JOB DESCRIPTION

Job Title : Procurement Coordinator


Department : Procurement
Reports to : Executive Director
Main purpose of post: To undertake purchasing and stores functions of the Agency so that
materials and equipment required are purchased and delivered
timely at optimum prices, quantities and right quality.

EDUCATION AND EXPERIENCE

Degree in Economics, Business Administration or equivalent with CIPS Diploma with at least
five (5) years experience in a commercial environment.

KEY OUTPUT OF POST

OUTPUT : Managed Inventories


DEFINITION : Manages accurate records of stocks of requisites to ensure that there are
stock outs and maintenance costs are kept to a minimum.
KEY RECEIVER : Executive Director

OUTPUT : Maintained Register of suppliers.


DEFINITION : Maintains and updates suppliers records to ensure a guaranteed supply of
goods.

OUTPUT : Checked and Approved deliveries.


DEFINITION : Inspects deliveries against purchase orders to ensure deliveries are
accurate in terms of quantities and quality. .

OUTPUT : Processed Purchase orders.


DEFINITION : Processes orders for the supply of goods and services in accordance with
approved purchase requisition.

OUTPUT : Coordinated Tender Committee.


DEFINITION : Coordinates Tender committee activities to ensure conformance to the
ZNTB guidelines.

OUTPUT : Authorized Supplier Payments.


DEFINITION : Checks invoices against delivery notes to ensure accuracy before
payments are approved.

OUTPUT : Prepared Reports


DEFINITION : Prepares reports on Procurement activities for the information of the
Superior.
