WHAT IS APTEM?
At Learnmore, we support you to become the best version of yourself.
Why? Nothing makes us prouder than when we see you grow and do
things in life that you always wanted to do.

As you will know from your onboarding, Aptem is a one-stop shop for
observing your growth and tracking your progress.

It's an end-to-end apprenticeship platform, which supports you from your


onboarding stage, right through to when you finish your qualification.

You will use Aptem for all elements of your course; for signing all
documentation, accessing e-learning, uploading work and tracking
progress. Aptem is all cloud based so you can access this anytime, from
any device, anywhere!

Your line manager will also have a login for Aptem, so they can join you
on this journey.

The following guide will show you how you can use Aptem to its full
potential.

NAVIGATING
APTEM
When you log into Aptem, if
you hover over/click on the
dark blue bar on the left hand
side of the screen, you will be
displayed the Aptem toolbar
(image on the left)

The toolbar allows you to


navigate through your Aptem
profile, to view:

MANAGING YOUR
NOTIFICATIONS
We want you to be kept as up-to-date as possible with your
apprenticeship updates, but we also do not want your inbox to be flooded
with messages from the Aptem system.

Luckily, you are able to manage the notifications which you receive, to
ensure you are only getting the most important updates into your inbox.
See below for instructions on how to do this.

1. Click on the avatar icon in the top right hand corner of your screen
(above)

2. Click on 'settings'

3. Click on 'notifications'

4. We recommend that you select 'only essential emails' - this means that
you will not be inundated with updates, but will be informed on those
important ones!

5. Click 'save'

YOUR ELECTRONIC
SIGNATURE
You will have created a signature when you activated your Aptem account,
but if you change your mind, you can amend this.

1. Click on the avatar icon in the top right hand corner of your screen
(above)

2. Click on 'settings'

3. Click on 'signature sample'

4. Click 'clear' next to your signature, to delete your current signature

5. You can either draw a new signature, or choose from a list of suggested
signatures.

6. Click 'save' to save the changes. If your signature is saved successfully,


you will see the below message:

MESSAGES
Use the Aptem toolbar (on the left hand side of the screen) to navigate to
Messages:

In the messaging system you can:

Send a message to your tutor or employer


Receive messages from your tutor regarding feedback you have received
Receive reminders for any overdue tasks
Receive notifications on completion of learning plan milestones
Receive notifications on any workshops you have been invited to.

If you have an unread message, this badge will


appear on the messages icon:

YOUR LEARNING
DASHBOARD
Your learning dashboard is the default screen you will see when you log
into Aptem. If not, you can navigate to it, using the toolbar. The
dashboard give you an overview of your progress.
Use the 'Off-The-Job Hours' area to see your progress in tracking Use the 'Requires Attention' area to understand any

YOUR LEARNING
PLAN
Use the toolbar to navigate to your individual learning plan - the area
where you will spend most of your time. Your learning plan is where
you will be able to see all the learning activities you need to complete.
You will also need to add learning activities onto your plan to show
what you have done at work e.g. a client meeting (guidance on this is
on page 12).

Your learning plan allows you to:

Monitor your progress against the programme criteria, for example


the apprenticeship standards

Access learning activities and other items within your programme

Submit evidence for approval

Check the status of submitted evidence

UPLOADING
A FILE
For many of the learning activities in your learning plan, you will need to
upload a file as your evidence. Please follow the below steps to do this:

1. Select the learning activity to which you would like to upload evidence

2. Click on the double-headed arrow to expand the task or activity:

5. Set the Completion Date

6. Tick the box if your file relates to Off-the-job hours.

If your file does not relate to Off-the-job hours, please untick the box
and you wont be asked for a time and type.

7. Off-The-Job Hours Spent – Please select all the time it took you to
complete the task/activity (preparation, training and writing up your
answers). This is to tell your tutor how long you have been working on
this. Please note the hours are measured on a 24 hour clock.

8. Off-The-Job Hours Type – Select the type from the drop down. If the
work is counting as 20% of the job, you should select ‘This work was
completed during paid working hours’

9. Click on Select File and search for the name of the file you have
saved on your PC. You can upload a variety of file formats e.g. photos,
MP4, Excel, Powerpoint, Word etc. Make sure the file uploads properly.

UPLOADING WORK
BASED EVIDENCE &
OFF-THE-JOB HOURS
At time, you may want to add additional evidence to your learning
plan. Follow the below steps to do this.

1. Click on Actions – the lightning icon in the top right of your screen

2. Select Log Activity

3. Add the Learning Activity Name

4. Select the Date you completed the component

5. Click Save

The activity will be added to your learning plan.

You need to search for it, and then follow the instructions on how to
upload a file (page 10)

What do I upload?
Here, you will need to upload the evidence you have selected to
demonstrate your skills in the workplace.

Consider the following:

What training did I attend?/What activity did I demonstrate in the


workplace?

Why did I attend this training?/Why did I carry out this activity?

What were the benefits of the training?/What were the benefits of


this activity?

How will I be able to apply this training in my role?

ACCESSING
ONLINE TRAINING
Some of the activities in your learning plan will show as 'Online
Training - External'. This is for online learning and with a quick click of
a button, you are taken to your online module!

Follow the below steps to complete this training:

1. Click on the component then scroll down to click on the web link

2. Complete the training and upload the relevant evidence

3. Click on 'Complete' once you have uploaded the evidence.

JOINING TRAINING
ON ZOOM
If your workshops are delivered
via Zoom, you will be able to
access the link to Zoom through
your learning plan.

1. 5-minutes before the time of your


scheduled session, please log into
Aptem, click on the activity for your
workshop in your learning plan
then select ‘Join Zoom’.

2. When prompted, select ‘Open


Zoom Meetings’ and the meeting
will launch when your trainer
begins the session

We completely understand that you may prefer to keep your


background private when attending a workshop on Zoom. Please
follow the below instructions to add a virtual background:

1. When you are in Zoom, click the


arrow next to the video icon

2. Select 'Blur my background' to


blur your current background, or
'Choose Virtual Background...' to
choose from a number of virtual
backgrounds provided by Zoom.

PREPARING FOR A
REVIEW
Every 6 to 8 weeks on your apprenticeship, we will schedule a
progress review. The purpose of a progress review, with your tutor, is
to help reflect on what you have learned, experience you have
gained, your off-the-job training, and for us to understand other
areas where we can support you. The review will either happen face
to face or virtually.

To help you get the most out of your review, you have the
opportunity to make notes for your tutor to see before the review!
One week before a review, you will receive a notification in Aptem.
You will see this notification in the top right of your screen. Click on
the bell.

If you have a review to prepare for, you will see the below
notification:

Click on the notification and you will be taken to the review and the
questions you will need to answer to prepare for the review.

VIEWING
ASSESSMENT
FEEDBACK
Every piece of work you complete will be assessed by your tutor.
Once your tutor has assessed your work, you will receive a
notification and a message to review the comments and see if the
evidence you have uploaded has been accepted or referred,

When you sign into Aptem, Click on the bell:

WHAT TO DO IF
YOUR WORK IS
REFERRED
If your work is referred by your tutor, you will need to read the
assessment comments, in order to make any corrections before
resubmitting your work.

The assessment comments will be in the below format:

Once you have read the comments and made the necessary
changes (we recommend making the changes in a different text
colour, to highlight where you have amended your work), upload
this as new evidence to the component.
