of Stock Management in Shari’s Petshop

CHAPTER 1: COMPANY OVERVIEW

Company Profile

Shari’s Pet shop is a pet supply retailer located at MS Building, City Hall Drive,

Baguio City, Benguet. Miss Arlyn Brazil Gonzales is the sole proprietor of the

establishment, which she officially founded in the month of September in the year of

2021. Her love for pets and her aspiration to own a business eventually came to

fruition. Being a click-and-mortar establishment, it also thrives through local deliveries

using apps such as Grab and Food Panda and its company rider to transact with its

customers. Its products mainly focus on pet supplies such as pet foods, pet shampoo,

and sanitary products such as litter, accessories, treats, and supplements.

At the time of writing, the establishment is currently 1 year and 2 months old.

The establishment is on a break-even point here the total cost and total revenue are

currently equal. They operate only at a small scale with only 5 employees, including the

owner as she prefers to be hands-on on financial transactions and business processes.

Though it is a fresh and humble company, its online presence and venture towards

online marketing could prove otherwise; such as one of the first to gain a partnership

with delivery apps.

The establishment is currently one year and two months old at the time of

writing. The establishment is at a break-even point; the total cost and revenue are

presently equal here. They operate on a small scale with only five employees, including

the owner, as she prefers to be hands-on with financial transactions and business

processes. Though it is a new and humble company, its online presence and venture

towards online marketing could prove otherwise, such as one of the first to gain a

partnership with delivery apps. Moreover, expansion is their primary goal to store

products and declutter their establishment to look much more appealing; they also have

potential plans to have a pet grooming establishment alongside a veterinary clinic

partnership within the next few years.

Mission of the Company

The mission of Shari’s Petshop is to provide top-tier quality products and services

at an affordable price for our consumers and establish ourselves in the offline and

online experience for your convenience. Moreover, Shari’s Petshop aims to deliver every

day with every connection with the help of our reliable and passionate associates to

help bring pet parents closer to their pets so they can live more fulfilled lives.

Vision of the Company

Shari pet shop envisions enhancing your and your pet's experience with

convenient, affordable, high-quality pet subsistence and treats that would make your

pet feel loved and keep coming back for more. Shari pet shop also hopes to bring more

services, such as covering a wider area with extra branches and expansions and

opening a veterinary clinic and grooming service.

Business Rules and Regulation

Shari's Pet Shop values specific regulations and rules. One of them would be the

passion and love of their employees toward their work. A good work ethic is needed. In

addition, the employees must enjoy and be passionate about the tasks they are given

to create a harmonious work environment. Order and cleanliness of the products,

especially pet foods, are observed. Good customer ratings and good customer service

are one of Shari's Pet Shop goals; therefore, cleanliness is a must in the store.

Employees as well must not be tardy but be punctual at the shop's opening and their

designated work times. These rules and regulations are based on previous experiences

and aim to enhance the quality of work and service not only for the consumers but also

for the employees as well.

Business Process

Regarding customer transactions, Shari's Pet Shop has a physical shop located at

MS Florendo Building, City Hall Drive, Baguio City. Walk-in customers are welcomed and

served according to their needs by the store attendants. After customer agreement with

the staff is established and the order is confirmed, payment is made over the counter.

At the same time, the marketing staff also manages online transactions. The online

trade flows wherein the customer shall first reach the company through various online

shops, specifically on Facebook, Food Panda, and Grab Mart. The marketing staff then

assists with the customer's needs, and upon agreement, details of the customer shall

be asked, such as the name, address, contact number, and mode of payment.

Accordingly, the delivery shall be carried out by the rider, who is also a hired staff of

the company, to ensure safe door-to-door delivery of the customer's order. The

customer will pay the rider if Cash on Delivery (COD) is chosen payment mode. If not,

the customer should have paid online through payment apps like Gcash. The said

business process then satisfies the company's organizational goal: to serve its clients

with passion.

CHAPTER II: SYSTEM ANALYSIS

Problems Encountered

Manual inventory management causing miscomputations of daily, weekly, weekly, and

annual stock profits and data loss from sales

Shari’s Petshop is a relatively small business that uses old methods such as

manual inventory management to record the stock profits and amount of available

products left. This brings many problems, from having to process orders from each

sales channel separately to regular manual stock checks. The manual checking and

recording of stock has caused miscomputations not only on a daily basis but has also

caused problems annually due to data loss.

Inventory discrepancies caused by the manual inventory of supplies

Due to the business’ traditional method when it comes to operations, they

account for the stocks used before, during, and after their daily operations, leading to

numerous discrepancies in stock management, such as overstocking. Moreover,

overstocking has been a severe detriment to the business as it has impacted business

cash flow and has led to various inventory-related problems, ranging from damaged

products and goods to inadequate room for storage.

