uses boiled water utilizing batch
pasteurizers to boil the water

9. DRAINAGE SYSTEM FAILURE OR BREAKAGE


 In case of problem with the drainage system, Emergency Plumbing Ltd. 130
Lepage Ct. should be contacted: (416) 780-0911
 Make sure, production will not re-start until the drainage system is fixed.

10. FIRE
In case of fire, the following activities must be performed:
 The fire alarm is triggered by itself in case of fire
 The alarm notifies the Fire Department and rings the Bell
 Use the fire extinguisher if it is safe to do so
 Never fight a fire alone
 Assemble at the evacuation assembly point and ensure that everyone has
been located
 Assist any person in immediate danger (only if safe to do so)
 Close the door on the fire to contain the spread
 If threat to life exists, evacuate immediately closing all doors
 Maintain control of people at the evacuation assembly area
 If you are exposed to smoke or fumes seek medical attention

11. FLOOD
In case of flood, the following activities will be performed:
 All the equipment and devices should be disconnected immediately

 Time permitting, vital materials and data should be moved to the higher
places
 All personnel should be evacuated to safe places following the instructions
of the police or other government authorities

12. FOOD SECURITY BREACH


In case of product tampering, the following will be done:
 Notify local law enforcement
 Conduct full investigation to trace the product
 Destroy a tampered product and replace it with safe one
 In case of criminal or terrorist activity, local law enforcement will be
notified
 In case of computer system breach, login and password will be changed,
and local law enforcement will be notified

13. INCIDENT MANAGEMENT PROCEDURE


To test XXXXX preparedness to incidents, the following will be done:
 Test the key supervisory personnel for emergency preparedness by
providing them with a written exam on the Food Safety Emergency Action
Plan
 Perform Food Safety Emergency Action DRILL every 2 years starting May
2019 (next drill shall be done in May 2021)
XXXXX reviews and, where necessary, updates the documented information after
the occurrence of any incident, emergency situation or tests.

14. CORONAVIRUS PROTECTION & PREPAREDNESS


To ensure XXXXX preparedness for coronavirus impact on the company’s personnel
and products, supply chain and potential impact on the resources, the following has
been done:

 XXXXX employees have been trained on preventing the spread of disease and
related GMPs and hygiene practices including the advisory to wash hands
before leaving the plant
 Enhanced Cleaning: Increased the frequency and scope of cleaning and
sanitation activities in employee wellness areas and common areas. This
includes break areas, offices, etc. - with special care given to regularly used
surfaces such as door knobs, tables, desks, keyboard, etc. Note: Standard daily
sanitation procedures remain sufficient for all production areas
 In case of having an employee with potential symptoms, XXXXX Ltd. has a
scenario plan in place to manage a variety of the potential circumstances that
may arise in our facilities and office space pertaining to COVID-19
 XXXXX ltd. assures that if an employee does test positive in its facility the
relevant parties, including company’s customers, will be notified as soon as
possible to plan for supply chain disruptions and implementation of applicable
COVID-19 management procedures
 Ingredient suppliers have been contacted to provide information regarding
preparedness for coronavirus and other related measure to prevent potential
impact on resources
NOTE: Due to the fact that most of XXXXX ingredients are pasteurized at least
75 F for 15 minutes as per DEIM (Pasteurisation is a process of heating
substances up to 60–90 °C for the purpose of killing harmful organisms such as
bacteria, viruses, protozoa, moulds and yeasts. G.J. Swart, P.J. Jooste, in
Encyclopedia of Food Sciences and Nutrition (Second Edition), 2003), only
those suppliers have been contacted who supply ingredients added after the
pasteurization step (e.g. FOB preps)
 All non-essential business travel and onsite customer / vendor visits to our
facilities are suspended until further notice
 Placed more hand sanitizers, anti-microbial agents/wipes in common spaces for
employee use
 Educating, encouraging and monitoring social distance in all areas of the
facility when necessary
