Introduction

INTRODUCTION
EZConvert/400 converts SCS spool files in RDY status to .xls or .csv format and exports the
converted files to the IFS. Converted files can optionally be automatically emailed as
attachments. Files can be split into multiple files for export and email distribution.
To convert files, a conversion monitor job must be created and configured to watch a
designated output queue for specified types of spool files. Those spool files can then be
converted to the file type specified in the monitor job configuration, *XLS or *CSV, and
exported to an IFS location that is also specified in the monitor job.
You must have an EZeMail/400 license to have EZConvert/400 email or distribute converted
files via email. The email process takes email addresses from a spool file or from the
EZConvert/400 Email screen The distribution process takes addresses from Notification IDs that
you create in EZeMail/400. A Notification ID can contain individual email addresses or take
email addresses from address books. You may include up to 10 notification IDs in a monitor
definition.

Once configured, a monitor must be started before it can convert, export a n d d i s t r i b u t e


spool files.

Security
EZConvert/400 is a licensed feature. Your ACOM iSeries Products security code must include a
code to enable this feature.
Selected Access security controls access to EZConvert/400 for individual users. If you use the
Selected Access feature you may restrict user access by function. Access to each of the following
functions can be controlled:
• Access*
• Edit
• Copy
• Delete
• Display
• Rename
• Add
• Process
* Denying Access locks a user completely out of EZConvert/400.

Opening EZConvert/400

Select option 23 on the ACOM Solutions, Inc. Main Menu to open the EZConvert/400 list
screen.

This screen lists all of the EZConvert/400 conversion monitors. To convert spool files:
To convert spool files:
1. Add a spool file conversion monitor attached to an output queue.
2. Start the conversion monitor.
3. Send SCS spool files to the output queue that is attached to the conversion monitor.
SCS spool files matching the Criteria to select spool files defined in the conversion monitor
will be converted. Converted files can be output to the IFS and, optionally, emailed using
Notification IDs defined in EZeMail/400.

A conversion monitor is attached to an output queue which it watches for S C S s p ool fi l es
t h a t m at c h s p ec i f i c c ri t e ri a and converts those spool files to .xls or .csv files. The monitor
definition contains all of the information required to convert an SCS spool file and create the
output file, including the email information required to take advantage of the optional email
feature. Once configured, a monitor job must be started before it can convert, export a n d
d i s t r i b u t e spool files. Spool files must be in RDY status to be converted.
At least one conversion monitor must be created and started before file conversion can take
place.

MONITOR LIST SCREEN

The EZConvert/400 list screen shows the available conversion monitors.


Options are listed across the top of the screen. Key an option number in the Opt field to the left
of a monitor and <ENTER> to select the option. Multiple options may be selected. Available
options are:
• Start a monitor
• Edit a monitor
• Copy a monitor
• Delete a monitor
• Display a monitor
• Print a monitor’s configuration information
• Rename a monitor
• Stop a monitor

Functions are shown at the bottom of the screen. Press the corresponding function key to activate
a function. Available functions are:
F3 exits the screen and returns to the Main Menu.
F5 refreshes the screen.
F6 creates a new monitor definition.
F12 cancels any option entered and returns to the Main Menu.
F21 prints a summary or detailed listing of all conversion monitors or a specific
conversion monitor

Print a Monitor List


The Print List function on the EZConvert/400 list screen prints a listing showing the contents of
all or selected forms. To create a print list:
1. Press F21 (shift+F9) to display the Print Monitor Listing screen.

2. Complete the following fields:


Name
Enter the name of a monitor or enter *ALL to print a listing that includes all monitors.
Summary or Detail
Keep the default of *SUMMARY to print a summary listing or enter *DETAIL to print a
detail listing.
A summary lists the monitor information that is displayed on the monitor list screen:
• Monitor name
• Output queue
• Library
• Form type
• Conversion type
• Status

A detailed listing includes all of the information in a monitor’s configuration.


Output Queue
The name of a print output queue.
Library
The library where the print output queue is located.
Source Drawer
The printer paper drawer to pull paper from when printing the monitor information.
3. <ENTER> to print the listing or press F19 to run the print job in batch.