Poor management of warehouse space due to overstocking and inventory

discrepancies

Efficient management of space has been an intimidating and arduous task for

Shari’s Petshop due to its outdated and traditional method when it comes to stock

management. Moreover, the business has overstocked and sometimes understocked

due to the inventory discrepancies associated with manual stock checking, which has

caused inefficient warehouse space management. In addition, their poor management

of space has caused them to limit the expansion of the available products present in

their business and has numerously yielded various missed business opportunities.

Proposed Solution I.

This study proposes an Inventory Management System (IMS) to address the

problems mentioned above that were encountered during the research study. The

solution is split into two parts (I and II), with part I being the introductory portion

explaining the objectives of the researchers, and part II expanding upon the importance

and functionality of the Inventory Management System (IMS).

Proposed Solution II.

Inventory management is one of the complex problems affecting a myriad of

small businesses due to the diversity of real-life situations, as successful inventory

management requires a sophisticated method to adapt to the growing landscape and

the continuously evolving business environment. According to studies, proper and

efficient inventory management lies at the heart of every growing product-based e-

commerce business, not an online presence or a convoluted marketing strategy.

Moreover, as a company continues to grow and evolve by moving into new sales

channels and different markets, not only does the demand for supplies and order

volume increase, but also the complexity of fulfilling the orders from other sales

channels.

As such, when manually managing your inventory, there will be a point when it

tips over from manageable to out of control. Manual inventory management brings

various problems ranging from regular stock checks to processing orders from each

sales channel separately. These problems take a significant amount of time, and that

time would be better spent building your brand, especially if you’re a small business.

Moreover, the time that is taken to reconcile and collect information can also result in a

lack of visibility on real-time stock levels and may result in lags in reordering when

stock levels are low, and therefore stockouts and missed business opportunities and

sales. In addition, manual inventory management is prone to the risk of human errors

such as overselling, which can cause disastrous consequences to a small business as it

can result in disappointed customers, wasted budget marketing, severe reputational

damage, and could lead to suspension from specific marketplaces which are bustling

with growth and business opportunities. Manual inventory management can also bring

the risk of missing out on valuable sales by not automatically reactivating listings when

products are back in stock.

The solution for these problems lies in implementing an inventory management

system that automates your hard work and is essential to maintain stable growth in

small businesses. Knowing the importance of inventory management is crucial to fully

understand your overall supply chain, which can track acquisitions, storing, and selling

of your products at any point in time. Once you know the location of each product, you

will also be able to precisely analyze and monitor your stock levels. When you can

automatically track how much stock you have and exactly where it is, managing your

inventory transforms from a manual and arduous process to an integral part of growing

your business strategy.

In addition, once you can analyze and maintain accurate inventory details across

every single sales channel, you can utilize this information to forecast inventory

planning and automate the reordering process, which creates more efficiency within the

stock management of businesses. Furthermore, the purchased products can also be

tracked from the supplier and into your warehouse through the fulfillment process to

the customer and back through the returns process.

Apart from the previously stated, the biggest benefit to an inventory

management system is automation which avoids the risk of human error, saves you

endless hours which can be used elsewhere, and ensures you don’t make mistakes

when it comes to transacting with customers. An inventory management system is

capable of executing repetitive tasks with little to no manual help, once a set of rules in

the system have been set up. This helps you have real time visibility on your inventory

levels as your stock count automatically updates when a purchase has been made

which is a critical feature in order to not only accurately forecast the business

landscape, but also to delivering a good customer experience by avoiding overselling of

products when stock is limited. Moreover, an automated inventory management system

also gives you real-time visibility on what location your products are stored, which is

essential especially when your products are stored across various warehouses and

locations.

experience by avoiding overselling of products when stock is limited. Moreover, an

automated inventory management system also gives you real-time visibility of your

products' location, which is essential, especially when your products are stored across

various warehouses and areas.

To summarize, the researchers in this study aim to implement an autonomous

inventory management system in Shari’s Petshop as the scope of inventory

management concerns the fine lines between replenishment lead time, carrying costs of

inventory, asset management, inventory forecasting, inventory valuation, inventory

visibility, future inventory price forecasting, physical inventory, available physical space,

quality management, replenishment, returns and defective goods, and demand

forecasting. Balancing these competing requirements leads to optimal inventory levels,

an ongoing process as the business needs shift and react to the broader environment.

An autonomous inventory management system is essential for a majority of enterprises

to increase efficiency in the workplace.
