Organizing and Staffing Function

A. Designing Organizational Structures

XYZ International is recognized in the trade as the leading original equipment manufacturer of
jeans. The business includes in-house brand Jeans X, Company Y Jeans and Pants Z. XYZ has
production facilities in three countries namely China, Thailand, and the Philippines. China, XYZ’s
largest production facility, accounts for 50% of the total production output. Most of the orders
produced in China are for USA and European market. Thailand facility, on the other hand,
produces 35% of the annual output and caters mainly for the USA market. XYZ’s very first
overseas factory, established in the Philippines, is the smallest among the factories contributing
about 15% of annual output. Orders from this facility are for the European market.

XYZ’s President/CEO is in charge of total management. Under him are the Vice President for
Operations, who is responsible for the overall operations of the corporation, the Vice President
for Finance who implements continuous financial audit and control systems to monitor the
performance of the firm and its flow of funds, and the Vice President for Administration,
responsible for the effective HR and administrative infrastructure of XYZ. In addition, each
production facility has a General Manager who directs the Production, Engineering, and
Marketing & Sales department.
1. Given the information above, construct XYZ’s current organizational structure. (40pts)

2. What type of departmentation does XYZ employ? Briefly explain your answer. (10pts)
- The President or CEO of the company is the primary decision maker, and the rest of
the executives below him assist him in managing the company; however, authority
rests with the managers at the top of an organization's hierarchy. The XYZ
organizational structure is an example of a centralization type of structure because of
this fact. However, the form of departmentation that exists is known as
departmentation by territory or geography.

B. Staffing Activities

Assume you are the HR Manager of an organization and you were assigned to prepare a job
design for the position of a Secretary and a Messenger.

1. Create the job specifications/requirements for the 2 jobs that will be advertised in a
newspaper. (25pts)
2. Prepare the job descriptions of a Secretary and a Messenger. (25pts)

Secretary
• In your role as Secretary, you will be responsible for providing clerical and
administrative assistance in the office, with the end goal of improving workflow
operations there.

• You will provide assistance to your coworkers and executives by guiding them through
the planning process and assisting them in disseminating information.

• You are going to be the go-to person for any questions, concerns, or difficulties that
come up, and you are going to be an essential member of the company's staff.

Messenger
• Ensures that parcels, papers, written and spoken communications, and other objects are
delivered to the appropriate place or recipient in a timely way while maintaining a high
level of security. Manages incoming mail to ensure that it is opened, processed, and
dispatched in a timely way while maintaining a high level of professionalism. Manages
the mail that is being sent out.