CREATE A CONVERSION MONITOR


To create a conversion monitor:

1. Select option 23, EZConvert/400, from the ACOM Solutions, Inc. Main Menu to open the
EZConvert/400 list screen.

All available conversion monitors are listed on this screen.

2. Press F6, Add, to open the EZConvert/400 Add screen

Monitor ID
A user defined, unique name for the conversion monitor. The name can be up to 10 positions
in length.
Output Queue
The name of the output queue to monitor. Press F4 to select an output queue from a list of
available output queues.
Library
The library where the output queue is located. Key a specific library name or keep the
default of *LIBL to search all libraries until the output queue is located.
Criteria to select spool files
This section defines the criteria used to identify the spool files to conversion. An entry must
be made in at least one of the fields. Entries may be made in multiple fields in any
combination.
Form type
The SCS spool file form type to select. This field is case sensitive.
Name Key a specific form type to select only that form type.
*ALL Select all form types.
Printer File Name
The printer file name used when the spool file was created. Key a specific name here to
select every SCS spool file in the output queue that has this printer file name.
User data
The user data information attribute of the spool file. Key a specific name here to select
every SCS spool file in the output queue that has this user data value.
User ID
The user ID associated with the spool file. Key a specific user ID to select every SCS
spool file in the output queue that has this user ID.
Job name
The job name associated with the spool file. Key a specific job name to select every SCS
spool file in the output queue that has this job name.
Job number
The job number associated with the spool file. Key a specific job number to select every
SCS spool file in the output queue that has this job number.
Spool file Number
The spool file number. Key a specific spool file number to select SCS spool files that have
this spool file number.
Suppress Empty Rows
Whether or not empty rows in the spool file should be removed when the converted file is
created. This applies to empty rows in the spool file and empty rows created by the F8
Suppress Rows function.

*YES Do not include empty rows in the converted file.


*NO Keep empty rows in the converted file.
Convert to
The conversion format. Press F4 to select a format.
*XLS Convert to an .xls Excel spreadsheet
*CSV Convert to a comma delimited .csv file
Email/Distribute
Converted files can be distributed using Notification IDs or emailed using email addresses.
The default value for this field is 1 (Email). Enter 2 if you plan to distribute files using
notification IDs. Notification IDs are created in EZeMail/400. (see Chapter 3 for more
information.)
The F10 function changes from Email (see page 1-15) to Distribute (see page 1-17)
depending on the value entered here.
4. Page down to add Title and Detail commands for the converted file. Up to 50 commands can
be included in a conversion monitor definition.

Complete the Seq#, Type and Text fields at the top of the list to add commands. When the
information for a command is complete <ENTER> to add the command to the list.
Seq#
The command sequence. Sequence numbers must be even increments of 10.Enter a number
to indicate the command’s position in the list.
Important: The sequence numbers determine the order of the commands in the converted
file when converting to .csv format.
Type
The command type.

Text
User defined text to identify the command. This text does not print in the converted file. It
serves only to identify the command in this list and on the command detail screen when the
command is edited or displayed.
5. When the information for a command is complete <ENTER> to add the command to the list.
Repeat steps 4 and 5 until all of the commands have been added.
6. Enter a 2 in the Opt field to the left of a command to open the EZConvert/400 Selection
Edit screen to define the details for that command. Each command in the list must be
defined.

Spooled Data Location
The spooled data location fields specify the spool file page location of the data to include in the
converted file.
Line
Line number on the spool page
Pos
Starting position on the spool page
Len
Number of positions occupied by the data
Reps
The number of lines to search.

Enter a value to use constant data, as a column header for example.

Spreadsheet Location
The spreadsheet location fields define the location and the format of the data on the
spreadsheet. These fields are not valid for .csv conversions.
Row
The spreadsheet row. Enter a value from 1 to 65536.
Column
The spreadsheet column. Enter a value from A to IV.
Font
The font to use for the data. Press F4 to select a font from a list of fonts.
Font style
A style to apply to the font. Only one style can be applied. Enter a Y in the field to select
Italic, Bold or Underline.
Font color
A color to apply to the font. Press F4 to select a color from a list of colors. The default is
black.
Page Down to display the next screen.

Alignment
Justification options for data in cells. Press F4 to select an alignment option.
*LEFT Left justify
*RIGHT Right Justify
*CENTER Center the data in the cells
Number Format
A format to apply to numeric data. Press F4 to select a format. Additional formatting fields
will be displayed depending on the format selected.

General No special formatting. (default)


Number Right Justified.
Decimal places
Select the number of decimal places, from 0 to 5. The default is 2.
Use 1000 Separator
Indicate whether or not to include a 1000 separator. The default is
*NO. Enter *YES to use a separator.
Negative Number
Press F4 to select a negative number format.
Currency Right justified.
Decimal places
Select the number of decimal places, from 0 to 5. The default is 2.
Symbol
Press F4 to select a symbol
Negative Number
Press F4 to select a negative number format.
Date Right justified.
Type
Press F4 to select a date format.
Time Right justified.
Type
Press F4 to select a time format.
Percentage Right justified.
Decimal places
Select the number of decimal places, from 0 to 5. The default is 2.
<ENTER> when the command definition is complete to return to the EZConvert/400
Selection screen.

OR

Press F13 (shift + F1) to open the Suppress screen to set up conditions that can be used to
suppress spool data that you do not want to include in the converted file. An S is displayed to
the left of the Opt field on the EZConvert/400 Selection sequence screen for each command
that has suppression conditioning.

And/Or
Enter AND or OR when there is more than one statement in the condition. AND
groups condition statements. OR separates condition statements.
Pos
Enter the spool file position to begin searching for the data to suppress.
Len
Enter the number of positions to search for data to suppress.
Test
Enter the test to apply to the Value when searching for data to suppress:
*EQ Equal to
*NE Not equal to
*LE Less than or equal to

Value
The characters and/or numbers to search for. Character values must be enclosed in
single quotes.

<ENTER> when the conditions are complete to return to the EZConvert/400 Selection Edit
screen.
7. Repeat step 6 to define each command listed on the EZConvert/400 Selection Edit screen.
8. <ENTER> on the EZConvert/400 Selections sequence screen when all of the commands
are defined to return to the EZConvert/400 Add screen.
9. <ENTER> to create the monitor definition and return to the EZConvert/400 list screen.

Suppress Rows (F8)


Use the Suppress screen to set up conditions to suppress entire rows in the spool file that you do
not want to include in the converted file. When a condition is met, the entire row of data where
the conditional value is located will be suppressed. To remove the empty rows that are created,
set the Suppress Empty Rows field on the monitor definition screen to *YES.
Note: Use the F13 Suppress feature to suppress specific data in individual lines. (See page 1-9.)
1. Press F8 on an EZConvert/400 Selection screen to open the EZConvert/400 Suppress
screen.

2. Complete the fields:

Export Files (F9)


EZConvert/400 can place your converted files on the IFS.
1. Press F9 on an EZConvert/400 Selection screen to open the EZConvert/400 Export
screen.

2. Complete the fields to set the IFS path, define file name criteria and create optional breaks
for your converted files.
IFS Path
Converted files will be output to the destination indicated in this field.
Complete the spool data location fields to extract the path from a spool page:

Enter *YES to delete the data from the spool file after it is extracted. Enter *NO to retain
the data in the spool file after it is extracted.
To send all converted files to the same IFS destination enter a path in the –or- field and leave
the spool data location fields blank.

File name
A name to assign to converted files.
Complete the spool data location fields to extract the file name from a spool page. A break
will occur creating a new file each time a value is found at these coordinates.
Line

Enter *YES to delete the data from the spool file after it is extracted. Enter *NO to retain
the data in the spool file after it is extracted.
-or-
If you do not want to extract the file name from the spool data, leave the spool data location
fields blank and enter one of the following values in the –or- field:
*DFT
Files will be assigned a name based on the conversion date and time.
*PATH
The file name is included at the end of the path. This applies to a path that is taken from a
spool data location or from a constant path entered in the IFS Path -or- field.
Be aware that if a constant file name is included at the end of a constant path in the –or-
field, the constant file name will be applied to the first file created. Subsequent files will
be named with a default file name based on a date/time stamp.
Name
Key a file name to place converted files in a file with this name.
If a constant file name is entered and *YES is entered in the Overwrite field, the constant
file name will be applied and the file will be overwritten (contents replaced) each time a
new file is created.
If a constant file name is entered and *NO is entered in the Overwrite field, the constant
file name will be applied to the first file created and subsequent files will be named with
the default date/time stamp.
Overwrite
Whether or not to overwrite an existing file (replace the contents) if a new file is created with
the same name.
*NO Do not overwrite the file. Apply a default file name to new files that would
otherwise have the same file name as an existing file.
*YES Overwrite a file (replace the contents) if a new file is created with the same file
name.

Optional Break
Used to create additional file breaks. When a value is found in the spool data location
specified here it signals the conversion process to create a new file. If the location does not
contain a value (is blank), a break will not occur.
Complete the spool data location fields to create a break whenever a value is found at the
specified location:

Enter *YES to delete the data from the spool file after it is extracted. Enter *NO to retain
the data in the spool file after it is extracted.
Use as File Prefix
The value in the optional break location can be applied as a prefix to the file name to ensure a
unique file name. The prefix can be applied to a constant file name or to a file name taken
from a spool data location. It cannot be used when *PATH or *DFT is entered as the value in
the File name field.
Keep the default of N if you do not want to use the optional break value as a file name prefix.
Enter Y to use the optional break value as a file name prefix.
Retain Destination
Whether or not to use the last known export destination to convert a spool page without a
specified destination.
Keep the default of *YES to convert any spool page without a destination and place the
converted file in the last known export destination.
Enter *NO if a spool page without destination information should not be converted.
Retain Destination and Optional Break:
If Retain Destination is set to *YES when using the Optional Break feature AND the
current spool page does not contain a value in the location defined in the Optional Break
field then the last known optional break value will be used and pages without an optional
break value will be included in the file. The last known optional break will continue to be
used until a new optional break value is found in the spool file.
If Retain Destination is set to *NO when using the Optional Break feature AND the
current spool page does not contain a value in the location defined in the Optional Break
field then pages without an optional break value will not be included in the file.
3. <ENTER> when the fields are complete to save the export definition and return to the
previous screen.

Email Files (F10)


Converted files can be automatically emailed as attachments. You must have an EZeMail/400
license to email converted files. Entries on the Email screen tell EZConvert the email addresses
to send converted files to, the email subject and the email message. Information can be retrieved
from the spool file or you can enter the information on this screen.
1. Enter 1 in the Email/Distribute field on the EZConvert/400 Add or Edit screen.
2. Press F10 on an EZConvert/400 Selection screen to open the EZConvert/400 Email
screen.

3. Complete the fields:


Complete the spool data location fields to retrieve information from the spool file:
Line Line number on the spool page
Pos Starting position on the spool page
Len Number of positions occupied by the data
Reps The number of lines to search for data
Email Address, Carbon Copy, Blind Carbon Copy
Converted files will be sent to any email address defined in these fields. Use the spool data
location fields to extract email addresses from the spool file.
OR
Enter email addresses in the –or- field. Separate multiple addresses with a semi- colon ( ; ).
Press F4 to open additional lines to enter addresses.
Email Subject
The email Subject line. Use the spool data location fields to extract the subject from the spool
file.

Email Message
The email message. Use the spool data location fields to extract the message from the spool
data.

Embed Email Signature


The sender's email signature can be included in the email. The signature is set up in the
Embedded Signature fields in the sender's ACOM user definition on the System i.
*NO Do not include a signature
*YES Include a signature.

4. <ENTER> when the fields are complete to save the email information and return to the
previous screen.

Distribute Files (F10)


Converted files can be automatically emailed as attachments to addresses in a Notification ID.
You must have an EZeMail/400 license to email your converted files. Entries on the Distribute
screen tell EZConvert how to break a converted file into attachments and where to send the
attachments.
1. Enter 2 in the Email/Distribute field on the EZConvert/400 Add or Edit screen.
2. Press F10 on an EZConvert/Selection screen to open the EZConvert/400 Distribute screen.

3. Complete the fields:


File name
Entries are not required in the File Name fields. If you leave all File name fields blank, a
date/time name in the format yyyymmddhhmmsssss is applied to the distributed files.
Complete the spool data location fields to extract file names from the spool data. The file
name is reset each time an optional break occurs. If there is no value on the first page
following a break at the coordinates specified here and:

• Retain Destination is set to *NO, the pages that follow the break will not be distributed
until the next time a break occurs AND there is a value found on the first page after a
break at the coordinates specified here.
• Retain Destination is set to *YES, the last known destination will be used to distribute the
pages without a file name until the next time a break occurs AND there is a value found
on the first page after a break at the coordinates specified here.

Enter *YES to delete the data from the spool file after it is extracted. Enter *NO to retain the data
in the spool file after it is extracted.

Enter a file name in the –or- field and leave the spool data location fields blank to apply the
name entered here to each distributed file. The file name will not be reset after each optional
break.
Optional Break Value1 and Value2
Used to break a file into multiple files for distribution. Value1 creates a primary break and
Value2 creates a secondary break within a Value 1 break.
When a value is found in the spool data location specified in Value1 a new file is created.
If you specify spool data locations in Value1 and in Value2, when a primary break occurs at
the Value1 location a secondary break will occur each time a value is found at the Value2
location. The next time a value is found in the Value1 location a new primary break will
occur.
You cannot enter a spool data location for a Value2 break until coordinates are entered for a
Value1 break.
Complete the Value1/Value2 spool data location fields to create a primary/secondary break
whenever a value is found at the specified location:

Enter *YES to delete the data from the spool file after it is extracted. Enter *NO to retain
the data in the spool file after it is extracted.
Retain Destination
Determines whether to distribute spool file pages that follow a break but do not have a file
name value on the first page after the break.
*YES Use the last known file name to distribute spool pages that follow a break but do
not have a file name value on the first page after the break. The last known file
name will be used until the next time a value is found at the File name field
coordinates on the first page following a break.
*NO Do not distribute pages when a file name value is not found on the first page after
the break. Pages will not be distributed until the next time a value is found at the
File name field coordinates on the first page following a break.
Retain Destination does not apply if you entered a constant file name in the File name –or- if
you are allowing file names to default to the date/time name.

Seq#
The sequence number, in even increments of 10.
Value1
When the value found in the Value1 Optional Break location matches the value entered in
this field, the file will be distributed to the addresses in the Notification ID named in the
Notification ID field. This field is case sensitive.
Instead of a value you can enter:
*ALL to send the entire file to the addresses in the Notification ID. Value2 must be left
blank when *ALL is entered in here.
*ELSE to send anything that does not match any of the notification Values to the addresses
in the Notification ID. Value2 must be left blank when *ELSE is entered in here.
*BLANK to send the file to the addresses in the Notification ID when all blanks are found
in the Value1 Optional Break location. If the value is other than all blanks the file will not
be distributed. You can also enter a value in the Value2 field when *BLANK is entered
here.
Value2
Value2 is used in conjunction with Value1. An entry cannot be made here unless there is a
value in Value1. This field is case sensitive.
When the value found in the Value1 Optional Break location matches the value entered in the
Value1 field
AND
the value found in the Value2 Optional Break field matches the value entered in this field, the
files will be sent to the addresses in the Notification ID named in the Notification ID field.
Enter *BLANK to send the file to the addresses in the Notification ID when the value found
in the Value1 Optional Break location matches the value entered in the Value1 field AND
all blanks are found in the Value2 Optional Break location. If the value is other than all
blanks the file will not be distributed.
This field can be left blank.
Notification ID

3. Make changes to the monitor definition. See Create a Monitor on page 1-3 for details about
working with a monitor definition.

Copy a Conversion Monitor

COPY A CONVERSION MONITOR

Conversion monitors can be copied and then edited to create a new monitor. This is sometimes
easier than creating a new monitor from scratch.

To copy a conversion monitor:

1. Select option 23, EZConvert/400, from the ACOM Solutions, Inc. Main Menu to open the
EZConvert/400 list screen.

2. Enter a 3 in the Opt column to the left of a monitor to open the EZConvert/400 Copy
screen.

3. Enter a New Name for the monitor copy.

4. <ENTER> to copy the monitor and add it to the list on the EZConvert/400 list screen.

A monitor must be stopped before it can be deleted. To delete a conversion monitor:

1. Select option 23, EZConvert/400, from the ACOM Solutions, Inc. Main Menu to open the
EZConvert/400 list screen.

2. Enter a 4 in the Opt column to the left of a monitor to open the EZConvert/400 Delete
screen.

3. <ENTER> to confirm the deletion and remove the monitor from the list on the
EZConvert/400 list screen.

START A MONITOR

A conversion monitor must be started before spool files can be converted. After a monitor is
started, any SCS spool files in RDY status that match the Criteria to select spool files in the
monitor definition will be converted. Converted files will be exported to the IFS locations
specified in the monitor definition and distributed by email if the monitor is configured to
distribute converted files. A licensed copy of EZConvert/400 is required to email files.

To start a conversion monitor:

1. Select option 23, EZConvert/400, from the ACOM Solutions, Inc. Main Menu to open the
EZConvert/400 list screen.

2. Enter a 1 in the Opt column to the left of a monitor with a status of Inactive.

3. <ENTER> to open the Start EZConvert/400 Monitor screen.

Delay Interval
The number of seconds to allow between monitoring searches of the output queue. The delay
interval must be 0 if a data queue is attached to the output queue being monitored.

The job queue in which to run the job.

Name Enter the name of a specific job queue.
Library
Location of the job queue.

*WRKSTN Use the workstation message queue.

To stop a monitor:

WORK WITH EZEMAIL/400 NOTIFICATION IDs
Notification IDs are created in EZeMail/400 and are used in conjunction with the EZConvert/400
Distribute function (see page 1-17). EZConvert/400 will automatically send converted files to the
addresses or address books specified in a Notification ID when the Notification ID is named in
the EZConvert/400 F10 Distribute function for a monitor.
You must have a license for EZeMail/400 in order to create Notification IDs and to use the
EZConvert/400 Distribute function.

Select option 8, Work with Notification ID, on the EZeMail/400 Menu to work with Notification
IDs.

The EZeMail/400 Notification ID list screen shows the available Notification IDs.
Options are listed across the top of the screen. Key an option number in the Opt field to the left
of an ID and <ENTER> to select the option. Multiple options may be selected. Available
options are:

• Edit a Notification ID
• Copy a Notification ID
• Delete a Notification ID
• Display a Notification ID
• Print Notification ID information
• Rename a Notification ID
Functions are shown at the bottom of the screen. Press the corresponding function key to activate
a function. Available functions are:
F3 exits the screen and returns to the EZeMail/400 Main Menu.
F5 refreshes the screen.
F6 creates a new Notification ID.
F12 cancels any option entered and returns to the EZeMail/400 Main Menu.

CREATE A NOTIFICATION ID
To create a Notification ID:

1. Select option 8, Work with Notification ID, on the EZeMail/400 Menu to open the
EZeMail/400 Notification ID list screen.

All available Notification IDs are listed on this screen.

A name up to 20 positions in length to identify this Notification ID.
Text
A description up to 20 positions in length.
Important:
When entering address information in the fields described below, be aware that when this
Notification ID is referenced in the EZConvert/400 Distribute function, files will be
distributed to ALL of the email addresses listed here and to ALL of the email addresses in
any of the address books named here.
TO
The email addresses to use when distributing the EZConvert/400 files. Separate multiple
addresses with a semicolon ; . Press F4 to open additional lines. Leave this field blank to
distribute files using an address book.
Address Book
Enter the name of an address book or press F4 to select an address book from a list of all
address books. Files will be distributed to every email address in the address book. This
field must be blank if you enter individual addresses in the TO field.
CC
The CC email addresses to use when distributing the EZConvert/400 files. Separate multiple
addresses with a semicolon ; . Press F4 to open additional lines. Leave this field blank to
distribute files using an address book.
Address Book
Enter the name of an address book or press F4 to select an address book from a list of all
address books. Files will be distributed to every email address in the address book. This
field must be blank if you enter individual addresses in the CC field.
BCC
The BCC email addresses to use when distributing the EZConvert/400 files. Separate
multiple addresses with a semicolon ; . Press F4 to open additional lines. Leave this field
blank to distribute files using an address book.
Address Book
Enter the name of an address book or press F4 to select an address book from a list of all
address books. Files will be distributed to every email address in the address book. This
field must be blank if you enter individual addresses in the BCC field.
Subject
Information to include in the subject line of the EZConvert/400 distribution emails.
Message
The message to send in the EZConvert/400 distribution emails. Press F4 to open additional
message lines.
4. <ENTER> when the information is complete to add the Notification ID.
